Why teams connect Jobvite and Servicemax

Keep the people, teams, and status that Servicemax and Jobvite share aligned in real time, so a hire, role change, or departure recorded in one reaches the other within seconds.

Each tool in Servicemax keeps its own list of who can use it: users, members, or agents, along with the team they sit on and whether they are still active. Jobvite is the authoritative record of the same people as employees, with their department, manager, and employment status. When those two are connected only by manual account admin or a periodic export, the work tools drift: new hires wait days for access, team and manager changes never catch up, and people who have left keep standing accounts.

Stacksync syncs Products, Work Orders, Work Details, Installed Products in Servicemax with Workflow Status, New Hire, Employee, Attachment in Jobvite bi-directionally and in real time. A person added, moved, or offboarded in Jobvite creates or updates the matching user in Servicemax within seconds, with field-level mapping and conflict resolution in place of spreadsheets and one-off account changes. Where Servicemax captures details of its own, such as a corrected contact or a login identity, those can flow back to Jobvite in whichever direction you configure.

Because the sync is field-level, each system keeps its own extras; only the shared facts, who a person is, which team they belong to, and whether their access should be on, are held in agreement.

Common use cases

  • 01 Consolidate Service Contracts and entitlement data into a warehouse for renewal forecasting and SLA compliance dashboards.
  • 02 Mirror Accounts and Contacts between ServiceMax and the CRM system of record so customer and site data stays consistent.
  • 03 Consolidate Applications, Offers, and Workflow Status into a warehouse for time-to-fill and funnel reporting across every requisition.
  • 04 Sync Employee roster data into Jobvite with POST /employee to power employee-referral matching and internal-mobility postings.

Common sync patterns

Onboarding: access ready on day one

A new hire recorded in Jobvite creates the matching user in Servicemax with the right team and manager already set, so people can start working without waiting on a provisioning ticket.

Offboarding: no standing access after a departure

When someone is marked as leaving in Jobvite, the matching account in Servicemax is deactivated or flagged, so departures do not leave open access behind.

One employee directory

A person's name, title, contact details, or status corrected in either system updates the other, so both sides stop maintaining separate copies of the same person.

What you can sync between Jobvite and Servicemax

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Jobvite objects Servicemax objects How this pairing syncs
Candidate Read from the candidate feed (GET /candidate) and written back via POST /candidate/updateCandidates to change status, notes, and disposition on each record. Cases Standard Salesforce Case; support records that often precede a Work Order; synced with help desk tools and reporting databases. Candidate is specific to Jobvite and Cases to Servicemax — each maps to any object or custom field on the other side.
Requisition (Job) Job openings created or updated through POST /job and read from GET /jobFeed; maps to opening tables in an ATS reporting warehouse. Products Standard Salesforce Product2; catalog of serviceable products and spare parts referenced by Installed Products and Work Details. Requisition (Job) is specific to Jobvite and Products to Servicemax — each maps to any object or custom field on the other side.
Application Links a candidate to one requisition with its workflow state; read for pipeline reporting and status written back through the candidate update call. Work Orders SVMXC__Service_Order__c; the core field-service job record for install, repair, and maintenance; synced two-way with databases and pushed to ERPs at close. Application is specific to Jobvite and Work Orders to Servicemax — each maps to any object or custom field on the other side.
Workflow Status The pipeline stage per application (Screen, Interview, Offer, Hired); updated through POST /candidate/updateCandidates to advance records. Work Details SVMXC__Service_Order_Line__c; line items on a Work Order for labor, parts used, and expenses; read out for billing or written back with usage. Workflow Status is specific to Jobvite and Work Details to Servicemax — each maps to any object or custom field on the other side.
New Hire Hired-candidate records surfaced in the candidate feed and via the candidate hired webhook; commonly written into an HRIS or onboarding tool. Installed Products SVMXC__Installed_Product__c; the installed-base asset record driving entitlement and service history; synced with asset and IoT databases. New Hire is specific to Jobvite and Installed Products to Servicemax — each maps to any object or custom field on the other side.
Employee Employee roster pushed through POST /employee (Onboard sync), used for referral matching and internal-mobility job postings. Service Contracts SVMXC__Service_Contract__c; coverage and entitlement agreements; synced to warehouses for renewal, SLA, and warranty reporting. Employee is specific to Jobvite and Service Contracts to Servicemax — each maps to any object or custom field on the other side.

How changes propagate between Jobvite and Servicemax

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Jobvite Servicemax Sub-second propagation

DetectionJobvite notifies Stacksync of record changes through webhook events. A candidate hired webhook, configured per customer by a Jobvite rep, POSTs to a custom URL on hire/offer-accepted events.

DeliveryEach detected change is written to Servicemax through its API, with automatic retries and rate-limit backoff.

Servicemax Jobvite Sub-second propagation

DetectionChanges in Servicemax are captured at the source via change data capture — no polling loop against its API. Salesforce mechanisms — Apex triggers or polling on SystemModstamp/LastModifiedDate, with Change Data Capture / Platform Events available per object.

DeliveryEach detected change is written to Jobvite through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Jobvite: Roughly 15 requests per minute and 850 per hour, reset at midnight Pacific, with per-endpoint daily caps (e.g. 20,000/day candidate GET/PUT, 500/day employee sync); 429 on exceed.
  • Servicemax: Governed by the Salesforce org-wide daily API request allocation, shared across all integrations and scaled by edition and license count.

How the Jobvite and Servicemax connectors work

Jobvite

Integration surface
REST API (JSON) with candidate, requisition (job), and employee feed endpoints under https://api.jobvite.com/{version}
Authentication
API key (api) and secret (sc) plus company ID (companyId), sent in request headers since Jobvite's April 1, 2024 move from URL-query to header-based auth. Credentials are provisioned per customer by Jobvite Support.
Change detection
A candidate hired webhook, configured per customer by a Jobvite rep, POSTs to a custom URL on hire/offer-accepted events; otherwise Stacksync polls the candidate and job feeds on a schedule and diffs results, since records carry no per-item modified-date filter.
Capabilities

Rate limits
