How to move trading partners off SPS Commerce without dropping orders

The fear we heard most was a missed purchase order during the cutover. A staged move with both connections live removes most of that risk.

  1. Inventory what you run today

    List every trading partner, the documents you exchange with each (850, 855, 856, 810, 846 and so on), any custom maps, your contract end date and the last six months of invoices. The invoices show your true total, including per-document and overage lines.

  2. Check each retailer’s requirements

    Read each vendor guide. Some retailers run their supplier compliance program through SPS Commerce, which tests and certifies connections on the retailer’s behalf, so an SPS-routed or retailer-certified connection may still be required for that partner. Ask each partner whether it charges a one-time fee to set up a new provider, and budget for it.

  3. Validate your hardest documents during scoping

    Bring the documents your current provider struggles with, such as an 856 with custom segments, to scoping. Validate them against your partner’s spec and your ERP data before you commit.

  4. Run both providers in parallel

    Keep the old provider carrying each partner until that partner passes live testing on the new connection. One provider posts each partner’s orders to your ERP at any time, so no order lands twice.

  5. Pilot, then move partners in waves

    Pilot one or two responsive partners, then move the rest in waves before each contract’s renewal. Move mandated or complex partners last. Switch off the old connection for a partner only after its first live orders, ship notices and invoices go through cleanly.

Will my retailer accept a provider its vendor guide doesn’t name?

Check partner by partner. A vendor guide can name SPS Commerce as a recommendation, as the retailer’s testing and certification partner, or as a hard requirement, and only the retailer can tell you which. Ask each retailer in writing whether it accepts a connection through another provider and whether it charges a one-time setup fee. How long it takes

It depends on three things: whether the partner is already in our directory, whether it needs a new spec reviewed and tested, and whether you are moving one partner or cutting over all of them.
