Why teams connect Magento and Xactly

Keep the customers and orders that Xactly and Magento share aligned in real time, so sales works from live purchase history and the store works from current account details.

Xactly holds the customer relationship: the contacts, accounts, and deals a go-to-market team works. Magento runs the buying side: who placed which order, what they bought, and where it ships. The two describe the same people and companies, and when they are connected only by exports, sales answers questions without recent orders in front of them while the store works from account details that changed weeks ago.

Stacksync links Transactions (Commission & Bonus), Participants (Payees), Positions & Titles, Quotas / Targets in Xactly to Carts / quotes, Products, Configurable / variant products, Categories in Magento with bi-directional, real-time sync. New customers, order activity, and corrected contact details move in whichever direction you configure, field by field, with conflicts resolved by rules you set. A record created or changed on either side shows up on the other within seconds, with no CSV exports and no nightly job.

The shared entity is the customer, matched on email or an external ID, so both systems agree on who the buyer is and the order history sits next to the relationship instead of in a separate tab.

Common use cases

  • 01 Push approved Payment Summary amounts from Incent into a payroll or accounts-payable system so payouts are paid from the mastered comp result.
  • 02 Replicate Products and Customer/Account master from CRM/ERP into Xactly so crediting rules resolve against consistent reference data.
  • 03 Sync Orders, invoices, and shipments from Magento into Postgres or a warehouse for revenue, margin, and fulfillment-SLA reporting.
  • 04 Master Products, prices, and Category assignments in an ERP or PIM and write them into Magento's catalog by SKU.

Common sync patterns

Where Magento records orders: purchase history on the account

Orders and their status from Magento appear on the matching contact or account in Xactly, so reps see what a customer has bought and what is in flight before the next conversation.

New buyers become CRM records

A customer created in Magento creates or updates the matching contact or account in Xactly, so first-time and repeat buyers land in the relationship system without a manual import.

Contact and address details stay consistent

An email, phone, or shipping and billing address corrected in either system updates the other, so the next order and the next outreach both use current information.

What you can sync between Magento and Xactly

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Magento objects Xactly objects How this pairing syncs
Orders Sales orders with line items, totals, and status; typically read out of Magento into a warehouse or ERP for fulfillment and revenue reporting. Orders Sales order and transaction records loaded into Incent as the raw input for crediting and calculation; created and updated through Connect load and ETL steps (write) and read back for reconciliation, so read and write. Same entity on both sides — records pair one-to-one and field-level changes reconcile in both directions.
Carts / quotes Active and guest carts (quotes) with items and totals; read for abandoned-cart analysis (not available on the Cloud Service subset). Products & Customers Product and customer/account master used in crediting rules and reporting; loaded and updated from CRM/ERP through Connect (write) and read for lookups, so read and write. Carts / quotes is specific to Magento and Products & Customers to Xactly — each maps to any object or custom field on the other side.
Products Catalog items keyed by SKU; carry created_at/updated_at for incremental polling and are written two-way from a PIM or ERP into the storefront. Credits Crediting records that tie an order to a participant and position; system-calculated credits are read, while manual and adjustment credits are loaded through Connect, so read and write. Products is specific to Magento and Credits to Xactly — each maps to any object or custom field on the other side.
Configurable / variant products Parent configurable products link to simple product variants by attribute; synced so size/color SKUs and their prices stay aligned with source systems. Transactions (Commission & Bonus) Calculated commission and bonus line items produced by Incent's calculation engine; read as the output of comp runs for reporting and downstream payout, so effectively read-only results. Configurable / variant products is specific to Magento and Transactions (Commission & Bonus) to Xactly — each maps to any object or custom field on the other side.
Categories Catalog tree and product-to-category assignments; written into Magento to control merchandising and read out for taxonomy reporting. Participants (Payees) Sales reps and payees keyed to positions; loaded and updated from HRIS/HCM source data through Connect (write) and read for roster reporting, so read and write. Categories is specific to Magento and Participants (Payees) to Xactly — each maps to any object or custom field on the other side.
Customers Customer accounts and address book; synced two-way with a CRM so order history and contact records stay consistent. Positions & Titles Org-hierarchy positions and titles that credits and quotas roll up to; loaded and maintained through Connect (write) and read to resolve the hierarchy, so read and write. Customers is specific to Magento and Positions & Titles to Xactly — each maps to any object or custom field on the other side.

How changes propagate between Magento and Xactly

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Magento Xactly Sub-second propagation

DetectionMagento notifies Stacksync of record changes through webhook events. Polling with searchCriteria filters on updated_at (catalog, sales, and customer entities carry created_at/updated_at).

DeliveryEach detected change is applied to Xactly as a row-level write, with types converted between the two schemas.

Xactly Magento Interval-based propagation

DetectionStacksync polls Xactly for changes on an incremental schedule, reading only records changed since the previous pass. No CDC log for external tools to consume.

DeliveryEach detected change is written to Magento through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Magento: No fixed request-per-minute cap on PaaS/on-prem; responses page via searchCriteria pageSize/currentPage under a default maximum page size of 300 (Web API Input Limits), with /async/bulk endpoints for large writes.
  • Xactly: Xactly does not publish numeric per-second rate limits. The Connect platform enforces query concurrency and long-running-query limits, so large extracts are paged and heavy loads/queries run as asynchronous Connect jobs (submit, then retrieve results) rather than row-by-row calls; batch loads are the supported path for high volume.

How the Magento and Xactly connectors work

Magento

Integration surface
REST and GraphQL Web APIs (SOAP also available)
Authentication
Token-based OAuth: an integration's access token (consumer key/secret + access token/secret) or a Bearer admin token (default 4-hour expiry); Adobe Commerce as a Cloud Service authenticates via Adobe IMS (OAuth 2)
Change detection
Polling with searchCriteria filters on updated_at (catalog, sales, and customer entities carry created_at/updated_at); optional near-real-time via the Adobe Commerce Webhooks / Adobe I/O Events modules (order/created, product/updated, customer/created)
Capabilities
read · write · webhooks
Rate limits
No fixed request-per-minute cap on PaaS/on-prem; responses page via searchCriteria pageSize/currentPage under a default maximum page size of 300 (Web API Input Limits), with /async/bulk endpoints for large writes.

Xactly

Integration surface
Xactly Connect REST API v2 (JSON), plus ODBC/JDBC drivers over the same ANSI-SQL data model. Incent data is exposed as SQL-queryable objects (for example xactly_order, xactly_credit, xactly_transaction, xactly_payment); data is loaded and extracted through Connect load/query steps and server-side ETL Pipelines. The base host is region/pod-specific (for example https://<pod>.xactlycorp.com).
Authentication
OAuth 2.0 via the Xactly Connect API Gateway (bearer tokens issued on behalf of an Xactly Incent user), with HTTP Basic authentication using a dedicated Xactly Connect service-user's credentials also supported for the Connect REST API v2. The connecting user needs Connect/API access plus the relevant object permissions in Incent.
Change detection
No CDC log for external tools to consume. Incremental sync uses SQL predicates on modified/last-updated timestamp columns (for example WHERE modified_date > watermark) against Connect's queryable objects, or scheduled Connect ETL Pipelines that pull deltas since the last run. Xactly Connect has no outbound HTTP webhooks, so change detection is pull/ETL-based.
Capabilities
read · write
Rate limits
Xactly does not publish numeric per-second rate limits. The Connect platform enforces query concurrency and long-running-query limits, so large extracts are paged and heavy loads/queries run as asynchronous Connect jobs (submit, then retrieve results) rather than row-by-row calls; batch loads are the supported path for high volume.
