Why teams connect Ukg Pro and Zuora

Keep the employee, department, and cost records that Zuora and Ukg Pro share consistent in real time, so the finance system and the people system stop drifting apart.

Zuora runs the money side of the company: who gets paid, what it costs, and which part of the business the cost belongs to. Ukg Pro runs the people side: who works here, which team they sit in, and how their employment changes over time. The two overlap on the same people and the same org structure, because every employee is also a payee and every department is also a cost center. When that overlap is maintained by hand, a new hire, a transfer, or a termination has to be keyed twice, and the two systems start to disagree about who is active and where the cost lands.

Stacksync syncs Account (Billing Account), Subscription, Rate Plan and Rate Plan Charge, Product and Product Rate Plan (Product Catalog) in Zuora with Employment Details, Job / Position History, Compensation Details, Payroll (Pay Statements, Direct Deposit, Earnings) in Ukg Pro bi-directionally and in real time. A person added, updated, or deactivated on either side appears on the other within seconds, with field-level mapping and conflict resolution in place of CSV exports and nightly batch jobs.

That matters most when money follows a people event. A hire that finance can pay, a leaver whose access ends, a transfer that redirects cost to the right team, all happen from one change instead of two, so headcount and spend reconcile from the same set of records.

Common use cases

  • 01 Stream metered Usage records from a warehouse or metering pipeline into Zuora so consumption-based charges are rated on the correct Rate Plan.
  • 02 Two-way sync of Accounts and Subscriptions with an operational Postgres database so product and finance teams read billing state in SQL while changes flow back into Zuora.
  • 03 Keep Configuration code tables (jobs, locations, departments, cost centers) aligned between UKG Pro and an ERP so org and cost-center hierarchies match.
  • 04 Two-way sync of Employee and Job Details (position, department, supervisor, location, cost center) into Postgres so provisioning, internal apps, and analytics read current worker and org data in SQL while HR edits in UKG Pro.

Common sync patterns

Status changes propagate

A role, department, or employment-status change in either system updates the other within seconds, so cost allocation, access, and reporting reflect the current state.

People-driven costs land in finance

Compensation, reimbursements, or other costs tied to a person on the Ukg Pro side flow into Zuora for posting, so the books reflect what people actually cost without manual re-entry.

New person becomes a known record in finance

When someone is added in Ukg Pro, a matching employee or payee record appears in Zuora, ready for payroll, expenses, or cost allocation without anyone rekeying the details.

What you can sync between Ukg Pro and Zuora

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Ukg Pro objects Zuora objects How this pairing syncs
Payroll (Pay Statements, Direct Deposit, Earnings) Pay statements, direct-deposit accounts, and earnings history; read-only pay data replicated into finance and warehouse systems for labor-cost reporting. Usage Metered consumption records; written into Zuora from a metering or warehouse pipeline so consumption-based charges are rated and invoiced. Payroll (Pay Statements, Direct Deposit, Earnings) is specific to Ukg Pro and Usage to Zuora — each maps to any object or custom field on the other side.
Terminations Termination transactions posted with a terminationDate and a reason code that must match the tenant's configured reason table; drives account deprovisioning. Order and Amendment Records of subscription create and change actions; written to Zuora to drive quote-to-cash and read for subscription change history. Terminations is specific to Ukg Pro and Order and Amendment to Zuora — each maps to any object or custom field on the other side.
Configuration Setup (Code Tables) Reference data such as jobs, locations, positions, earnings, and deduction codes; used to resolve and validate field values when mapping records during sync. Account (Billing Account) The customer billing entity holding contacts, payment methods, and billing settings; synced two-way as the parent record most other Zuora objects hang off. Configuration Setup (Code Tables) is specific to Ukg Pro and Account (Billing Account) to Zuora — each maps to any object or custom field on the other side.
Time & Attendance (UTA) Timekeeping and worked-hours data exposed by the UTA services; synced into scheduling, payroll, or workforce-analytics databases. Subscription Recurring or usage-based subscription tied to an Account; read for revenue state and written when provisioning or changing plans from a CRM or app. Time & Attendance (UTA) is specific to Ukg Pro and Subscription to Zuora — each maps to any object or custom field on the other side.
Employee (Person Details) Core worker record with demographics and identifiers; read by listing employee IDs then fetching each profile, and created on hire via the personnel/onboarding endpoints. Rate Plan and Rate Plan Charge The priced components inside a Subscription; synced so charge amounts, quantities, and effective dates stay aligned with the source system. Employee (Person Details) is specific to Ukg Pro and Rate Plan and Rate Plan Charge to Zuora — each maps to any object or custom field on the other side.
Employment Details Employment status, hire and service dates, and company assignment; the record that drives active/terminated state for provisioning downstream. Product and Product Rate Plan (Product Catalog) The catalog of sellable products and their pricing; usually mastered elsewhere and written into Zuora, or read to map subscription charges. Employment Details is specific to Ukg Pro and Product and Product Rate Plan (Product Catalog) to Zuora — each maps to any object or custom field on the other side.

How changes propagate between Ukg Pro and Zuora

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Ukg Pro Zuora Sub-second propagation

DetectionUkg Pro notifies Stacksync of record changes through webhook events. No CDC stream.

DeliveryEach detected change is written to Zuora through its API, with automatic retries and rate-limit backoff.

Zuora Ukg Pro Sub-second propagation

DetectionZuora notifies Stacksync of record changes through webhook events. Incremental extraction on the indexed UpdatedDate column via ZOQL/AQuA stateful mode (high-water mark), plus Callout Notifications (webhooks) for.

DeliveryEach detected change is written to Ukg Pro through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Ukg Pro: An API gateway throttles calls per client over a rolling window (typically per minute); UKG does not publish exact numeric thresholds. Exceeding the limit returns HTTP 429, and UKG recommends a roughly one-second looping backoff before resuming (a Retry-After header is not yet standard). Reads are offset-paginated.
  • Zuora: Concurrency limits: 40 concurrent requests by default, 80 for Object Queries, 200 for high-volume operations (doubled for Performance Booster); HTTP 429 on breach with exponential backoff; OAuth token endpoint is not bound by the limit.

How the Ukg Pro and Zuora connectors work

Ukg Pro

Integration surface
REST API (UKG Pro HCM REST services) with separate Onboarding and Recruiting REST APIs, plus legacy SOAP-based UKG Pro Web Services
Authentication
Core HCM REST APIs use HTTP Basic authentication with a dedicated web service account, plus a Customer API Key and a User API Key sent as headers (found under System Configuration > Security > Service Account Administration); the Onboarding and Recruiting REST APIs instead require a bearer Authorization Token from the token endpoint.
Change detection
No CDC stream. UKG Pro publishes Pro HCM Webhook Events for changes such as new hire, employee and job detail changes, termination, and PTO, which Stacksync subscribes to for near-real-time triggers; bulk and historical loads use paged reads with each service's modified-since filters.
