Why teams connect Gainsight and Notion

Stop re-entering the same information in Gainsight and Notion: Stacksync keeps the records they share consistent in real time, in both directions.

Two tools in the daily stack often hold overlapping information: the same people, the same companies, or the same pieces of work, described twice. The tools do different jobs, so consolidating is not the answer; the overlap just needs to stop drifting.

Stacksync syncs Relationship, CTA (Call to Action), Scorecard Fact, Timeline Activity in Gainsight with Formula and Rollup properties, Users, Comments, Files and attachments in Notion in real time. You choose which records overlap, map the fields that should match, and pick a direction or let changes flow both ways. From then on, an update made in either tool is reflected in the other within seconds, without exports or copy-paste.

Because the sync is field-level, each tool keeps its own extras; only the shared data is held in agreement.

Common use cases

  • 01 Keep Relationship records aligned with a billing system or ERP so multi-product customers map to the correct contracts and invoices.
  • 02 Read Timeline Activities and Success Plan objectives into a reporting database for churn, QBR, and CSM-productivity dashboards.
  • 03 Push rows from a warehouse or another database into a Notion data source as Pages so ops and leadership read live metrics in a familiar Notion view.
  • 04 Sync a Notion content-calendar database with Jira or Linear by mapping status and date properties both directions.

Common sync patterns

Where Notion is where the team documents or plans: keep its data fed

Information that originates in Gainsight stays current in Notion instead of going stale after a one-time paste.

Handoffs between teams

When work started in one tool continues in the other, the shared fields travel with it automatically.

Where both tools track people or companies: one consistent record

Contact and company details corrected in either tool update the other, so nobody works from the old version.

What you can sync between Gainsight and Notion

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Gainsight objects Notion objects How this pairing syncs
Custom Objects Org-specific MDA tables with the __gc suffix; discoverable via the Describe API so field mappings can be generated automatically. Pages The core content unit and also every row of a database; synced two-way as records, with typed properties mapping to table columns. Custom Objects is specific to Gainsight and Pages to Notion — each maps to any object or custom field on the other side.
Company Customer/account master in Gainsight CS; two-way synced with CRM and warehouse customer tables to keep ARR, owner, and renewal fields aligned. Databases / Data sources Collections of pages with a typed property schema. Since the 2025-09-03 API a database is a container holding one or more data sources; syncs target a specific data_source_id. Company is specific to Gainsight and Databases / Data sources to Notion — each maps to any object or custom field on the other side.
Person (People) Contacts associated to companies through the Company Person junction; synced two-way with CRM contacts and warehouse person records. Properties Typed columns on a page — title, rich_text, number, select, multi_select, date, people, relation, status, checkbox, URL. Read and written both ways. Person (People) is specific to Gainsight and Properties to Notion — each maps to any object or custom field on the other side.
Relationship Sub-units within a company for multi-product or multi-team accounts; synced so each maps to the right contract in billing or an ERP. Blocks The page body — paragraphs, headings, to-dos, tables — nested as children and fetched recursively, separate from a page's properties. Relationship is specific to Gainsight and Blocks to Notion — each maps to any object or custom field on the other side.
CTA (Call to Action) Risk and expansion alerts that drive CSM plays; often synced to ticketing or project tools so follow-up work is tracked where teams operate. Formula and Rollup properties Values computed by Notion from other fields; read-only, so they are pulled out for reporting but never written back. CTA (Call to Action) is specific to Gainsight and Formula and Rollup properties to Notion — each maps to any object or custom field on the other side.
Scorecard Fact Health scores and measures per Company or Relationship; usage metrics from a warehouse are written in so scores reflect live telemetry. Users Workspace members and bots referenced by people properties; read-only — users cannot be created or invited through the API. Scorecard Fact is specific to Gainsight and Users to Notion — each maps to any object or custom field on the other side.

How changes propagate between Gainsight and Notion

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Gainsight Notion Interval-based propagation

DetectionStacksync polls Gainsight for changes on an incremental schedule, reading only records changed since the previous pass. Polling on the ModifiedDate (GS Modified Date) system field, which is filterable and sortable on every object.

DeliveryEach detected change is written to Notion through its API, with automatic retries and rate-limit backoff.

Notion Gainsight Sub-second propagation

DetectionNotion notifies Stacksync of record changes through webhook events. Workspace webhooks (page.created, page.content_updated, data_source.schema_updated, comment.created.

DeliveryEach detected change is written to Gainsight through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Gainsight: Synchronous APIs are capped near 100 calls/min and 50,000/day; the asynchronous Bulk API allows 10 calls/hour and 100/day. Both are fixed-window limits, and the applicable per-hour and per-day limits are returned in the x-ratelimit-limit response header.
  • Notion: Average of ~3 requests/second per integration with some bursts; 429 with a Retry-After header when exceeded. Payloads capped at 500 KB and 1000 block elements.

How the Gainsight and Notion connectors work

Gainsight

Integration surface
REST APIs (per-object) and asynchronous Bulk REST API
Authentication
API access key passed in the 'accesskey' request header (non-expiring), generated by a Gainsight admin; M2M OAuth (Client ID/Secret) is also supported
Change detection
Polling on the ModifiedDate (GS Modified Date) system field, which is filterable and sortable on every object; Rules Engine Real-Time Rules can optionally push specific object events (e.g., a Company stage change) to an external endpoint
