Why teams connect Salesforce Marketing Cloud and SAP

Feed the real customer, order, and revenue records from SAP into Salesforce Marketing Cloud so campaigns run on who actually bought what, and let contact and consent changes flow back in real time.

Marketing runs on lists of people, but the list rarely knows which of those people are paying customers, what they ordered, or what they are worth. SAP holds exactly that: Inventory / Stock, Cost Centers, Business Partners, Materials (Products) that record who the customer is, what they bought, and what they owe. When the two are joined only by a periodic export, campaigns go out against stale audiences, existing customers get prospecting emails, high-value accounts look the same as cold leads, and a canceled order still counts toward a segment.

Stacksync syncs Inventory / Stock, Cost Centers, Business Partners, Materials (Products) in SAP with Tracking Events, Transactional Sends, Data Extensions, Contacts / Subscribers in Salesforce Marketing Cloud in real time, and where both sides accept writes, in both directions. Customer, order, and invoice data maps field by field onto the contacts, audiences, or accounts Salesforce Marketing Cloud works with, so segmentation and personalization run on current purchase history instead of a month-old snapshot. Contact details and consent changes that originate in Salesforce Marketing Cloud flow back onto the record in SAP.

The strongest bridge between the two is identity and purchase history, who the customer is and what they have bought, so that is where most of the value sits. Because the sync is field-level, each system keeps the attributes the other has no use for; only the shared records are held in agreement.

Common use cases

  • 01 Expose sales order and delivery status to customer portals through a synced Postgres database instead of direct SAP access.
  • 02 Publish plant-level inventory to e-commerce and planning systems on change or on schedule.
  • 03 Sync Contacts and Subscriber Key subscription status between Marketing Cloud and a CRM so suppression and opt-in state stay current before the next send.
  • 04 Stream Event Notification Service callbacks for transactional sends, bounces, opens, and clicks into a database in near real time alongside CRM contact records.

Common sync patterns

Suppress or target existing customers

Because SAP knows who is already a paying customer, Salesforce Marketing Cloud can exclude them from acquisition campaigns or single them out for renewal and cross-sell.

One customer identity across both systems

A person or company's contact details corrected in either system update the other, so marketing and the back office stop maintaining separate versions of the same record.

Lifecycle triggers from back-office events

A first order, a renewal, or a lapsed account recorded in SAP appears in Salesforce Marketing Cloud within seconds, ready to start or stop a lifecycle campaign.

What you can sync between Salesforce Marketing Cloud and SAP

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Salesforce Marketing Cloud objects SAP objects How this pairing syncs
Transactional Sends Triggered and transactional Email/SMS delivered through the Messaging API (/messaging/v1/email/messages/{key}); the Event Notification Service reports each message's disposition (delivered, bounced, opened, clicked). Business Partners The unified customer and supplier master in S/4HANA, the anchor object for CRM and procurement syncs. Transactional Sends is specific to Salesforce Marketing Cloud and Business Partners to SAP — each maps to any object or custom field on the other side.
Data Extensions Custom relational tables that store subscriber, audience, and arbitrary business data; rows are read via GET /data/v1/customobjectdata or SOAP Retrieve and upserted via the synchronous rowset PUT or the async /data/v1/async/dataextensions rows endpoint. This is the primary two-way surface. Materials (Products) Item master with plant and sales views, synced to commerce, PLM, and CRM systems. Data Extensions is specific to Salesforce Marketing Cloud and Materials (Products) to SAP — each maps to any object or custom field on the other side.
Contacts / Subscribers The contact model keyed by Subscriber Key, holding channel addresses and subscription status; managed through the Contacts API (/contacts/v1/contacts) and the SOAP Subscriber object, and referenced by every send and journey. Sales Orders Order documents written from external channels and read for status and fulfillment. Contacts / Subscribers is specific to Salesforce Marketing Cloud and Sales Orders to SAP — each maps to any object or custom field on the other side.
Journeys (Journey Builder) Multi-step automated flows read and managed via /interaction/v1/interactions; contacts are injected by firing an entry event to /interaction/v1/events with an EventDefinitionKey and contact data. Purchase Orders Procurement documents synced with supplier portals and spend tools. Journeys (Journey Builder) is specific to Salesforce Marketing Cloud and Purchase Orders to SAP — each maps to any object or custom field on the other side.
Content Assets (Content Builder) Emails, templates, images, and reusable content blocks stored in Content Builder and read or written via /asset/v1/content/assets, used to compose the messages a journey or send delivers. Outbound Deliveries Shipment documents synced to WMS, carriers, and customer portals. Content Assets (Content Builder) is specific to Salesforce Marketing Cloud and Outbound Deliveries to SAP — each maps to any object or custom field on the other side.
Automations (Automation Studio) Scheduled or triggered workflows of import, query, extract, and send activities managed via /automation/v1/automations; SQL Query Activities read Data Views and write results into Data Extensions. Billing Documents Invoices read for AR status and replicated for revenue reporting. Automations (Automation Studio) is specific to Salesforce Marketing Cloud and Billing Documents to SAP — each maps to any object or custom field on the other side.

How changes propagate between Salesforce Marketing Cloud and SAP

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Salesforce Marketing Cloud SAP Sub-second propagation

DetectionSalesforce Marketing Cloud notifies Stacksync of record changes through webhook events. The Event Notification Service (ENS) issues HTTPS POST callbacks for transactional Email and SMS events (sent, bounce, open, click) once a callback.

DeliveryEach detected change is written to SAP through its API, with automatic retries and rate-limit backoff.

DeliveryEach detected change is written to Salesforce Marketing Cloud through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Salesforce Marketing Cloud: Salesforce does not publish fixed numeric REST rate limits; requests are throttled per account and can return HTTP 429, so backoff is advised. SOAP Retrieve returns at most 2,500 records per call and pages via ContinueRequest with the prior RequestID. Bulk Data Extension writes use the async rows API to queue inserts in the background.
  • SAP: Throttling is configured at the gateway and tenant level rather than as a single published rate limit.

How the Salesforce Marketing Cloud and SAP connectors work

Salesforce Marketing Cloud

Integration surface
Two APIs on tenant-specific endpoints: a REST API (JSON over HTTPS) for Data Extensions, Journeys, Contacts, Content Builder, and Automations, plus a legacy SOAP API (ExactTarget WSDL) for tracking events and bulk Retrieve.
Authentication
OAuth 2.0 via an Installed Package (Client ID + Client Secret). Server-to-server uses the client_credentials grant and web apps use authorization_code, both against {subdomain}.auth.marketingcloudapis.com/v2/token. The 20-minute access token response also returns the account's rest_instance_url and soap_instance_url.
Change detection
The Event Notification Service (ENS) issues HTTPS POST callbacks for transactional Email and SMS events (sent, bounce, open, click) once a callback URL and subscription are registered and verified. There is no general data-change feed, so Data Extension and Data View syncs poll by date fields.
