Why teams connect Paylocity and Wrike

Keep the people, teams, and status that Wrike and Paylocity share aligned in real time, so a hire, role change, or departure recorded in one reaches the other within seconds.

Each tool in Wrike keeps its own list of who can use it: users, members, or agents, along with the team they sit on and whether they are still active. Paylocity is the authoritative record of the same people as employees, with their department, manager, and employment status. When those two are connected only by manual account admin or a periodic export, the work tools drift: new hires wait days for access, team and manager changes never catch up, and people who have left keep standing accounts.

Stacksync syncs Custom Fields, Comments, Timelogs, Contacts in Wrike with Custom Fields, Employees, Onboarding, Deductions (Pay Setup) in Paylocity bi-directionally and in real time. A person added, moved, or offboarded in Paylocity creates or updates the matching user in Wrike within seconds, with field-level mapping and conflict resolution in place of spreadsheets and one-off account changes. Where Wrike captures details of its own, such as a corrected contact or a login identity, those can flow back to Paylocity in whichever direction you configure.

Because the sync is field-level, each system keeps its own extras; only the shared facts, who a person is, which team they belong to, and whether their access should be on, are held in agreement.

Common use cases

  • 01 Push support tickets or intake requests from an operational database into Wrike Tasks, then read completion and status Custom Fields back when work finishes.
  • 02 Sync Comments and status changes from Wrike into a database so downstream dashboards and tools react to project progress in near real time.
  • 03 Push hired candidates from an ATS into Paylocity via the Onboarding endpoint, then read Onboarding Status to confirm the record before the first payroll run.
  • 04 Upsert recurring Deductions and Earnings on employee records when benefits or 401(k) elections change in a benefits admin system, without re-keying payroll setup.

Common sync patterns

Where Wrike routes or assigns work by person: assignments follow the org

When someone changes teams or managers in Paylocity, the queues, ownership, or approvals in Wrike update to match, so work reaches whoever holds the role now.

Onboarding: access ready on day one

A new hire recorded in Paylocity creates the matching user in Wrike with the right team and manager already set, so people can start working without waiting on a provisioning ticket.

Offboarding: no standing access after a departure

When someone is marked as leaving in Paylocity, the matching account in Wrike is deactivated or flagged, so departures do not leave open access behind.

What you can sync between Paylocity and Wrike

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Paylocity objects Wrike objects How this pairing syncs
Custom Fields Read-only company-specific custom fields returned by category, used to enrich the employee record downstream. Custom Fields Typed fields (Text, Numeric, Date, DropDown, Contacts, Checkbox) defined at account or space level; mapped to database columns, with values written by field ID. Same entity on both sides — records pair one-to-one and field-level changes reconcile in both directions. Custom fields on either side are included in the mapping.
Deductions (Pay Setup) Recurring deduction codes at the employee level; two-way via Upsert Deduction and Delete, with Get Deduction / Get All Deductions for reads. Folders & Projects The container hierarchy: Folders group Tasks, and Projects add dates, an owner, and a status. Each maps to a synced table scope, and its structure defines what a sync covers. Deductions (Pay Setup) is specific to Paylocity and Folders & Projects to Wrike — each maps to any object or custom field on the other side.
Earnings (Pay Setup) Recurring earning codes at the employee level; two-way via Upsert Earning and Delete, with Get All Earnings and Get by earning code for reads. Comments Discussion and activity entries attached to Tasks and Folders; read out for history and reporting or written back as comments. Earnings (Pay Setup) is specific to Paylocity and Comments to Wrike — each maps to any object or custom field on the other side.
Local and State Taxes Two-way via Create/Update/Delete Local Tax and Upsert Primary / Non-Primary State Tax; Get by tax code and Get All for reads. Timelogs Time-tracking entries logged against Tasks; read for billing and utilization reporting or written back when hours are recorded elsewhere. Local and State Taxes is specific to Paylocity and Timelogs to Wrike — each maps to any object or custom field on the other side.
Direct Deposit Read-only: Get All Direct Deposit and Get Employee Bank Accounts return main and additional allocations. Bank details cannot be written through the API. Contacts Account members and user groups referenced by task responsibles and authors; read to resolve IDs to names and email addresses. Direct Deposit is specific to Paylocity and Contacts to Wrike — each maps to any object or custom field on the other side.
Pay Statements Read-only detailed payroll statement data — earnings, deductions, taxes, and direct deposit allocations by year, check date, or date range. Pulled for reporting, never written. Workflows Sets of custom statuses grouped into stages (Active, Completed, Cancelled, Deferred); read to map task status transitions to database values. Pay Statements is specific to Paylocity and Workflows to Wrike — each maps to any object or custom field on the other side.

How changes propagate between Paylocity and Wrike

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Paylocity Wrike Sub-second propagation

DetectionPaylocity notifies Stacksync of record changes through webhook events. Webhooks — Paylocity POSTs Employee New Hire, Employee Change, Termination, Payroll Processed, and Time Off Approval events to a callback URL.

DeliveryEach detected change is written to Wrike through its API, with automatic retries and rate-limit backoff.

Wrike Paylocity Sub-second propagation

DetectionWrike notifies Stacksync of record changes through webhook events. Webhooks scoped to a folder, a space, or the whole account fire on events like TaskCreated, TaskStatusChanged, and FolderCreated, with event.

DeliveryEach detected change is written to Paylocity through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Paylocity: 25 requests per second (1,500 per minute); exceeding it returns HTTP 429. Every path is scoped to a Paylocity-assigned companyId (a company code, not a UUID).
  • Wrike: Approximately 400 requests/minute per user (estimated on a per-second basis) with a higher per-IP ceiling; exceeding the limit or tripping Wrike's internal overload protection returns HTTP 429, handled with exponential backoff.

How the Paylocity and Wrike connectors work

Paylocity

Integration surface
REST API (v1 and v2), JSON payloads
Authentication
OAuth 2.0 client credentials via the Paylocity Identity Provider (/IdentityServer/connect/token) with the WebLinkAPI scope; access tokens expire after one hour and API access must be enabled by Paylocity for the company
Change detection
Webhooks — Paylocity POSTs Employee New Hire, Employee Change, Termination, Payroll Processed, and Time Off Approval events to a callback URL; payloads carry only companyId and employeeId, so the receiver calls the relevant API to fetch changed values. Scheduled polling is used for objects without webhooks.
Capabilities
read · write · webhooks
Rate limits
25 requests per second (1,500 per minute); exceeding it returns HTTP 429. Every path is scoped to a Paylocity-assigned companyId (a company code, not a UUID).

Wrike

Integration surface
REST API v4 (JSON), single account endpoint such as www.wrike.com/api/v4; the data-center host (US or EU) comes from the OAuth token response, plus REST-managed Webhooks
Authentication
OAuth 2.0 for multi-user apps (Authorization header carrying access_token and requested scopes), and a legacy Permanent Access Token for single-account and testing use
Change detection
Webhooks scoped to a folder, a space, or the whole account fire on events like TaskCreated, TaskStatusChanged, and FolderCreated, with event filtering and custom payload fields; polling the task updatedDate is the fallback
Capabilities
read · write · webhooks
Rate limits
Approximately 400 requests/minute per user (estimated on a per-second basis) with a higher per-IP ceiling; exceeding the limit or tripping Wrike's internal overload protection returns HTTP 429, handled with exponential backoff
