Why teams connect Brightpearl and Salesforce Marketing Cloud

Feed the real customer, order, and revenue records from Brightpearl into Salesforce Marketing Cloud so campaigns run on who actually bought what, and let contact and consent changes flow back in real time.

Marketing runs on lists of people, but the list rarely knows which of those people are paying customers, what they ordered, or what they are worth. Brightpearl holds exactly that: Products, Sales orders, Purchase orders, Contacts that record who the customer is, what they bought, and what they owe. When the two are joined only by a periodic export, campaigns go out against stale audiences, existing customers get prospecting emails, high-value accounts look the same as cold leads, and a canceled order still counts toward a segment.

Stacksync syncs Products, Sales orders, Purchase orders, Contacts in Brightpearl with Tracking Events, Transactional Sends, Data Extensions, Contacts / Subscribers in Salesforce Marketing Cloud in real time, and where both sides accept writes, in both directions. Customer, order, and invoice data maps field by field onto the contacts, audiences, or accounts Salesforce Marketing Cloud works with, so segmentation and personalization run on current purchase history instead of a month-old snapshot. Contact details and consent changes that originate in Salesforce Marketing Cloud flow back onto the record in Brightpearl.

The strongest bridge between the two is identity and purchase history, who the customer is and what they have bought, so that is where most of the value sits. Because the sync is field-level, each system keeps the attributes the other has no use for; only the shared records are held in agreement.

Common use cases

  • 01 Keep the product catalog aligned between Brightpearl and e-commerce channels, including price list changes.
  • 02 Land order and margin data in a warehouse for retail performance reporting.
  • 03 Two-way sync Data Extension rows between Marketing Cloud and a Postgres database or warehouse so audience attributes and opt-out state stay aligned in both systems.
  • 04 Push CRM or warehouse audience segments into Data Extensions via the async rows API (background bulk insert) so marketing sends to freshly built audiences without manual CSV imports.

Common sync patterns

Purchase history drives segmentation

Orders, invoices, and revenue totals from Brightpearl land on the matching contact or account in Salesforce Marketing Cloud, so audiences are built from what customers actually bought and spent rather than from guesses.

Suppress or target existing customers

Because Brightpearl knows who is already a paying customer, Salesforce Marketing Cloud can exclude them from acquisition campaigns or single them out for renewal and cross-sell.

One customer identity across both systems

A person or company's contact details corrected in either system update the other, so marketing and the back office stop maintaining separate versions of the same record.

What you can sync between Brightpearl and Salesforce Marketing Cloud

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Brightpearl objects Salesforce Marketing Cloud objects How this pairing syncs
Invoices and payments Financial documents synced to accounting platforms for reconciliation. Tracking Events Sent, Open, Click, Bounce, Unsubscribe, and NotSent events retrieved through the SOAP tracking objects (SentEvent, OpenEvent, ClickEvent, BounceEvent) or the Automation Studio Data Views (_Sent, _Open, _Click, _Bounce) - the queryable record of engagement per send. Invoices and payments is specific to Brightpearl and Tracking Events to Salesforce Marketing Cloud — each maps to any object or custom field on the other side.
Custom fields Per-object custom attributes included in field mappings. Transactional Sends Triggered and transactional Email/SMS delivered through the Messaging API (/messaging/v1/email/messages/{key}); the Event Notification Service reports each message's disposition (delivered, bounced, opened, clicked). Custom fields is specific to Brightpearl and Transactional Sends to Salesforce Marketing Cloud — each maps to any object or custom field on the other side.
Products SKU records with variants and price lists, synced with e-commerce and ERP catalogs. Data Extensions Custom relational tables that store subscriber, audience, and arbitrary business data; rows are read via GET /data/v1/customobjectdata or SOAP Retrieve and upserted via the synchronous rowset PUT or the async /data/v1/async/dataextensions rows endpoint. This is the primary two-way surface. Products is specific to Brightpearl and Data Extensions to Salesforce Marketing Cloud — each maps to any object or custom field on the other side.
Sales orders Orders from all channels; the central object for fulfillment and revenue syncs. Contacts / Subscribers The contact model keyed by Subscriber Key, holding channel addresses and subscription status; managed through the Contacts API (/contacts/v1/contacts) and the SOAP Subscriber object, and referenced by every send and journey. Sales orders is specific to Brightpearl and Contacts / Subscribers to Salesforce Marketing Cloud — each maps to any object or custom field on the other side.
Purchase orders Supplier orders synced with procurement or accounting systems. Journeys (Journey Builder) Multi-step automated flows read and managed via /interaction/v1/interactions; contacts are injected by firing an entry event to /interaction/v1/events with an EventDefinitionKey and contact data. Purchase orders is specific to Brightpearl and Journeys (Journey Builder) to Salesforce Marketing Cloud — each maps to any object or custom field on the other side.
Contacts Customers and suppliers in one contact model, matched to CRM records by email or reference. Content Assets (Content Builder) Emails, templates, images, and reusable content blocks stored in Content Builder and read or written via /asset/v1/content/assets, used to compose the messages a journey or send delivers. Contacts is specific to Brightpearl and Content Assets (Content Builder) to Salesforce Marketing Cloud — each maps to any object or custom field on the other side.

