Why teams connect Front and Paylocity

Keep the people, teams, and status that Front and Paylocity share aligned in real time, so a hire, role change, or departure recorded in one reaches the other within seconds.

Each tool in Front keeps its own list of who can use it: users, members, or agents, along with the team they sit on and whether they are still active. Paylocity is the authoritative record of the same people as employees, with their department, manager, and employment status. When those two are connected only by manual account admin or a periodic export, the work tools drift: new hires wait days for access, team and manager changes never catch up, and people who have left keep standing accounts.

Stacksync syncs Channels, Conversations, Messages, Comments in Front with Deductions (Pay Setup), Earnings (Pay Setup), Local and State Taxes, Direct Deposit in Paylocity bi-directionally and in real time. A person added, moved, or offboarded in Paylocity creates or updates the matching user in Front within seconds, with field-level mapping and conflict resolution in place of spreadsheets and one-off account changes. Where Front captures details of its own, such as a corrected contact or a login identity, those can flow back to Paylocity in whichever direction you configure.

Because the sync is field-level, each system keeps its own extras; only the shared facts, who a person is, which team they belong to, and whether their access should be on, are held in agreement.

Common use cases

  • 01 Feed CSAT and SLA reporting from synced conversation events rather than manual exports.
  • 02 Sync conversations, messages, and tags into Postgres for response-time and volume analytics across inboxes.
  • 03 Upsert recurring Deductions and Earnings on employee records when benefits or 401(k) elections change in a benefits admin system, without re-keying payroll setup.
  • 04 Read Pay Statements and Direct Deposit allocations into a Postgres or warehouse database for labor-cost, GL, and headcount reporting in SQL.

Common sync patterns

Onboarding: access ready on day one

A new hire recorded in Paylocity creates the matching user in Front with the right team and manager already set, so people can start working without waiting on a provisioning ticket.

Offboarding: no standing access after a departure

When someone is marked as leaving in Paylocity, the matching account in Front is deactivated or flagged, so departures do not leave open access behind.

One employee directory

A person's name, title, contact details, or status corrected in either system updates the other, so both sides stop maintaining separate copies of the same person.

What you can sync between Front and Paylocity

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Front objects Paylocity objects How this pairing syncs
Comments Internal team notes on conversations; usually read-only in syncs. Direct Deposit Read-only: Get All Direct Deposit and Get Employee Bank Accounts return main and additional allocations. Bank details cannot be written through the API. Comments is specific to Front and Direct Deposit to Paylocity — each maps to any object or custom field on the other side.
Contacts People across channels; matched to CRM contacts, with custom fields carrying external context. Pay Statements Read-only detailed payroll statement data — earnings, deductions, taxes, and direct deposit allocations by year, check date, or date range. Pulled for reporting, never written. Contacts is specific to Front and Pay Statements to Paylocity — each maps to any object or custom field on the other side.
Accounts Company groupings of contacts; kept aligned with CRM accounts. Company Codes Read-only reference codes and descriptions (cost centers, departments, positions) used to validate field mappings on employee writes. Accounts is specific to Front and Company Codes to Paylocity — each maps to any object or custom field on the other side.
Inboxes Shared queues that conversations live in; used to segment reporting by team or channel. Custom Fields Read-only company-specific custom fields returned by category, used to enrich the employee record downstream. Inboxes is specific to Front and Custom Fields to Paylocity — each maps to any object or custom field on the other side.
Tags Labels applied to conversations; drive routing and category-level analytics. Employees Core HR record keyed by companyId + employeeId; two-way via Create New Employee (POST) and Update Employee (PATCH), plus Get Employee / Get All Employees for reads. Tags is specific to Front and Employees to Paylocity — each maps to any object or custom field on the other side.
Teammates Agents; used for ownership mapping and workload reporting. Onboarding Create Employee Onboarding pushes new-hire data into Paylocity's onboarding workflow; Get Onboarding Status reads back partner onboarding progress. Write-in for hires from an ATS. Teammates is specific to Front and Onboarding to Paylocity — each maps to any object or custom field on the other side.

How changes propagate between Front and Paylocity

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Front Paylocity Sub-second propagation

DetectionFront notifies Stacksync of record changes through webhook events. Application webhooks and rule-triggered webhooks, with the events endpoint available for polling.

DeliveryEach detected change is written to Paylocity through its API, with automatic retries and rate-limit backoff.

Paylocity Front Sub-second propagation

DetectionPaylocity notifies Stacksync of record changes through webhook events. Webhooks — Paylocity POSTs Employee New Hire, Employee Change, Termination, Payroll Processed, and Time Off Approval events to a callback URL.

DeliveryEach detected change is written to Front through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Front: Request limits vary by plan.
  • Paylocity: 25 requests per second (1,500 per minute); exceeding it returns HTTP 429. Every path is scoped to a Paylocity-assigned companyId (a company code, not a UUID).

Paylocity

Integration surface
REST API (v1 and v2), JSON payloads
Authentication
OAuth 2.0 client credentials via the Paylocity Identity Provider (/IdentityServer/connect/token) with the WebLinkAPI scope; access tokens expire after one hour and API access must be enabled by Paylocity for the company
Change detection
Webhooks — Paylocity POSTs Employee New Hire, Employee Change, Termination, Payroll Processed, and Time Off Approval events to a callback URL; payloads carry only companyId and employeeId, so the receiver calls the relevant API to fetch changed values. Scheduled polling is used for objects without webhooks.
