Why teams connect Docusign and Paylocity

Keep the people, teams, and status that Docusign and Paylocity share aligned in real time, so a hire, role change, or departure recorded in one reaches the other within seconds.

Each tool in Docusign keeps its own list of who can use it: users, members, or agents, along with the team they sit on and whether they are still active. Paylocity is the authoritative record of the same people as employees, with their department, manager, and employment status. When those two are connected only by manual account admin or a periodic export, the work tools drift: new hires wait days for access, team and manager changes never catch up, and people who have left keep standing accounts.

Stacksync syncs Tabs (form fields), Envelope Custom Fields, Folders, Users in Docusign with Company Codes, Custom Fields, Employees, Onboarding in Paylocity bi-directionally and in real time. A person added, moved, or offboarded in Paylocity creates or updates the matching user in Docusign within seconds, with field-level mapping and conflict resolution in place of spreadsheets and one-off account changes. Where Docusign captures details of its own, such as a corrected contact or a login identity, those can flow back to Paylocity in whichever direction you configure.

Because the sync is field-level, each system keeps its own extras; only the shared facts, who a person is, which team they belong to, and whether their access should be on, are held in agreement.

Common use cases

  • 01 Sync completed Envelopes and their Recipients status into Postgres so operations teams track signature progress and turnaround in SQL without logging into Docusign.
  • 02 Create and send an Envelope from a Template when a CRM Opportunity reaches closed-won, then write the returned envelopeId and status back onto the record.
  • 03 Two-way sync of Employees between Paylocity and an HRIS or identity provider so new hires, terminations, and demographic edits flow both directions.
  • 04 Push hired candidates from an ATS into Paylocity via the Onboarding endpoint, then read Onboarding Status to confirm the record before the first payroll run.

Common sync patterns

Org and team structure kept current

Department, team, and reporting-line changes from Paylocity keep the groups, queues, or projects in Docusign assigned to the right people.

Where Docusign routes or assigns work by person: assignments follow the org

When someone changes teams or managers in Paylocity, the queues, ownership, or approvals in Docusign update to match, so work reaches whoever holds the role now.

Onboarding: access ready on day one

A new hire recorded in Paylocity creates the matching user in Docusign with the right team and manager already set, so people can start working without waiting on a provisioning ticket.

What you can sync between Docusign and Paylocity

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Docusign objects Paylocity objects How this pairing syncs
Users Account members and senders; the eSignature Users resource exposes them for attribution and reporting, while bulk org-wide user provisioning uses the separate Admin API. Company Codes Read-only reference codes and descriptions (cost centers, departments, positions) used to validate field mappings on employee writes. Users is specific to Docusign and Company Codes to Paylocity — each maps to any object or custom field on the other side.
Envelopes The core container for a signature request — documents, recipients, routing, and status; read status and metadata two-way, and create/send new envelopes. Custom Fields Read-only company-specific custom fields returned by category, used to enrich the employee record downstream. Envelopes is specific to Docusign and Custom Fields to Paylocity — each maps to any object or custom field on the other side.
Recipients Signers, carbon copies, and agents on an envelope, each with a routing order and status; read recipient progress, write recipient lists when an envelope is created. Employees Core HR record keyed by companyId + employeeId; two-way via Create New Employee (POST) and Update Employee (PATCH), plus Get Employee / Get All Employees for reads. Recipients is specific to Docusign and Employees to Paylocity — each maps to any object or custom field on the other side.
Documents The PDF files inside an envelope plus the certificate of completion; read signed output out to a store, or supply source documents on create. Onboarding Create Employee Onboarding pushes new-hire data into Paylocity's onboarding workflow; Get Onboarding Status reads back partner onboarding progress. Write-in for hires from an ATS. Documents is specific to Docusign and Onboarding to Paylocity — each maps to any object or custom field on the other side.
Templates Reusable envelope definitions with predefined recipients and tab placement; read to map fields and referenced by ID to generate new envelopes. Deductions (Pay Setup) Recurring deduction codes at the employee level; two-way via Upsert Deduction and Delete, with Get Deduction / Get All Deductions for reads. Templates is specific to Docusign and Deductions (Pay Setup) to Paylocity — each maps to any object or custom field on the other side.
Tabs (form fields) Signature, initial, date, text, and checkbox fields on a document; they carry the data a signer entered and are read out into databases. Earnings (Pay Setup) Recurring earning codes at the employee level; two-way via Upsert Earning and Delete, with Get All Earnings and Get by earning code for reads. Tabs (form fields) is specific to Docusign and Earnings (Pay Setup) to Paylocity — each maps to any object or custom field on the other side.

How changes propagate between Docusign and Paylocity

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Docusign Paylocity Sub-second propagation

DetectionDocusign notifies Stacksync of record changes through webhook events. Docusign Connect webhooks push envelope and recipient status-change events in real time.

DeliveryEach detected change is written to Paylocity through its API, with automatic retries and rate-limit backoff.

Paylocity Docusign Sub-second propagation

DetectionPaylocity notifies Stacksync of record changes through webhook events. Webhooks — Paylocity POSTs Employee New Hire, Employee Change, Termination, Payroll Processed, and Time Off Approval events to a callback URL.

DeliveryEach detected change is written to Docusign through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Docusign: Default 3,000 API requests per hour per account across all integrations, plus a burst limit of 500 calls per 30-second window; usage is exposed via the RateLimit and BurstLimit response headers.
  • Paylocity: 25 requests per second (1,500 per minute); exceeding it returns HTTP 429. Every path is scoped to a Paylocity-assigned companyId (a company code, not a UUID).

How the Docusign and Paylocity connectors work

Docusign

Integration surface
eSignature REST API v2.1 (plus Docusign Connect webhooks; separate CLM, Rooms, and Admin APIs)
Authentication
OAuth 2.0 — Authorization Code Grant for interactive apps, or JWT Grant (RSA key pair with user impersonation) for server-to-server integrations
Change detection
Docusign Connect webhooks push envelope and recipient status-change events in real time; polling is the fallback and is limited to once every 15 minutes per envelope
Capabilities
read · write · webhooks
Rate limits
Default 3,000 API requests per hour per account across all integrations, plus a burst limit of 500 calls per 30-second window; usage is exposed via the RateLimit and BurstLimit response headers
Docusign setup guide

Paylocity

Integration surface
REST API (v1 and v2), JSON payloads
Authentication
OAuth 2.0 client credentials via the Paylocity Identity Provider (/IdentityServer/connect/token) with the WebLinkAPI scope; access tokens expire after one hour and API access must be enabled by Paylocity for the company
Change detection
Webhooks — Paylocity POSTs Employee New Hire, Employee Change, Termination, Payroll Processed, and Time Off Approval events to a callback URL; payloads carry only companyId and employeeId, so the receiver calls the relevant API to fetch changed values. Scheduled polling is used for objects without webhooks.
Capabilities
read · write · webhooks
Rate limits
25 requests per second (1,500 per minute); exceeding it returns HTTP 429. Every path is scoped to a Paylocity-assigned companyId (a company code, not a UUID).
