Why teams connect Paylocity and Sysaid

Keep the people, teams, and status that Sysaid and Paylocity share aligned in real time, so a hire, role change, or departure recorded in one reaches the other within seconds.

Each tool in Sysaid keeps its own list of who can use it: users, members, or agents, along with the team they sit on and whether they are still active. Paylocity is the authoritative record of the same people as employees, with their department, manager, and employment status. When those two are connected only by manual account admin or a periodic export, the work tools drift: new hires wait days for access, team and manager changes never catch up, and people who have left keep standing accounts.

Stacksync syncs Assets, Configuration Items (CIs), Companies, Custom Fields in Sysaid with Employees, Onboarding, Deductions (Pay Setup), Earnings (Pay Setup) in Paylocity bi-directionally and in real time. A person added, moved, or offboarded in Paylocity creates or updates the matching user in Sysaid within seconds, with field-level mapping and conflict resolution in place of spreadsheets and one-off account changes. Where Sysaid captures details of its own, such as a corrected contact or a login identity, those can flow back to Paylocity in whichever direction you configure.

Because the sync is field-level, each system keeps its own extras; only the shared facts, who a person is, which team they belong to, and whether their access should be on, are held in agreement.

Common use cases

  • 01 Mirror Assets and Configuration Items with an external CMDB or asset database so inventory and ticket linkage share one source of truth.
  • 02 Stream Service Records into a warehouse for SLA, backlog, and MTTR reporting without manual CSV exports.
  • 03 React to the Employee Change webhook to pull the updated Employee record and propagate title, location, or manager changes to downstream apps within minutes.
  • 04 Two-way sync of Employees between Paylocity and an HRIS or identity provider so new hires, terminations, and demographic edits flow both directions.

Common sync patterns

Where Sysaid routes or assigns work by person: assignments follow the org

When someone changes teams or managers in Paylocity, the queues, ownership, or approvals in Sysaid update to match, so work reaches whoever holds the role now.

Onboarding: access ready on day one

A new hire recorded in Paylocity creates the matching user in Sysaid with the right team and manager already set, so people can start working without waiting on a provisioning ticket.

Offboarding: no standing access after a departure

When someone is marked as leaving in Paylocity, the matching account in Sysaid is deactivated or flagged, so departures do not leave open access behind.

What you can sync between Paylocity and Sysaid

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Paylocity objects Sysaid objects How this pairing syncs
Custom Fields Read-only company-specific custom fields returned by category, used to enrich the employee record downstream. Custom Fields Org-specific fields on service records, discoverable through the API so mappings can be generated without hardcoding names. Same entity on both sides — records pair one-to-one and field-level changes reconcile in both directions. Custom fields on either side are included in the mapping.
Direct Deposit Read-only: Get All Direct Deposit and Get Employee Bank Accounts return main and additional allocations. Bank details cannot be written through the API. Problems Root-cause records that group related incidents; read and written to keep problem management aligned with an external ITSM or reporting store. Direct Deposit is specific to Paylocity and Problems to Sysaid — each maps to any object or custom field on the other side.
Pay Statements Read-only detailed payroll statement data — earnings, deductions, taxes, and direct deposit allocations by year, check date, or date range. Pulled for reporting, never written. Changes Change records (type=change) with approval and scheduling fields; synced two-way to drive CAB review and deployment workflows. Pay Statements is specific to Paylocity and Changes to Sysaid — each maps to any object or custom field on the other side.
Company Codes Read-only reference codes and descriptions (cost centers, departments, positions) used to validate field mappings on employee writes. Users End users and admins on the /users endpoint; synced with an HRIS or identity source to keep requester and agent records current. Company Codes is specific to Paylocity and Users to Sysaid — each maps to any object or custom field on the other side.
Employees Core HR record keyed by companyId + employeeId; two-way via Create New Employee (POST) and Update Employee (PATCH), plus Get Employee / Get All Employees for reads. Assets Hardware and software inventory; read out to a warehouse or written from a discovery or CMDB source of truth. Employees is specific to Paylocity and Assets to Sysaid — each maps to any object or custom field on the other side.
Onboarding Create Employee Onboarding pushes new-hire data into Paylocity's onboarding workflow; Get Onboarding Status reads back partner onboarding progress. Write-in for hires from an ATS. Configuration Items (CIs) CMDB entries and their relationships; synced with an external CMDB or asset database for one inventory view. Onboarding is specific to Paylocity and Configuration Items (CIs) to Sysaid — each maps to any object or custom field on the other side.

How changes propagate between Paylocity and Sysaid

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Paylocity Sysaid Sub-second propagation

DetectionPaylocity notifies Stacksync of record changes through webhook events. Webhooks — Paylocity POSTs Employee New Hire, Employee Change, Termination, Payroll Processed, and Time Off Approval events to a callback URL.

DeliveryEach detected change is written to Sysaid through its API, with automatic retries and rate-limit backoff.

Sysaid Paylocity Sub-second propagation

DetectionSysaid notifies Stacksync of record changes through webhook events. Webhooks (beta) push sr.created and sr.updated events with changed-field diffs and an X-Sysaid-Signature.

DeliveryEach detected change is written to Paylocity through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Paylocity: 25 requests per second (1,500 per minute); exceeding it returns HTTP 429. Every path is scoped to a Paylocity-assigned companyId (a company code, not a UUID).
  • Sysaid: Requests are throttled per the X-RateLimit-Limit / -Remaining / -Reset headers; list calls are paginated with a limit parameter and each org is capped at 100 application keys.

How the Paylocity and Sysaid connectors work

Paylocity

Integration surface
REST API (v1 and v2), JSON payloads
Authentication
OAuth 2.0 client credentials via the Paylocity Identity Provider (/IdentityServer/connect/token) with the WebLinkAPI scope; access tokens expire after one hour and API access must be enabled by Paylocity for the company
Change detection
Webhooks — Paylocity POSTs Employee New Hire, Employee Change, Termination, Payroll Processed, and Time Off Approval events to a callback URL; payloads carry only companyId and employeeId, so the receiver calls the relevant API to fetch changed values. Scheduled polling is used for objects without webhooks.
Capabilities
read · write · webhooks
Rate limits
25 requests per second (1,500 per minute); exceeding it returns HTTP 429. Every path is scoped to a Paylocity-assigned companyId (a company code, not a UUID).

Sysaid

Integration surface
REST API (JSON)
Authentication
Client-credentials app keys: an application key (clientId/clientSecret) is created via /v1/application-keys, then exchanged at /v1/access-tokens for a bearer token (default 24h, up to 30 days); an x-sysaid-accountid header scopes the account. Legacy V0 uses session-cookie login.
Change detection
Webhooks (beta) push sr.created and sr.updated events with changed-field diffs and an X-Sysaid-Signature; otherwise poll the /sr endpoint filtering on update_time.gte.
Capabilities
read · write · webhooks
Rate limits
Requests are throttled per the X-RateLimit-Limit / -Remaining / -Reset headers; list calls are paginated with a limit parameter and each org is capped at 100 application keys.