How changes propagate between Brightpearl and Salesforce Marketing Cloud

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Brightpearl Salesforce Marketing Cloud Sub-second propagation

DetectionBrightpearl notifies Stacksync of record changes through webhook events. Webhooks for object created/updated events, with resource search polling as a fallback.

DeliveryEach detected change is written to Salesforce Marketing Cloud through its API, with automatic retries and rate-limit backoff.

Salesforce Marketing Cloud Brightpearl Sub-second propagation

DetectionSalesforce Marketing Cloud notifies Stacksync of record changes through webhook events. The Event Notification Service (ENS) issues HTTPS POST callbacks for transactional Email and SMS events (sent, bounce, open, click) once a callback.

DeliveryEach detected change is written to Brightpearl through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Brightpearl: Requests are throttled per account under Brightpearl's API usage policies; bulk operations should use batch endpoints.
  • Salesforce Marketing Cloud: Salesforce does not publish fixed numeric REST rate limits; requests are throttled per account and can return HTTP 429, so backoff is advised. SOAP Retrieve returns at most 2,500 records per call and pages via ContinueRequest with the prior RequestID. Bulk Data Extension writes use the async rows API to queue inserts in the background.

REST API, organized into services (order, product, contact, warehouse, accounting)
Authentication
OAuth 2.0 (authorization code grant) for current apps; legacy private and public apps authenticate with app reference and account token headers

Salesforce Marketing Cloud

Integration surface
Two APIs on tenant-specific endpoints: a REST API (JSON over HTTPS) for Data Extensions, Journeys, Contacts, Content Builder, and Automations, plus a legacy SOAP API (ExactTarget WSDL) for tracking events and bulk Retrieve.
Authentication
OAuth 2.0 via an Installed Package (Client ID + Client Secret). Server-to-server uses the client_credentials grant and web apps use authorization_code, both against {subdomain}.auth.marketingcloudapis.com/v2/token. The 20-minute access token response also returns the account's rest_instance_url and soap_instance_url.
Change detection
The Event Notification Service (ENS) issues HTTPS POST callbacks for transactional Email and SMS events (sent, bounce, open, click) once a callback URL and subscription are registered and verified. There is no general data-change feed, so Data Extension and Data View syncs poll by date fields.
Capabilities

Rate limits
Salesforce does not publish fixed numeric REST rate limits; requests are throttled per account and can return HTTP 429, so backoff is advised. SOAP Retrieve returns at most 2,500 records per call and pages via ContinueRequest with the prior RequestID. Bulk Data Extension writes use the async rows API to queue inserts in the background.
