Why teams connect DEAR Inventory and Marketo

Feed the real customer, order, and revenue records from DEAR Inventory into Marketo so campaigns run on who actually bought what, and let contact and consent changes flow back in real time.

Marketing runs on lists of people, but the list rarely knows which of those people are paying customers, what they ordered, or what they are worth. DEAR Inventory holds exactly that: Stock adjustments and transfers, Assemblies / Production, Locations, Products that record who the customer is, what they bought, and what they owe. When the two are joined only by a periodic export, campaigns go out against stale audiences, existing customers get prospecting emails, high-value accounts look the same as cold leads, and a canceled order still counts toward a segment.

Stacksync syncs Stock adjustments and transfers, Assemblies / Production, Locations, Products in DEAR Inventory with Custom Objects, Activities and Lead Changes, Static Lists, Programs and Program Members in Marketo in real time, and where both sides accept writes, in both directions. Customer, order, and invoice data maps field by field onto the contacts, audiences, or accounts Marketo works with, so segmentation and personalization run on current purchase history instead of a month-old snapshot. Contact details and consent changes that originate in Marketo flow back onto the record in DEAR Inventory.

The strongest bridge between the two is identity and purchase history, who the customer is and what they have bought, so that is where most of the value sits. Because the sync is field-level, each system keeps the attributes the other has no use for; only the shared records are held in agreement.

Common use cases

  • 01 Land orders, costs, and inventory movements in a warehouse for margin and stock-turn reporting.
  • 02 Keep supplier and purchase order data aligned with the accounting system for accrual accuracy.
  • 03 Load purchase or product-usage records into Custom Objects linked to Leads so nurture campaigns branch on behavior mastered in another system.
  • 04 Add or remove Leads on Static Lists or set Program Member status from lifecycle stage computed downstream, then run a trigger Smart Campaign against them.

Common sync patterns

Lifecycle triggers from back-office events

A first order, a renewal, or a lapsed account recorded in DEAR Inventory appears in Marketo within seconds, ready to start or stop a lifecycle campaign.

Where Marketo captures new people: signups become customer records

Registrations, form fills, or new subscribers in Marketo create or update the corresponding record in DEAR Inventory, so the back office sees them without anyone re-keying.

Consent and contact changes travel

Email, address, or subscription-status changes stay aligned across both systems, so a customer who updates their details or opts out is respected everywhere.

What you can sync between DEAR Inventory and Marketo

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

DEAR Inventory objects Marketo objects How this pairing syncs
Stock levels Per-location availability derived from inventory transactions; read-heavy in storefront syncs. Static Lists Named static lists; read via /rest/v1/lists.json, with Leads added or removed via POST and DELETE on /rest/v1/lists/{listId}/leads.json to control campaign membership from lifecycle logic computed downstream. Stock levels is specific to DEAR Inventory and Static Lists to Marketo — each maps to any object or custom field on the other side.
Sale orders Customer orders through their pick/pack/ship lifecycle; synced with storefronts and CRMs. Programs and Program Members Marketing programs read via /rest/v1/programs.json; program membership and member status managed via /rest/v1/leads/programs/{programId}.json and the program status endpoint for acquisition and attribution reporting. Sale orders is specific to DEAR Inventory and Programs and Program Members to Marketo — each maps to any object or custom field on the other side.
Purchase orders Supplier orders and receiving records synced with accounting and planning tools. Smart Campaigns Automation flows read via /rest/v1/campaigns.json and run against a set of Leads by requesting a trigger campaign with POST /rest/v1/campaigns/{id}/trigger.json, so downstream logic can push Leads into a Marketo flow. Purchase orders is specific to DEAR Inventory and Smart Campaigns to Marketo — each maps to any object or custom field on the other side.
Customers Buyer records aligned with CRM and accounting counterparts. Leads Core person records (called Leads/People), deduped on email address by default or a configured dedupe field; read via GET /rest/v1/leads.json with a filterType, upserted via POST /rest/v1/leads.json (action createOrUpdate/createOnly/updateOnly), bulk-imported via CSV through POST /bulk/v1/leads.json, and bulk-exported via /bulk/v1/leads/export/create.json. Customers is specific to DEAR Inventory and Leads to Marketo — each maps to any object or custom field on the other side.
Suppliers Vendor records referenced on purchase orders. Companies Company records linked to Leads via a company link field; read and upserted through /rest/v1/companies.json, typically mastered in a CRM or ERP and written into Marketo for account context. Suppliers is specific to DEAR Inventory and Companies to Marketo — each maps to any object or custom field on the other side.
Stock adjustments and transfers Inventory movement transactions that explain changes in availability. Opportunities and Opportunity Roles Revenue objects synced via /rest/v1/opportunities.json and /rest/v1/opportunities/roles.json; roles associate an opportunity with a Lead, so pipeline data can drive nurture and scoring. Stock adjustments and transfers is specific to DEAR Inventory and Opportunities and Opportunity Roles to Marketo — each maps to any object or custom field on the other side.

How changes propagate between DEAR Inventory and Marketo

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

DEAR Inventory Marketo Sub-second propagation

DetectionDEAR Inventory notifies Stacksync of record changes through webhook events. Polling with modified-since filters.

DeliveryEach detected change is written to Marketo through its API, with automatic retries and rate-limit backoff.

Marketo DEAR Inventory Interval-based propagation

DetectionStacksync polls Marketo for changes on an incremental schedule, reading only records changed since the previous pass. Polling: Get Lead Changes and Get Lead Activities from a paging token seeded by a sinceDatetime, plus Get Deleted Leads, or Bulk Extract filtered on.

DeliveryEach detected change is written to DEAR Inventory through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • DEAR Inventory: Subject to the platform's per-account API rate limits.
  • Marketo: Interactive calls are capped at 100 per 20 seconds (error 606) and a maximum of 10 concurrent calls (error 615) per instance, neither increasable; a default daily quota of 50,000 calls (increasable, resets midnight CST) applies. Bulk Extract shares a 500 MB/day export quota across data types with at most 2 concurrent jobs and 10 queued.

Marketo

Integration surface
Marketo REST API (JSON over HTTPS) for Leads, Companies, Opportunities, Custom Objects, Activities, Lists, Programs, and Campaigns, plus an asynchronous Bulk Import (leads) and Bulk Extract (leads/activities/program members/custom objects) API and an Asset REST API for emails, forms, and landing pages
Authentication
OAuth 2.0 client_credentials (2-legged): GET the Identity URL /oauth/token?grant_type=client_credentials with a Custom Service client_id and client_secret to receive an access token valid for 3600 seconds, then send it as Authorization: Bearer on each call. The instance base URL is https://{munchkinId}.mktorest.com; passing the token as an access_token query parameter is deprecated (removal July 31, 2026).
Change detection
Polling: Get Lead Changes and Get Lead Activities from a paging token seeded by a sinceDatetime, plus Get Deleted Leads, or Bulk Extract filtered on createdAt/updatedAt. Marketo's Webhooks are Smart Campaign flow-step outbound HTTP calls to a URL, not a general record-change subscription, so there is no push feed of arbitrary CRUD.
