Why teams connect Brightpearl and Ironclad

Bridge the tools people work in and the system the business runs on: real-time, two-way sync between Ironclad and Brightpearl.

The ERP holds the records the business is run on, and it is rarely where day-to-day work happens. Ironclad is closer to the work, and the two often need the same facts about the same people, organizations, and transactions. Bridging them by hand, or by nightly file transfer, leaves each side out of date for hours at a time.

Stacksync syncs Entities, Obligations, Webhooks, Workflow Approvals in Ironclad with Purchase orders, Contacts, Inventory and warehouses, Goods-out notes in Brightpearl bi-directionally and in real time, with field-level mapping and rules for which system wins on conflict. Changes made where the work happens reach the system of record within seconds, and the reverse.

Common use cases

  • 01 Stream workflow approval and signature webhook events into an operational database for cycle-time, bottleneck, and SLA reporting across the contract lifecycle.
  • 02 Push Obligations and renewal dates from Ironclad into a finance or task system so post-signature commitments and renewals are tracked and actioned on time.
  • 03 Keep the product catalog aligned between Brightpearl and e-commerce channels, including price list changes.
  • 04 Land order and margin data in a warehouse for retail performance reporting.

Common sync patterns

Where Ironclad collects payments: transactions post through

Payment events sync into Brightpearl as they occur, keeping the enterprise records current without manual entry.

Where Brightpearl is the HR or people system of record

Worker and organization data from Brightpearl stays current in Ironclad, so the tools people use daily reflect the org as it actually is.

Master data corrections travel

A customer, supplier, or contact detail corrected in either system updates the other, ending duplicate maintenance.

What you can sync between Brightpearl and Ironclad

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Brightpearl objects Ironclad objects How this pairing syncs
Inventory and warehouses On-hand and allocated stock by warehouse, read for availability publishing. Entities Structured records for counterparties and other parties linked to workflows and records; read and written to keep company and vendor master data aligned with a CRM or ERP. Inventory and warehouses is specific to Brightpearl and Entities to Ironclad — each maps to any object or custom field on the other side.
Goods-out notes Fulfillment documents that carry picking and shipping status back to order sources. Obligations Post-signature commitments, milestones, and renewal dates tied to contracts; synced two-way to drive renewal, compliance, and finance reporting in downstream systems. Goods-out notes is specific to Brightpearl and Obligations to Ironclad — each maps to any object or custom field on the other side.
Invoices and payments Financial documents synced to accounting platforms for reconciliation. Invoices and payments is specific to Brightpearl and Webhooks to Ironclad — each maps to any object or custom field on the other side.
Custom fields Per-object custom attributes included in field mappings. Workflow Approvals Per-workflow approval requests and their state; read to report approval status and cycle time, and status changes arrive live through the workflow_approval_status_changed event. Custom fields is specific to Brightpearl and Workflow Approvals to Ironclad — each maps to any object or custom field on the other side.

How changes propagate between Brightpearl and Ironclad

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Brightpearl Ironclad Sub-second propagation

DetectionBrightpearl notifies Stacksync of record changes through webhook events. Webhooks for object created/updated events, with resource search polling as a fallback.

DeliveryEach detected change is written to Ironclad through its API, with automatic retries and rate-limit backoff.

Ironclad Brightpearl Sub-second propagation

DetectionIronclad notifies Stacksync of record changes through webhook events. Native webhook subscriptions (POST /webhooks) fire on 40+ workflow, approval, signature, document, and comment events, and Ironclad retries a failing.

DeliveryEach detected change is written to Brightpearl through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Brightpearl: Requests are throttled per account under Brightpearl's API usage policies; bulk operations should use batch endpoints.
  • Ironclad: Limits are enforced per account per minute by endpoint: GET Workflows 400 and POST/PATCH Workflows 40; GET Records 600 and POST/PATCH Records 200; GET Entities 600 and POST/PATCH Entities 200; Webhooks 600; all other endpoints 800. Exceeding a limit returns HTTP 429, and Ironclad recommends exponential backoff with jitter.

How the Brightpearl and Ironclad connectors work

Brightpearl

Integration surface
REST API, organized into services (order, product, contact, warehouse, accounting)
Authentication
OAuth 2.0 (authorization code grant) for current apps; legacy private and public apps authenticate with app reference and account token headers
Change detection
Webhooks for object created/updated events, with resource search polling as a fallback
Capabilities
read · write · webhooks
Rate limits

Ironclad

Integration surface
REST/JSON Public API (CLM API) at https://na1.ironcladapp.com/public/api/v1 (NA1 and EU1 regions plus a demo/sandbox), with a native Webhooks subscription API; described by an OpenAPI 3.1 spec.
Authentication
OAuth 2.0 - Authorization Code grant (PKCE for public clients) and Client Credentials grant for server-to-server; access tokens are Bearer, expire after 6 hours, and every endpoint is gated by a resource scope. The legacy static API bearer token was deprecated on 2024-11-22.
Change detection
Native webhook subscriptions (POST /webhooks) fire on 40+ workflow, approval, signature, document, and comment events, and Ironclad retries a failing endpoint up to 10 times over about 13.6 hours with exponential backoff. Otherwise poll the list endpoints by last-updated. There is no database change-data-capture log.
Capabilities
