No. Samples establish activity and interest. Finance and operations should approve the legal account and ordering relationship before activation.
Which system owns company details, HubSpot or NetSuite?
Sales-owned fields such as company name, clinic locations, and contact roles originate in HubSpot. Finance-owned fields, meaning the customer ID, credit terms, and billing address, originate in NetSuite and appear in HubSpot as read-only context for the rep. When a rep needs a term changed, they raise it with finance; the sync carries the approved value back to HubSpot rather than accepting an edit made on the company record.
How do you handle clinics that already exist in NetSuite under a different name?
Build a match list before connecting: export NetSuite customers and HubSpot companies, match on billing address and legal name first and display name second, and have revenue operations confirm each pair. Unmatched HubSpot companies stay unlinked rather than creating a NetSuite customer, so a near-duplicate clinic name becomes a review item.
