Why teams connect Gainsight and Paylocity

Keep the people, teams, and status that Gainsight and Paylocity share aligned in real time, so a hire, role change, or departure recorded in one reaches the other within seconds.

Each tool in Gainsight keeps its own list of who can use it: users, members, or agents, along with the team they sit on and whether they are still active. Paylocity is the authoritative record of the same people as employees, with their department, manager, and employment status. When those two are connected only by manual account admin or a periodic export, the work tools drift: new hires wait days for access, team and manager changes never catch up, and people who have left keep standing accounts.

Stacksync syncs Company, Person (People), Relationship, CTA (Call to Action) in Gainsight with Pay Statements, Company Codes, Custom Fields, Employees in Paylocity bi-directionally and in real time. A person added, moved, or offboarded in Paylocity creates or updates the matching user in Gainsight within seconds, with field-level mapping and conflict resolution in place of spreadsheets and one-off account changes. Where Gainsight captures details of its own, such as a corrected contact or a login identity, those can flow back to Paylocity in whichever direction you configure.

Because the sync is field-level, each system keeps its own extras; only the shared facts, who a person is, which team they belong to, and whether their access should be on, are held in agreement.

Common use cases

  • 01 Keep Relationship records aligned with a billing system or ERP so multi-product customers map to the correct contracts and invoices.
  • 02 Read Timeline Activities and Success Plan objectives into a reporting database for churn, QBR, and CSM-productivity dashboards.
  • 03 React to the Employee Change webhook to pull the updated Employee record and propagate title, location, or manager changes to downstream apps within minutes.
  • 04 Two-way sync of Employees between Paylocity and an HRIS or identity provider so new hires, terminations, and demographic edits flow both directions.

Common sync patterns

Where Gainsight routes or assigns work by person: assignments follow the org

When someone changes teams or managers in Paylocity, the queues, ownership, or approvals in Gainsight update to match, so work reaches whoever holds the role now.

Onboarding: access ready on day one

A new hire recorded in Paylocity creates the matching user in Gainsight with the right team and manager already set, so people can start working without waiting on a provisioning ticket.

Offboarding: no standing access after a departure

When someone is marked as leaving in Paylocity, the matching account in Gainsight is deactivated or flagged, so departures do not leave open access behind.

What you can sync between Gainsight and Paylocity

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Gainsight objects Paylocity objects How this pairing syncs
Custom Objects Org-specific MDA tables with the __gc suffix; discoverable via the Describe API so field mappings can be generated automatically. Local and State Taxes Two-way via Create/Update/Delete Local Tax and Upsert Primary / Non-Primary State Tax; Get by tax code and Get All for reads. Custom Objects is specific to Gainsight and Local and State Taxes to Paylocity — each maps to any object or custom field on the other side.
Company Customer/account master in Gainsight CS; two-way synced with CRM and warehouse customer tables to keep ARR, owner, and renewal fields aligned. Direct Deposit Read-only: Get All Direct Deposit and Get Employee Bank Accounts return main and additional allocations. Bank details cannot be written through the API. Company is specific to Gainsight and Direct Deposit to Paylocity — each maps to any object or custom field on the other side.
Person (People) Contacts associated to companies through the Company Person junction; synced two-way with CRM contacts and warehouse person records. Pay Statements Read-only detailed payroll statement data — earnings, deductions, taxes, and direct deposit allocations by year, check date, or date range. Pulled for reporting, never written. Person (People) is specific to Gainsight and Pay Statements to Paylocity — each maps to any object or custom field on the other side.
Relationship Sub-units within a company for multi-product or multi-team accounts; synced so each maps to the right contract in billing or an ERP. Company Codes Read-only reference codes and descriptions (cost centers, departments, positions) used to validate field mappings on employee writes. Relationship is specific to Gainsight and Company Codes to Paylocity — each maps to any object or custom field on the other side.
CTA (Call to Action) Risk and expansion alerts that drive CSM plays; often synced to ticketing or project tools so follow-up work is tracked where teams operate. Custom Fields Read-only company-specific custom fields returned by category, used to enrich the employee record downstream. CTA (Call to Action) is specific to Gainsight and Custom Fields to Paylocity — each maps to any object or custom field on the other side.
Scorecard Fact Health scores and measures per Company or Relationship; usage metrics from a warehouse are written in so scores reflect live telemetry. Employees Core HR record keyed by companyId + employeeId; two-way via Create New Employee (POST) and Update Employee (PATCH), plus Get Employee / Get All Employees for reads. Scorecard Fact is specific to Gainsight and Employees to Paylocity — each maps to any object or custom field on the other side.

How changes propagate between Gainsight and Paylocity

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Gainsight Paylocity Interval-based propagation

DetectionStacksync polls Gainsight for changes on an incremental schedule, reading only records changed since the previous pass. Polling on the ModifiedDate (GS Modified Date) system field, which is filterable and sortable on every object.

DeliveryEach detected change is written to Paylocity through its API, with automatic retries and rate-limit backoff.

Paylocity Gainsight Sub-second propagation

DetectionPaylocity notifies Stacksync of record changes through webhook events. Webhooks — Paylocity POSTs Employee New Hire, Employee Change, Termination, Payroll Processed, and Time Off Approval events to a callback URL.

DeliveryEach detected change is written to Gainsight through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Gainsight: Synchronous APIs are capped near 100 calls/min and 50,000/day; the asynchronous Bulk API allows 10 calls/hour and 100/day. Both are fixed-window limits, and the applicable per-hour and per-day limits are returned in the x-ratelimit-limit response header.
  • Paylocity: 25 requests per second (1,500 per minute); exceeding it returns HTTP 429. Every path is scoped to a Paylocity-assigned companyId (a company code, not a UUID).

How the Gainsight and Paylocity connectors work

Gainsight

Integration surface
REST APIs (per-object) and asynchronous Bulk REST API
Authentication
API access key passed in the 'accesskey' request header (non-expiring), generated by a Gainsight admin; M2M OAuth (Client ID/Secret) is also supported
Change detection
Polling on the ModifiedDate (GS Modified Date) system field, which is filterable and sortable on every object; Rules Engine Real-Time Rules can optionally push specific object events (e.g., a Company stage change) to an external endpoint
Capabilities
read · write
Rate limits
Synchronous APIs are capped near 100 calls/min and 50,000/day; the asynchronous Bulk API allows 10 calls/hour and 100/day. Both are fixed-window limits, and the applicable per-hour and per-day limits are returned in the x-ratelimit-limit response header.

Paylocity

Integration surface
REST API (v1 and v2), JSON payloads
Authentication
OAuth 2.0 client credentials via the Paylocity Identity Provider (/IdentityServer/connect/token) with the WebLinkAPI scope; access tokens expire after one hour and API access must be enabled by Paylocity for the company
Change detection
Webhooks — Paylocity POSTs Employee New Hire, Employee Change, Termination, Payroll Processed, and Time Off Approval events to a callback URL; payloads carry only companyId and employeeId, so the receiver calls the relevant API to fetch changed values. Scheduled polling is used for objects without webhooks.
Capabilities
read · write · webhooks
Rate limits
25 requests per second (1,500 per minute); exceeding it returns HTTP 429. Every path is scoped to a Paylocity-assigned companyId (a company code, not a UUID).
