Why teams connect Asana and Ukg Pro

Keep the people, teams, and status that Asana and Ukg Pro share aligned in real time, so a hire, role change, or departure recorded in one reaches the other within seconds.

Each tool in Asana keeps its own list of who can use it: users, members, or agents, along with the team they sit on and whether they are still active. Ukg Pro is the authoritative record of the same people as employees, with their department, manager, and employment status. When those two are connected only by manual account admin or a periodic export, the work tools drift: new hires wait days for access, team and manager changes never catch up, and people who have left keep standing accounts.

Stacksync syncs Users, Portfolios, Tags, Teams / Workspaces in Asana with Compensation Details, Payroll (Pay Statements, Direct Deposit, Earnings), Terminations, Configuration Setup (Code Tables) in Ukg Pro bi-directionally and in real time. A person added, moved, or offboarded in Ukg Pro creates or updates the matching user in Asana within seconds, with field-level mapping and conflict resolution in place of spreadsheets and one-off account changes. Where Asana captures details of its own, such as a corrected contact or a login identity, those can flow back to Ukg Pro in whichever direction you configure.

Because the sync is field-level, each system keeps its own extras; only the shared facts, who a person is, which team they belong to, and whether their access should be on, are held in agreement.

Common use cases

  • 01 Two-way sync of Tasks and their Custom fields between an Asana project and Postgres so ops teams work in SQL while project owners stay in Asana.
  • 02 Write closed deals or new orders from a CRM or ERP into Asana Tasks to launch delivery, onboarding, or fulfillment projects automatically.
  • 03 Replicate Compensation and pay-statement / earnings history into a warehouse for headcount, labor-cost, and payroll reporting without manual BI exports.
  • 04 Deprovision accounts by subscribing to UKG Pro termination and job-change webhook events to disable IdP and app access as changes become effective.

Common sync patterns

Onboarding: access ready on day one

A new hire recorded in Ukg Pro creates the matching user in Asana with the right team and manager already set, so people can start working without waiting on a provisioning ticket.

Offboarding: no standing access after a departure

When someone is marked as leaving in Ukg Pro, the matching account in Asana is deactivated or flagged, so departures do not leave open access behind.

One employee directory

A person's name, title, contact details, or status corrected in either system updates the other, so both sides stop maintaining separate copies of the same person.

What you can sync between Asana and Ukg Pro

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Asana objects Ukg Pro objects How this pairing syncs
Projects Collections of Tasks with a layout (list, board, timeline, calendar); each project maps to a synced table scope and its custom fields define the mapping. Payroll (Pay Statements, Direct Deposit, Earnings) Pay statements, direct-deposit accounts, and earnings history; read-only pay data replicated into finance and warehouse systems for labor-cost reporting. Projects is specific to Asana and Payroll (Pay Statements, Direct Deposit, Earnings) to Ukg Pro — each maps to any object or custom field on the other side.
Sections Ordered groupings of Tasks within a project; synced as a grouping attribute or category field on the row. Terminations Termination transactions posted with a terminationDate and a reason code that must match the tenant's configured reason table; drives account deprovisioning. Sections is specific to Asana and Terminations to Ukg Pro — each maps to any object or custom field on the other side.
Custom fields Typed fields (text, number, enum, multi-enum, date, people) defined at project or workspace level; mapped to database columns, with enum values written by option GID. Configuration Setup (Code Tables) Reference data such as jobs, locations, positions, earnings, and deduction codes; used to resolve and validate field values when mapping records during sync. Custom fields is specific to Asana and Configuration Setup (Code Tables) to Ukg Pro — each maps to any object or custom field on the other side.
Stories Comments and activity entries on a Task; read out for history and reporting or written back as comments. Time & Attendance (UTA) Timekeeping and worked-hours data exposed by the UTA services; synced into scheduling, payroll, or workforce-analytics databases. Stories is specific to Asana and Time & Attendance (UTA) to Ukg Pro — each maps to any object or custom field on the other side.
Users Members of a workspace or organization referenced by assignee and follower fields; read to resolve GIDs to names and emails. Employee (Person Details) Core worker record with demographics and identifiers; read by listing employee IDs then fetching each profile, and created on hire via the personnel/onboarding endpoints. Users is specific to Asana and Employee (Person Details) to Ukg Pro — each maps to any object or custom field on the other side.
Portfolios Collections of Projects for program-level rollup; read for cross-project status and progress reporting (Business and Enterprise). Employment Details Employment status, hire and service dates, and company assignment; the record that drives active/terminated state for provisioning downstream. Portfolios is specific to Asana and Employment Details to Ukg Pro — each maps to any object or custom field on the other side.

How changes propagate between Asana and Ukg Pro

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Asana Ukg Pro Sub-second propagation

DetectionAsana notifies Stacksync of record changes through webhook events. Resource-scoped webhooks (established with an X-Hook-Secret handshake) POST events on create, change, and delete.

DeliveryEach detected change is written to Ukg Pro through its API, with automatic retries and rate-limit backoff.

Ukg Pro Asana Sub-second propagation

DeliveryEach detected change is written to Asana through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Asana: Per token: 1,500 requests/minute on paid plans, 150/minute on free; the Search API is capped at 60/minute; concurrency caps at 50 GET and 15 write requests. Exceeding a limit returns HTTP 429 with a Retry-After header, and a separate cost-based limiter applies to complex graph traversals.
  • Ukg Pro: An API gateway throttles calls per client over a rolling window (typically per minute); UKG does not publish exact numeric thresholds. Exceeding the limit returns HTTP 429, and UKG recommends a roughly one-second looping backoff before resuming (a Retry-After header is not yet standard). Reads are offset-paginated.

How the Asana and Ukg Pro connectors work

Asana

Integration surface
REST API (app.asana.com/api/1.0, JSON responses), plus resource-scoped Webhooks and a sync-token Events API
Authentication
OAuth 2.0 for multi-user apps, Personal Access Tokens (PATs) for single-account use and testing, and organization-scoped Service Accounts (Enterprise) for admin-level access
Change detection
Resource-scoped webhooks (established with an X-Hook-Secret handshake) POST events on create, change, and delete; the sync-token Events API returns incremental changes on a task or project when webhooks are not used
Capabilities

Ukg Pro

Integration surface
REST API (UKG Pro HCM REST services) with separate Onboarding and Recruiting REST APIs, plus legacy SOAP-based UKG Pro Web Services
Authentication
Core HCM REST APIs use HTTP Basic authentication with a dedicated web service account, plus a Customer API Key and a User API Key sent as headers (found under System Configuration > Security > Service Account Administration); the Onboarding and Recruiting REST APIs instead require a bearer Authorization Token from the token endpoint.
Change detection
No CDC stream. UKG Pro publishes Pro HCM Webhook Events for changes such as new hire, employee and job detail changes, termination, and PTO, which Stacksync subscribes to for near-real-time triggers; bulk and historical loads use paged reads with each service's modified-since filters.
Capabilities
read · write · webhooks
