Two-way sync
Changes in Shopify or Smartsheet instantly reflect in both systems. No stale data, no manual imports.
Keep Shopify and Smartsheet in sync without custom scripts. Cut weeks of integration work, eliminate silent data drift, and give your team a single, reliable source of truth.
The CRM is supposed to be the record of every customer relationship, but customer-relevant information also accumulates in the other tools a team runs. Whatever Smartsheet holds or produces that touches a customer, whether conversations, payments, replies, enriched data, or notes, the CRM only benefits if it arrives without someone copying it over.
Stacksync connects Reports, Attachments, Discussions and Comments, Users and Groups in Smartsheet to Products, ProductMedias, ProductVariants, Orders in Shopify with bi-directional, real-time sync. Activity and record changes in Smartsheet update the matching contact or account in Shopify, and CRM data flows the other way wherever Smartsheet can store and use it.
Owner, lifecycle stage, or account details from Shopify sync into Smartsheet, so people working there have the context without switching tools.
Enriched fields land directly on records in Shopify, and refreshes keep them from going stale.
Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.
| Shopify objects | Smartsheet objects | How this pairing syncs | |
|---|---|---|---|
| Customers Buyer records; matched to CRM contacts for marketing and lifetime-value analysis. | Users and Groups Account membership and sharing; synced to keep an HR or identity source aligned with sheet and workspace access. | Customers is specific to Shopify and Users and Groups to Smartsheet — each maps to any object or custom field on the other side. | |
| Abandoned Checkouts Synced with incremental and full sync per the Stacksync docs. | Sheets The core container; each sheet has typed columns, rows, and a modifiedAt stamp. Stacksync treats a sheet as a table and syncs its rows two-way. | Abandoned Checkouts is specific to Shopify and Sheets to Smartsheet — each maps to any object or custom field on the other side. | |
| Products Catalog entries; often mastered in a PIM or ERP and written into Shopify. | Rows Records inside a sheet, each with createdAt/modifiedAt and cells keyed by columnId; the primary unit synced to and from external tables. | Products is specific to Shopify and Rows to Smartsheet — each maps to any object or custom field on the other side. | |
| ProductMedias Synced with incremental and full sync per the Stacksync docs. | Columns Define sheet schema and cell type (TEXT_NUMBER, DATE, CONTACT_LIST, PICKLIST, CHECKBOX); read via the API so field mappings can be generated. | ProductMedias is specific to Shopify and Columns to Smartsheet — each maps to any object or custom field on the other side. | |
| ProductVariants Synced with incremental and full sync per the Stacksync docs. | Cells Row-by-column values; writes must match the column type and no single cell can exceed 4,000 characters. | ProductVariants is specific to Shopify and Cells to Smartsheet — each maps to any object or custom field on the other side. | |
| Orders Purchase transactions; pushed to ERPs for fulfillment and billing, and read into databases for reporting. | Reports Read-only roll-ups spanning multiple sheets; pulled into a warehouse for cross-sheet reporting, capped at 50,000 rows. | Orders is specific to Shopify and Reports to Smartsheet — each maps to any object or custom field on the other side. |
Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.
DetectionShopify notifies Stacksync of record changes through webhook events. Webhook topics per resource, with polling on updated_at as a fallback.
DeliveryEach detected change is written to Smartsheet through its API, with automatic retries and rate-limit backoff.

Common patterns for Shopify and Smartsheet: Where Smartsheet can store CRM context: fields kept current; Where Smartsheet supplies contact or company data. Owner, lifecycle stage, or account details from Shopify sync into Smartsheet, so people working there have the context without switching tools.
Shopify: GraphQL Admin API (primary) and REST Admin API (legacy). Authentication: OAuth via a custom Shopify app: admin creates an app in the Shopify Dev Dashboard, enables required API scopes, sets the Stacksync redirect URL, then supplies shop name + Client ID and Client Secret to Stacksync. Smartsheet: REST API (v2.0). Authentication: OAuth 2.0 authorization-code flow, or a raw/personal API access token passed as a Bearer header. Stacksync manages authentication, retries, and rate limits on both sides.
Smartsheet: Row add and update calls are limited to 500 rows per request, so large syncs are chunked. Shopify: Setup requires the Shopify administrator to create a custom app in the Shopify Dev Dashboard (no one-click OAuth app). Stacksync's field mapping accounts for these differences between Shopify and Smartsheet without custom code.
Stacksync is SOC 2 Type II and ISO 27001 certified with HIPAA BAA support. Data is encrypted in transit, and a zero-persistent-storage architecture means Shopify and Smartsheet records are not retained after a sync operation.
