Why teams connect Gong and Magento

Keep the customers and orders that Gong and Magento share aligned in real time, so sales works from live purchase history and the store works from current account details.

Gong holds the customer relationship: the contacts, accounts, and deals a go-to-market team works. Magento runs the buying side: who placed which order, what they bought, and where it ships. The two describe the same people and companies, and when they are connected only by exports, sales answers questions without recent orders in front of them while the store works from account details that changed weeks ago.

Stacksync links Calls, Transcripts, Users, Interaction Stats (Activity) in Gong to Orders, Customers, Inventory source items (MSI), Invoices in Magento with bi-directional, real-time sync. New customers, order activity, and corrected contact details move in whichever direction you configure, field by field, with conflicts resolved by rules you set. A record created or changed on either side shows up on the other within seconds, with no CSV exports and no nightly job.

The shared entity is the customer, matched on email or an external ID, so both systems agree on who the buyer is and the order history sits next to the relationship instead of in a separate tab.

Common use cases

  • 01 Pull call Transcripts by callId into a warehouse or vector store to power search, RAG, and deal-review summaries over what was said on calls.
  • 02 Sync Interaction Stats such as talk ratios and per-rep activity into a coaching database for engagement and rep-performance dashboards.
  • 03 Keep MSI inventory source-item quantities aligned between a WMS/ERP and Magento so storefront stock matches the warehouse.
  • 04 Read new Orders to trigger provisioning, accounting, or 3PL fulfillment in an operational database as they are placed.

Common sync patterns

Where Gong segments customers: status travels to the store record

Lifecycle stage, tier, or account owner set in Gong syncs onto the customer record in Magento, so the buying side can act on how the relationship is classified.

Where both keep product records: catalog and CRM products aligned

Where Gong tracks products or line items and Magento holds the catalog, shared items are matched on SKU so quotes, deals, and orders reference the same products.

One customer identity across sales and store

A person who exists as a contact in Gong and a buyer in Magento is kept as a single, deduplicated record, so both teams work from the same customer instead of two partial copies.

What you can sync between Gong and Magento

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Gong objects Magento objects How this pairing syncs
Library Call-library folders and folder content (curated calls and snippets) read via GET /v2/library/folders and /v2/library/folder-content. Read-only. Shipments Shipment and tracking records against orders; created or read to drive fulfillment status between Magento and a 3PL/WMS. Library is specific to Gong and Shipments to Magento — each maps to any object or custom field on the other side.
Data Privacy (Erasure) GDPR/CCPA deletion handled by POST /v2/data-privacy/erase-data-for-email, with data-for-email lookups on the read side; a write path used for compliance deletions. Carts / quotes Active and guest carts (quotes) with items and totals; read for abandoned-cart analysis (not available on the Cloud Service subset). Data Privacy (Erasure) is specific to Gong and Carts / quotes to Magento — each maps to any object or custom field on the other side.
Calls Retrieved via POST /v2/calls/extensive with participants, topics, trackers, scorecards, and media URLs, filtered by fromDateTime/toDateTime; external recordings are also imported via POST /v2/calls with media uploaded via PUT /v2/calls/{id}/media. Read and write. Products Catalog items keyed by SKU; carry created_at/updated_at for incremental polling and are written two-way from a PIM or ERP into the storefront. Calls is specific to Gong and Products to Magento — each maps to any object or custom field on the other side.
Transcripts Speaker-attributed, timestamped sentences retrieved via POST /v2/calls/transcript for one or more callIds; available only after asynchronous processing completes. Read-only. Configurable / variant products Parent configurable products link to simple product variants by attribute; synced so size/color SKUs and their prices stay aligned with source systems. Transcripts is specific to Gong and Configurable / variant products to Magento — each maps to any object or custom field on the other side.
Users Gong users and team members with roles, titles, email, and settings, read via GET /v2/users to map call owners and participants to CRM and warehouse identities. Read-only. Categories Catalog tree and product-to-category assignments; written into Magento to control merchandising and read out for taxonomy reporting. Users is specific to Gong and Categories to Magento — each maps to any object or custom field on the other side.
Interaction Stats (Activity) Aggregated talk/listen ratios, interaction stats, and day-by-day user activity retrieved via POST /v2/stats endpoints; read out for coaching and engagement reporting. Read-only. Orders Sales orders with line items, totals, and status; typically read out of Magento into a warehouse or ERP for fulfillment and revenue reporting. Interaction Stats (Activity) is specific to Gong and Orders to Magento — each maps to any object or custom field on the other side.

How changes propagate between Gong and Magento

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Gong Magento Interval-based propagation

DetectionStacksync polls Gong for changes on an incremental schedule, reading only records changed since the previous pass. Polling POST /v2/calls/extensive on fromDateTime/toDateTime.

DeliveryEach detected change is written to Magento through its API, with automatic retries and rate-limit backoff.

Magento Gong Sub-second propagation

DetectionMagento notifies Stacksync of record changes through webhook events. Polling with searchCriteria filters on updated_at (catalog, sales, and customer entities carry created_at/updated_at).

DeliveryEach detected change is written to Gong through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Gong: 3 API calls per second and 10,000 calls per day per company by default; exceeding returns HTTP 429 with a Retry-After header, and limits can be raised by contacting Gong.
  • Magento: No fixed request-per-minute cap on PaaS/on-prem; responses page via searchCriteria pageSize/currentPage under a default maximum page size of 300 (Web API Input Limits), with /async/bulk endpoints for large writes.

How the Gong and Magento connectors work

Gong

Integration surface
REST API on api.gong.io/v2 - retrieval endpoints (calls, transcript, users, stats, settings, library, logs) plus write endpoints for importing calls, uploading CRM data, and data-privacy erasure
Authentication
Basic authorization header combining an Access Key and Access Key Secret (created by a Gong technical admin, base64-encoded as key:secret); OAuth 2.0 Bearer tokens are supported for marketplace apps
Change detection
Polling POST /v2/calls/extensive on fromDateTime/toDateTime; the public API exposes no outbound webhooks or CDC, though a Gong admin can configure a product-side automation Rule that POSTs matching calls to a URL. Transcripts and analysis appear only after asynchronous processing.
Capabilities

Rate limits
3 API calls per second and 10,000 calls per day per company by default; exceeding returns HTTP 429 with a Retry-After header, and limits can be raised by contacting Gong.
