The CRM is supposed to be the record of every customer relationship, but customer-relevant information also accumulates in the other tools a team runs. Whatever Asana holds or produces that touches a customer, whether conversations, payments, replies, enriched data, or notes, the CRM only benefits if it arrives without someone copying it over.

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.
| Asana objects | Insightly objects | How this pairing syncs | |
|---|---|---|---|
| Tasks The primary unit of work and main record; created, updated, completed, and deleted via REST and synced two-way. Subtasks are Tasks with a parent reference. | Tasks Activity records keep follow-ups consistent across systems. | Same entity on both sides — records pair one-to-one and field-level changes reconcile in both directions. | |
| Projects Collections of Tasks with a layout (list, board, timeline, calendar); each project maps to a synced table scope and its custom fields define the mapping. | Projects Delivery records created from won opportunities sync with PSA and task tools. | Same entity on both sides — records pair one-to-one and field-level changes reconcile in both directions. Custom fields on either side are included in the mapping. | |
| Custom fields Typed fields (text, number, enum, multi-enum, date, people) defined at project or workspace level; mapped to database columns, with enum values written by option GID. | Custom Fields Per-object custom fields carry enrichment and billing data written from external systems. | Same entity on both sides — records pair one-to-one and field-level changes reconcile in both directions. Custom fields on either side are included in the mapping. | |
| Sections Ordered groupings of Tasks within a project; synced as a grouping attribute or category field on the row. | Opportunities Pipeline records feed forecasting and warehouse-based reporting. | Sections is specific to Asana and Opportunities to Insightly — each maps to any object or custom field on the other side. | |
| Stories Comments and activity entries on a Task; read out for history and reporting or written back as comments. | Events Calendar items sync for a complete activity timeline. | Stories is specific to Asana and Events to Insightly — each maps to any object or custom field on the other side. | |
| Users Members of a workspace or organization referenced by assignee and follower fields; read to resolve GIDs to names and emails. | Notes Free-text context attaches to synced records for downstream visibility. | Users is specific to Asana and Notes to Insightly — each maps to any object or custom field on the other side. |
Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.
DetectionAsana notifies Stacksync of record changes through webhook events. Resource-scoped webhooks (established with an X-Hook-Secret handshake) POST events on create, change, and delete.
DeliveryEach detected change is written to Insightly through its API, with automatic retries and rate-limit backoff.
DetectionStacksync polls Insightly for changes on an incremental schedule, reading only records changed since the previous pass. Polling on record updated-date fields.

Common patterns for Asana and Insightly: Where Asana supplies contact or company data; Where Asana can store CRM context: fields kept current; Where Asana handles support or shared inboxes. Enriched fields land directly on records in Insightly, and refreshes keep them from going stale.
Asana: REST API (app.asana.com/api/1.0, JSON responses), plus resource-scoped Webhooks and a sync-token Events API. Authentication: OAuth 2.0 for multi-user apps, Personal Access Tokens (PATs) for single-account use and testing, and organization-scoped Service Accounts (Enterprise) for admin-level access. Insightly: REST API (versioned). Authentication: API key sent via HTTP Basic authentication. Stacksync manages authentication, retries, and rate limits on both sides.
Asana: The API is REST/JSON with offset-token pagination (limit and offset params), so large projects are read page by page rather than in one call. Insightly: The API authenticates with a per-user API key passed over HTTP Basic authentication rather than an OAuth flow. Stacksync's field mapping accounts for these differences between Asana and Insightly without custom code.
