Why teams connect Namely and Notion

Keep the people, teams, and status that Notion and Namely share aligned in real time, so a hire, role change, or departure recorded in one reaches the other within seconds.

Each tool in Notion keeps its own list of who can use it: users, members, or agents, along with the team they sit on and whether they are still active. Namely is the authoritative record of the same people as employees, with their department, manager, and employment status. When those two are connected only by manual account admin or a periodic export, the work tools drift: new hires wait days for access, team and manager changes never catch up, and people who have left keep standing accounts.

Stacksync syncs Files and attachments, Pages, Databases / Data sources, Properties in Notion with Reports, Profile Fields, Events, Profiles in Namely bi-directionally and in real time. A person added, moved, or offboarded in Namely creates or updates the matching user in Notion within seconds, with field-level mapping and conflict resolution in place of spreadsheets and one-off account changes. Where Notion captures details of its own, such as a corrected contact or a login identity, those can flow back to Namely in whichever direction you configure.

Because the sync is field-level, each system keeps its own extras; only the shared facts, who a person is, which team they belong to, and whether their access should be on, are held in agreement.

Common use cases

  • 01 Read Notion wiki Pages and their Blocks into a database or search index for internal knowledge retrieval.
  • 02 Two-way sync a Notion projects or tasks data source with a Postgres table so engineers work in SQL while the team edits Pages in Notion, mapping status, date, and assignee properties both ways.
  • 03 Feed Namely Reports as JSON into a database on a schedule for roster, turnover, and diversity dashboards without manual CSV exports.
  • 04 Provision or deprovision accounts in an IdP or directory when a Profile's user_status or start_date changes, and write the resulting user ID and email back onto the Profile.

Common sync patterns

Onboarding: access ready on day one

A new hire recorded in Namely creates the matching user in Notion with the right team and manager already set, so people can start working without waiting on a provisioning ticket.

Offboarding: no standing access after a departure

When someone is marked as leaving in Namely, the matching account in Notion is deactivated or flagged, so departures do not leave open access behind.

One employee directory

A person's name, title, contact details, or status corrected in either system updates the other, so both sides stop maintaining separate copies of the same person.

What you can sync between Namely and Notion

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Namely objects Notion objects How this pairing syncs
Events Home-feed items such as announcements, birthdays, anniversaries, and new arrivals; typically read-only into comms tools. Files and attachments File-property and file-block values. Notion-hosted URLs are temporary and expire, so files are re-fetched or copied at sync time. Events is specific to Namely and Files and attachments to Notion — each maps to any object or custom field on the other side.
Profiles The core employee record (personal, job, contact, and compensation fields); synced two-way via GET/POST/PUT with updated_at driving incremental polling. Pages The core content unit and also every row of a database; synced two-way as records, with typed properties mapping to table columns. Profiles is specific to Namely and Pages to Notion — each maps to any object or custom field on the other side.
Job Titles Job title definitions; read and written so titles stay aligned with an HRIS, directory, or reporting dimension. Databases / Data sources Collections of pages with a typed property schema. Since the 2025-09-03 API a database is a container holding one or more data sources; syncs target a specific data_source_id. Job Titles is specific to Namely and Databases / Data sources to Notion — each maps to any object or custom field on the other side.
Job Tiers Leveling hierarchy grouping zero-to-many Job Titles; read to map seniority into warehouse dimension tables. Properties Typed columns on a page — title, rich_text, number, select, multi_select, date, people, relation, status, checkbox, URL. Read and written both ways. Job Tiers is specific to Namely and Properties to Notion — each maps to any object or custom field on the other side.
Groups Departments and locations that organize Profiles; synced to keep org structure aligned with a warehouse or IdP. Blocks The page body — paragraphs, headings, to-dos, tables — nested as children and fetched recursively, separate from a page's properties. Groups is specific to Namely and Blocks to Notion — each maps to any object or custom field on the other side.
Teams Teams and team categories a Profile belongs to; read and written for org-chart and provisioning workflows. Formula and Rollup properties Values computed by Notion from other fields; read-only, so they are pulled out for reporting but never written back. Teams is specific to Namely and Formula and Rollup properties to Notion — each maps to any object or custom field on the other side.

How changes propagate between Namely and Notion

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Namely Notion Interval-based propagation

DetectionStacksync polls Namely for changes on an incremental schedule, reading only records changed since the previous pass. No webhooks.

DeliveryEach detected change is written to Notion through its API, with automatic retries and rate-limit backoff.

Notion Namely Sub-second propagation

DetectionNotion notifies Stacksync of record changes through webhook events. Workspace webhooks (page.created, page.content_updated, data_source.schema_updated, comment.created.

DeliveryEach detected change is written to Namely through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Namely: Namely's public docs do not publish a fixed request quota; the REST API returns standard HTTP status codes, so integrations should throttle and back off on 429/5xx responses.
  • Notion: Average of ~3 requests/second per integration with some bursts; 429 with a Retry-After header when exceeded. Payloads capped at 500 KB and 1000 block elements.
