Two-way sync
Changes in Gatekeeper or Zuora instantly reflect in both systems. No stale data, no manual imports.
Keep Gatekeeper and Zuora in sync without custom scripts. Cut weeks of integration work, eliminate silent data drift, and give your team a single, reliable source of truth.
Zuora holds the financial truth: who the customers are, what they were billed, what they paid. Gatekeeper is where part of the day-to-day work happens, and that work often involves the same customers and transactions. Without a live connection, the two drift apart, and people end up answering questions from stale copies.
Stacksync keeps Account (Billing Account), Subscription, Rate Plan and Rate Plan Charge, Product and Product Rate Plan (Product Catalog) in Zuora and Custom data groups, Users, Categories, Contracts in Gatekeeper in sync, bi-directionally and in real time. Whatever records Gatekeeper keeps and whatever events it produces, the overlap with Zuora is mapped field by field, and a change on either side shows up on the other within seconds.
There is no middleware to build, no API rate limits to babysit, and no nightly job that leaves the morning running on yesterday's data.
Front-line teams see invoice and payment status from Zuora next to the customer they are helping, without logging into the finance system.
Payment and charge activity flows into Zuora as it happens, so the books reflect reality without manual reconciliation.
A customer's details updated in either system update the other, so finance and the rest of the business stop maintaining two versions of the same customer.
Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.
| Gatekeeper objects | Zuora objects | How this pairing syncs | |
|---|---|---|---|
| Vendors (Suppliers) Company records for counterparties and suppliers with onboarding status, compliance, risk, contacts, and spend; read and written to keep vendor master data aligned with a CRM or ERP. | Usage Metered consumption records; written into Zuora from a metering or warehouse pipeline so consumption-based charges are rated and invoiced. | Vendors (Suppliers) is specific to Gatekeeper and Usage to Zuora — each maps to any object or custom field on the other side. | |
| Files Document files attached to contracts and vendors - executed PDFs, certificates, and compliance evidence; read to pull signed files and evidence out, or written to push generated documents in. | Order and Amendment Records of subscription create and change actions; written to Zuora to drive quote-to-cash and read for subscription change history. | Files is specific to Gatekeeper and Order and Amendment to Zuora — each maps to any object or custom field on the other side. | |
| Workflow form data The structured data captured on Gatekeeper workflow forms (intake requests, vendor onboarding, risk assessments); exposed by the API since 2025 so form results sync into an operational database, not only contract and vendor records. | Account (Billing Account) The customer billing entity holding contacts, payment methods, and billing settings; synced two-way as the parent record most other Zuora objects hang off. | Workflow form data is specific to Gatekeeper and Account (Billing Account) to Zuora — each maps to any object or custom field on the other side. | |
| Custom data groups Customer-configured custom fields and data groups; because the JSON:API and its docs are dynamic, any custom data added in Configuration exposes the same read/write endpoints as the standard objects and syncs the same way. | Subscription Recurring or usage-based subscription tied to an Account; read for revenue state and written when provisioning or changing plans from a CRM or app. | Custom data groups is specific to Gatekeeper and Subscription to Zuora — each maps to any object or custom field on the other side. | |
| Users Gatekeeper user and team records governed by role-based access; read to map contract and vendor owners, approvers, and internal contacts to CRM or HR records. | Rate Plan and Rate Plan Charge The priced components inside a Subscription; synced so charge amounts, quantities, and effective dates stay aligned with the source system. | Users is specific to Gatekeeper and Rate Plan and Rate Plan Charge to Zuora — each maps to any object or custom field on the other side. | |
| Categories The classification taxonomy applied to contracts and vendors (type, department, business unit); synced so categorization stays consistent between Gatekeeper and downstream reporting or ERP dimensions. | Product and Product Rate Plan (Product Catalog) The catalog of sellable products and their pricing; usually mastered elsewhere and written into Zuora, or read to map subscription charges. | Categories is specific to Gatekeeper and Product and Product Rate Plan (Product Catalog) to Zuora — each maps to any object or custom field on the other side. |
Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.
DetectionStacksync polls Gatekeeper for changes on an incremental schedule, reading only records changed since the previous pass. No native developer webhook subscription API and no database change-data-capture log.
DeliveryEach detected change is written to Zuora through its API, with automatic retries and rate-limit backoff.
DetectionZuora notifies Stacksync of record changes through webhook events. Incremental extraction on the indexed UpdatedDate column via ZOQL/AQuA stateful mode (high-water mark), plus Callout Notifications (webhooks) for.
DeliveryEach detected change is written to Gatekeeper through its API, with automatic retries and rate-limit backoff.

Configure and sync within minutes, no code. Whether you sync 50k or 100M+ records, Stacksync handles the queues, infra, and plumbing. Integrations are non-invasive and need zero setup on your systems.
Authenticate Gatekeeper and Zuora with each platform's native method — OAuth, API keys, or service accounts — plus secure options like SSH tunneling, IP whitelisting, and VPC peering.
Pick the Gatekeeper and Zuora objects to sync — Stacksync auto-detects both schemas, including custom fields where the platform exposes them. Sync to existing tables, or let Stacksync create new ones with ideal data types.
Fields map automatically even when names and types differ. Stacksync handles transformation and type casting for you, zero configuration required.
Yes. Stacksync provides a managed, real-time two-way integration between Gatekeeper and Zuora: authenticate both systems, choose the objects to sync (such as Gatekeeper's Vendors (Suppliers) and Files), map fields visually, and changes propagate both ways in milliseconds — no code required.
On the Zuora side: Account (Billing Account), Subscription, Rate Plan and Rate Plan Charge, Product and Product Rate Plan (Product Catalog), plus custom fields where Zuora exposes them. On the Gatekeeper side: Custom data groups, Users, Categories, Contracts. Stacksync auto-detects both schemas and converts types between the two systems.
Yes. Each object mapping can be bidirectional or restricted to a single direction (both systems accept writes). Read-only mirrors, one-way pushes, and full two-way sync can be mixed in the same integration.
Common patterns for Gatekeeper and Zuora: Where Gatekeeper handles customer conversations: billing context in view; Where Gatekeeper collects payments or triggers charges: events land in Zuora; Where Gatekeeper tracks people or companies: one identity. Front-line teams see invoice and payment status from Zuora next to the customer they are helping, without logging into the finance system.
Gatekeeper: RESTful API following the JSON:API specification, tenant-scoped with interactive docs at {tenant}.gatekeeperhq.com/api_docs and a published Postman collection. The API is dynamic: it exposes the standard Contract and Vendor objects plus any custom data groups and workflow-form data configured in the tenant. Authentication: API keys created and managed under Configuration > API Keys and passed as a token; each key carries granular per-endpoint permissions set to read-only or write, so access is scoped per object. Multiple keys can be issued and revoked independently. Zuora: REST API (v1) with Object Query, Data Query, and AQuA bulk export; legacy SOAP API also available. Authentication: OAuth 2.0 client credentials (bearer token, 3600s expiry); access is governed by the Zuora role of the OAuth client's associated user, with no granular scopes. Stacksync manages authentication, retries, and rate limits on both sides.
Zuora: Zuora recommends OAuth 2.0; tokens expire after 3600 seconds and the OAuth client's Zuora user role governs all access, since there are no per-scope permissions. Gatekeeper: Authentication is by API keys under Configuration > API Keys; the interactive docs are tenant-specific at {tenant}/api_docs, and every call is logged (parameters, payload, response) under API Logs. Stacksync's field mapping accounts for these differences between Gatekeeper and Zuora without custom code.
