Why teams connect Channelengine and Insightly

Keep the customers and orders that Insightly and Channelengine share aligned in real time, so sales works from live purchase history and the store works from current account details.

Insightly holds the customer relationship: the contacts, accounts, and deals a go-to-market team works. Channelengine runs the buying side: who placed which order, what they bought, and where it ships. The two describe the same people and companies, and when they are connected only by exports, sales answers questions without recent orders in front of them while the store works from account details that changed weeks ago.

Stacksync links Leads, Opportunities, Projects, Tasks in Insightly to Shipments, Returns, Cancellations, Backorders in Channelengine with bi-directional, real-time sync. New customers, order activity, and corrected contact details move in whichever direction you configure, field by field, with conflicts resolved by rules you set. A record created or changed on either side shows up on the other within seconds, with no CSV exports and no nightly job.

The shared entity is the customer, matched on email or an external ID, so both systems agree on who the buyer is and the order history sits next to the relationship instead of in a separate tab.

Common use cases

  • 01 Replicate opportunities into Postgres or a warehouse so RevOps can report on pipeline with SQL
  • 02 Keep Insightly projects aligned with delivery or PSA tools after opportunities close
  • 03 Load Orders and Returns into Postgres or a warehouse for marketplace sales, fulfillment, and margin reporting without manual CSV exports.
  • 04 Push product content from a PIM, ERP, or database into ChannelEngine's Products endpoint so listings stay current across every connected marketplace.

Common sync patterns

Where both keep product records: catalog and CRM products aligned

Where Insightly tracks products or line items and Channelengine holds the catalog, shared items are matched on SKU so quotes, deals, and orders reference the same products.

One customer identity across sales and store

A person who exists as a contact in Insightly and a buyer in Channelengine is kept as a single, deduplicated record, so both teams work from the same customer instead of two partial copies.

Where Channelengine records orders: purchase history on the account

Orders and their status from Channelengine appear on the matching contact or account in Insightly, so reps see what a customer has bought and what is in flight before the next conversation.

What you can sync between Channelengine and Insightly

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Channelengine objects Insightly objects How this pairing syncs
Orders Marketplace and merchant-fulfilled orders; read via GET /v2/orders and GET /v2/orders/new (status NEW), then acknowledged with POST /v2/orders/acknowledge so later shipment, return, and cancellation calls can reference them. Events Calendar items sync for a complete activity timeline. Orders is specific to Channelengine and Events to Insightly — each maps to any object or custom field on the other side.
Products (product content) Catalog records created and updated via POST /v2/products and deactivated via DELETE; use a parent/child variant model where the parent is a non-purchasable blueprint. Written into ChannelEngine from a PIM, ERP, or database. Notes Free-text context attaches to synced records for downstream visibility. Products (product content) is specific to Channelengine and Notes to Insightly — each maps to any object or custom field on the other side.
Offers (price and stock) Price and stock updates via PUT /v2/offer/stock and the offers endpoints; separate from product content so fast-changing stock can be pushed often, and supports bulk updates across stock locations. Products Product catalog entries support line-item syncing on opportunities and quotes. Offers (price and stock) is specific to Channelengine and Products to Insightly — each maps to any object or custom field on the other side.
Shipments Fulfillment records; write with POST /v2/shipments to mark an order shipped with tracking, read with GET /v2/shipments. Pushed back from a warehouse or ERP so marketplaces update the buyer. Custom Fields Per-object custom fields carry enrichment and billing data written from external systems. Shipments is specific to Channelengine and Custom Fields to Insightly — each maps to any object or custom field on the other side.
Returns Marketplace- and merchant-initiated returns; read via GET /v2/returns and created with POST /v2/returns. Synced two-way so customer-service and finance systems reconcile with the ERP. Contacts Person records sync with marketing and support tools to keep one contact list. Returns is specific to Channelengine and Contacts to Insightly — each maps to any object or custom field on the other side.
Cancellations Order cancellations; create with POST /v2/cancellations and read with GET /v2/cancellations. Written when stock is unavailable and read back for reconciliation. Organizations Company records map to accounts in ERPs and other CRMs. Cancellations is specific to Channelengine and Organizations to Insightly — each maps to any object or custom field on the other side.

How changes propagate between Channelengine and Insightly

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Channelengine Insightly Sub-second propagation

DetectionChannelengine notifies Stacksync of record changes through webhook events. Webhooks fire on order creation and on return and shipment/cancellation changes.

DeliveryEach detected change is written to Insightly through its API, with automatic retries and rate-limit backoff.

Insightly Channelengine Interval-based propagation

DetectionStacksync polls Insightly for changes on an incremental schedule, reading only records changed since the previous pass. Polling on record updated-date fields.

DeliveryEach detected change is written to Channelengine through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Channelengine: Rate limits are per endpoint and returned in headers: x-rate-limit-limit (interval length in minutes), x-rate-limit-remaining, and retry-after (seconds to wait); e.g. POST /v2/supportorder allows 3 calls per minute.
  • Insightly: Daily API request caps vary by Insightly plan.

How the Channelengine and Insightly connectors work

Channelengine

Integration surface
REST API (Merchant API v2); per-tenant base URL https://{tenant}.channelengine.net/api
Authentication
API key passed as the 'apikey' parameter; ChannelEngine recommends sending it in a request header rather than the URL because some webservers log full URLs
Change detection
Webhooks fire on order creation and on return and shipment/cancellation changes; product content and offers use change-tracking endpoints (GET /v2/products/data and /v2/products/offers) with an acknowledge pattern that returns only changed records, plus polling GET /v2/orders/new
Capabilities

Rate limits
Rate limits are per endpoint and returned in headers: x-rate-limit-limit (interval length in minutes), x-rate-limit-remaining, and retry-after (seconds to wait); e.g. POST /v2/supportorder allows 3 calls per minute.
