Why teams connect Jobvite and Notion

Keep the people, teams, and status that Notion and Jobvite share aligned in real time, so a hire, role change, or departure recorded in one reaches the other within seconds.

Each tool in Notion keeps its own list of who can use it: users, members, or agents, along with the team they sit on and whether they are still active. Jobvite is the authoritative record of the same people as employees, with their department, manager, and employment status. When those two are connected only by manual account admin or a periodic export, the work tools drift: new hires wait days for access, team and manager changes never catch up, and people who have left keep standing accounts.

Stacksync syncs Formula and Rollup properties, Users, Comments, Files and attachments in Notion with Workflow Status, New Hire, Employee, Attachment in Jobvite bi-directionally and in real time. A person added, moved, or offboarded in Jobvite creates or updates the matching user in Notion within seconds, with field-level mapping and conflict resolution in place of spreadsheets and one-off account changes. Where Notion captures details of its own, such as a corrected contact or a login identity, those can flow back to Jobvite in whichever direction you configure.

Because the sync is field-level, each system keeps its own extras; only the shared facts, who a person is, which team they belong to, and whether their access should be on, are held in agreement.

Common use cases

  • 01 Sync a Notion content-calendar database with Jira or Linear by mapping status and date properties both directions.
  • 02 Read Notion wiki Pages and their Blocks into a database or search index for internal knowledge retrieval.
  • 03 Write New Hire records into an HRIS or onboarding system the moment a candidate is marked hired, driven by Jobvite's candidate hired webhook.
  • 04 Push headcount-approved Requisitions from an internal planning database into Jobvite via POST /job so approved roles post to the career site automatically.

Common sync patterns

One employee directory

A person's name, title, contact details, or status corrected in either system updates the other, so both sides stop maintaining separate copies of the same person.

Org and team structure kept current

Department, team, and reporting-line changes from Jobvite keep the groups, queues, or projects in Notion assigned to the right people.

Where Notion routes or assigns work by person: assignments follow the org

When someone changes teams or managers in Jobvite, the queues, ownership, or approvals in Notion update to match, so work reaches whoever holds the role now.

What you can sync between Jobvite and Notion

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Jobvite objects Notion objects How this pairing syncs
Attachment Resumes, cover letters, and files attached to a candidate; synced out to object storage or a document management system. Blocks The page body — paragraphs, headings, to-dos, tables — nested as children and fetched recursively, separate from a page's properties. Attachment is specific to Jobvite and Blocks to Notion — each maps to any object or custom field on the other side.
Offer Offer state tied to an application (extended, accepted, declined); read out for offer-acceptance reporting and written to downstream comp or HR systems. Formula and Rollup properties Values computed by Notion from other fields; read-only, so they are pulled out for reporting but never written back. Offer is specific to Jobvite and Formula and Rollup properties to Notion — each maps to any object or custom field on the other side.
Candidate Read from the candidate feed (GET /candidate) and written back via POST /candidate/updateCandidates to change status, notes, and disposition on each record. Users Workspace members and bots referenced by people properties; read-only — users cannot be created or invited through the API. Candidate is specific to Jobvite and Users to Notion — each maps to any object or custom field on the other side.
Requisition (Job) Job openings created or updated through POST /job and read from GET /jobFeed; maps to opening tables in an ATS reporting warehouse. Comments Page and inline discussion threads; can be read and created, useful for surfacing Notion activity in another system. Requisition (Job) is specific to Jobvite and Comments to Notion — each maps to any object or custom field on the other side.
Application Links a candidate to one requisition with its workflow state; read for pipeline reporting and status written back through the candidate update call. Files and attachments File-property and file-block values. Notion-hosted URLs are temporary and expire, so files are re-fetched or copied at sync time. Application is specific to Jobvite and Files and attachments to Notion — each maps to any object or custom field on the other side.
Workflow Status The pipeline stage per application (Screen, Interview, Offer, Hired); updated through POST /candidate/updateCandidates to advance records. Pages The core content unit and also every row of a database; synced two-way as records, with typed properties mapping to table columns. Workflow Status is specific to Jobvite and Pages to Notion — each maps to any object or custom field on the other side.

How changes propagate between Jobvite and Notion

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Jobvite Notion Sub-second propagation

DetectionJobvite notifies Stacksync of record changes through webhook events. A candidate hired webhook, configured per customer by a Jobvite rep, POSTs to a custom URL on hire/offer-accepted events.

DeliveryEach detected change is written to Notion through its API, with automatic retries and rate-limit backoff.

Notion Jobvite Sub-second propagation

DetectionNotion notifies Stacksync of record changes through webhook events. Workspace webhooks (page.created, page.content_updated, data_source.schema_updated, comment.created.

DeliveryEach detected change is written to Jobvite through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Jobvite: Roughly 15 requests per minute and 850 per hour, reset at midnight Pacific, with per-endpoint daily caps (e.g. 20,000/day candidate GET/PUT, 500/day employee sync); 429 on exceed.
  • Notion: Average of ~3 requests/second per integration with some bursts; 429 with a Retry-After header when exceeded. Payloads capped at 500 KB and 1000 block elements.

How the Jobvite and Notion connectors work

Jobvite

Integration surface
REST API (JSON) with candidate, requisition (job), and employee feed endpoints under https://api.jobvite.com/{version}
Authentication
API key (api) and secret (sc) plus company ID (companyId), sent in request headers since Jobvite's April 1, 2024 move from URL-query to header-based auth. Credentials are provisioned per customer by Jobvite Support.
Change detection
A candidate hired webhook, configured per customer by a Jobvite rep, POSTs to a custom URL on hire/offer-accepted events; otherwise Stacksync polls the candidate and job feeds on a schedule and diffs results, since records carry no per-item modified-date filter.
Capabilities
read · write · webhooks
Rate limits
Roughly 15 requests per minute and 850 per hour, reset at midnight Pacific, with per-endpoint daily caps (e.g. 20,000/day candidate GET/PUT, 500/day employee sync); 429 on exceed.
