Why teams connect Jobvite and Sysaid

Keep the people, teams, and status that Sysaid and Jobvite share aligned in real time, so a hire, role change, or departure recorded in one reaches the other within seconds.

Each tool in Sysaid keeps its own list of who can use it: users, members, or agents, along with the team they sit on and whether they are still active. Jobvite is the authoritative record of the same people as employees, with their department, manager, and employment status. When those two are connected only by manual account admin or a periodic export, the work tools drift: new hires wait days for access, team and manager changes never catch up, and people who have left keep standing accounts.

Stacksync syncs Assets, Configuration Items (CIs), Companies, Custom Fields in Sysaid with Application, Workflow Status, New Hire, Employee in Jobvite bi-directionally and in real time. A person added, moved, or offboarded in Jobvite creates or updates the matching user in Sysaid within seconds, with field-level mapping and conflict resolution in place of spreadsheets and one-off account changes. Where Sysaid captures details of its own, such as a corrected contact or a login identity, those can flow back to Jobvite in whichever direction you configure.

Because the sync is field-level, each system keeps its own extras; only the shared facts, who a person is, which team they belong to, and whether their access should be on, are held in agreement.

Common use cases

  • 01 Create SysAid Incidents from monitoring or error-tracking alerts, then write status and resolution back so both systems stay aligned.
  • 02 Sync Users, Groups, and Companies from an HRIS or identity provider so requester and agent records, departments, and managers stay current in SysAid.
  • 03 Two-way sync Candidate records and their Workflow Status between Jobvite and a Postgres database so recruiting-ops teams query and update pipeline data in SQL.
  • 04 Write New Hire records into an HRIS or onboarding system the moment a candidate is marked hired, driven by Jobvite's candidate hired webhook.

Common sync patterns

Onboarding: access ready on day one

A new hire recorded in Jobvite creates the matching user in Sysaid with the right team and manager already set, so people can start working without waiting on a provisioning ticket.

Offboarding: no standing access after a departure

When someone is marked as leaving in Jobvite, the matching account in Sysaid is deactivated or flagged, so departures do not leave open access behind.

One employee directory

A person's name, title, contact details, or status corrected in either system updates the other, so both sides stop maintaining separate copies of the same person.

What you can sync between Jobvite and Sysaid

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Jobvite objects Sysaid objects How this pairing syncs
Attachment Resumes, cover letters, and files attached to a candidate; synced out to object storage or a document management system. Assets Hardware and software inventory; read out to a warehouse or written from a discovery or CMDB source of truth. Attachment is specific to Jobvite and Assets to Sysaid — each maps to any object or custom field on the other side.
Offer Offer state tied to an application (extended, accepted, declined); read out for offer-acceptance reporting and written to downstream comp or HR systems. Configuration Items (CIs) CMDB entries and their relationships; synced with an external CMDB or asset database for one inventory view. Offer is specific to Jobvite and Configuration Items (CIs) to Sysaid — each maps to any object or custom field on the other side.
Candidate Read from the candidate feed (GET /candidate) and written back via POST /candidate/updateCandidates to change status, notes, and disposition on each record. Companies Customer and department organizations that scope tickets and users; mapped to Accounts in a CRM or org tables in a database. Candidate is specific to Jobvite and Companies to Sysaid — each maps to any object or custom field on the other side.
Requisition (Job) Job openings created or updated through POST /job and read from GET /jobFeed; maps to opening tables in an ATS reporting warehouse. Custom Fields Org-specific fields on service records, discoverable through the API so mappings can be generated without hardcoding names. Requisition (Job) is specific to Jobvite and Custom Fields to Sysaid — each maps to any object or custom field on the other side.
Application Links a candidate to one requisition with its workflow state; read for pipeline reporting and status written back through the candidate update call. Incidents Break/fix tickets under /api/v1/sr with type=incident; created and updated two-way with status, priority, assignee, category, and SLA fields. Application is specific to Jobvite and Incidents to Sysaid — each maps to any object or custom field on the other side.
Workflow Status The pipeline stage per application (Screen, Interview, Offer, Hired); updated through POST /candidate/updateCandidates to advance records. Service Requests Catalog and help-desk requests on the same /sr endpoint (type=request); written or read so fulfillment can be driven from another system. Workflow Status is specific to Jobvite and Service Requests to Sysaid — each maps to any object or custom field on the other side.

How changes propagate between Jobvite and Sysaid

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Jobvite Sysaid Sub-second propagation

DetectionJobvite notifies Stacksync of record changes through webhook events. A candidate hired webhook, configured per customer by a Jobvite rep, POSTs to a custom URL on hire/offer-accepted events.

DeliveryEach detected change is written to Sysaid through its API, with automatic retries and rate-limit backoff.

Sysaid Jobvite Sub-second propagation

DetectionSysaid notifies Stacksync of record changes through webhook events. Webhooks (beta) push sr.created and sr.updated events with changed-field diffs and an X-Sysaid-Signature.

DeliveryEach detected change is written to Jobvite through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Jobvite: Roughly 15 requests per minute and 850 per hour, reset at midnight Pacific, with per-endpoint daily caps (e.g. 20,000/day candidate GET/PUT, 500/day employee sync); 429 on exceed.
  • Sysaid: Requests are throttled per the X-RateLimit-Limit / -Remaining / -Reset headers; list calls are paginated with a limit parameter and each org is capped at 100 application keys.

How the Jobvite and Sysaid connectors work

Jobvite

Integration surface
REST API (JSON) with candidate, requisition (job), and employee feed endpoints under https://api.jobvite.com/{version}
Authentication
API key (api) and secret (sc) plus company ID (companyId), sent in request headers since Jobvite's April 1, 2024 move from URL-query to header-based auth. Credentials are provisioned per customer by Jobvite Support.
Change detection
A candidate hired webhook, configured per customer by a Jobvite rep, POSTs to a custom URL on hire/offer-accepted events; otherwise Stacksync polls the candidate and job feeds on a schedule and diffs results, since records carry no per-item modified-date filter.
Capabilities
read · write · webhooks
Rate limits
Roughly 15 requests per minute and 850 per hour, reset at midnight Pacific, with per-endpoint daily caps (e.g. 20,000/day candidate GET/PUT, 500/day employee sync); 429 on exceed.

Client-credentials app keys: an application key (clientId/clientSecret) is created via /v1/application-keys, then exchanged at /v1/access-tokens for a bearer token (default 24h, up to 30 days); an x-sysaid-accountid header scopes the account. Legacy V0 uses session-cookie login.
Change detection
Webhooks (beta) push sr.created and sr.updated events with changed-field diffs and an X-Sysaid-Signature; otherwise poll the /sr endpoint filtering on update_time.gte.

Rate limits
Requests are throttled per the X-RateLimit-Limit / -Remaining / -Reset headers; list calls are paginated with a limit parameter and each org is capped at 100 application keys.
