Why teams connect Bingads and Navan

Put revenue reality behind every campaign: Navan and Bingads share the same customers, contacts, and billing status in real time, in both directions.

Navan records the money — who pays, how much, and whether they are current; Bingads decides who hears from the business and what they hear. The two overlap wherever the same customers and contacts matter to both, and when that overlap is bridged by CSV exports or an overnight batch, campaigns target on stale billing data and finance works from lists marketing has already changed underneath it.

Stacksync syncs Repayments, Fees, and Adjustments, Users, Card Transactions, Connect Transactions in Navan with Ad Groups, Ads, Keywords & Negative Keywords, Budgets & Bid Strategies in Bingads field by field, in real time, and in both directions. You decide which system owns which fields — finance keeps the revenue and payment truth, marketing keeps consent and engagement — and Stacksync keeps every copy consistent and resolves conflicts by rules you set.

Common use cases

  • 01 Sync Users and department mappings from an HRIS into reporting tables so every transaction is attributed to a cost center and manager.
  • 02 Sync Card Transactions and Manual Transactions into Postgres or a warehouse so finance analyzes corporate spend in SQL without manual CSV exports.
  • 03 Two-way sync remarketing and customer-match audiences so audience lists stay aligned between a CDP or CRM and Microsoft Advertising.
  • 04 Push campaign structure - campaigns, ad groups, ads, keywords, and negative keywords - from a planning database into Microsoft Advertising through the Campaign Management or Bulk service.

Common sync patterns

Revenue and billing signals reach the audience

Plan tier, spend, or payment status from Navan lands on the matching record in Bingads, so segments and targeting reflect who actually pays and how much.

One customer and contact list

Where both systems keep customer or contact records, an edit on either side propagates to the other, ending dual maintenance and the drift it creates.

Where Bingads captures new people: clean records flow to finance

Registrants, form fills, or leads created in Bingads create or update the matching customer or contact in Navan, so billing and reporting start from accurate details without re-entry.

What you can sync between Bingads and Navan

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Bingads objects Navan objects How this pairing syncs
Ads Responsive search ads, expanded text ads, image and responsive ads; created and updated through Campaign Management so ad copy is managed from a source of truth. Repayments, Fees, and Adjustments Money-movement records including repayments, FX and platform fees, and credit or debit memos; read-only for reconciliation ledgers. Ads is specific to Bingads and Repayments, Fees, and Adjustments to Navan — each maps to any object or custom field on the other side.
Keywords & Negative Keywords Bidded keywords and account/campaign/ad-group negative keywords with match types; CRUD, and the Bulk service is recommended for large keyword changes. Users Employee and cardholder records referenced by every transaction; usually provisioned from an HRIS and used to map spend to people and departments. Keywords & Negative Keywords is specific to Bingads and Users to Navan — each maps to any object or custom field on the other side.
Budgets & Bid Strategies Shared budgets and automated bid strategies (e.g. Maximize Conversions, Target CPA); read and write so finance-approved spend and bids apply to live campaigns. Card Transactions Navan physical and virtual card spend; read via GET, then GL codes, cost centers, and ERP sync status are written back per transaction through the transaction update endpoint. Budgets & Bid Strategies is specific to Bingads and Card Transactions to Navan — each maps to any object or custom field on the other side.
Audiences & Remarketing Lists Remarketing, customer-match, in-market, and similar audiences; read and create/associate to keep audience lists aligned with a CDP or CRM. Connect Transactions External and personal card feed matched into Navan; retrieved read-only and coded with custom-field values through the transaction update endpoint. Audiences & Remarketing Lists is specific to Bingads and Connect Transactions to Navan — each maps to any object or custom field on the other side.
Conversion Goals & Offline Conversions Conversion goals (read/create) plus ApplyOfflineConversions, which imports offline conversion events (closed deals, qualified leads) back into Microsoft Advertising to inform bidding. Manual Transactions Out-of-pocket reimbursements and payroll submissions; synced for approval and reimbursement, then GL-coded back into Navan. Conversion Goals & Offline Conversions is specific to Bingads and Manual Transactions to Navan — each maps to any object or custom field on the other side.
Ad Extensions (Assets) Sitelink, callout, image, call, and other extensions/assets associated to campaigns and ad groups; CRUD via Campaign Management. Bookings Flight, hotel, rail, and car reservations from the Booking API; pulled read-only by createdFrom/createdTo date range for trip and travel-spend reporting. Ad Extensions (Assets) is specific to Bingads and Bookings to Navan — each maps to any object or custom field on the other side.

How changes propagate between Bingads and Navan

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Bingads Navan Interval-based propagation

DetectionStacksync polls Bingads for changes on an incremental schedule, reading only records changed since the previous pass. No webhooks or change-data-capture.

DeliveryEach detected change is written to Navan through its API, with automatic retries and rate-limit backoff.

Navan Bingads Sub-second propagation

DetectionNavan notifies Stacksync of record changes through webhook events. Navan's Expense API supports webhooks for transaction and expense events.

DeliveryEach detected change is written to Bingads through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Bingads: Service-specific throttling rather than one global limit. Ad Insight caps calls per user per minute with a 60-second sliding window at the customer level. The Bulk service caps download/upload calls and, once hit, returns 'no more bulk upload or download calls will be permitted for this account,' clearing after up to 15 minutes; Campaign Management caps entities per call, so large changes go through Bulk.
  • Navan: Requests are throttled with HTTP 429 and Navan recommends retrying with exponential backoff; the Expense/Public API must first be enabled per account by Navan.

How the Bingads and Navan connectors work

Bingads

Integration surface
SOAP web services (Bing Ads API v13): Campaign Management, Bulk, Reporting, Customer Management, Customer Billing, and Ad Insight services, plus offline conversion import. SDKs for C#, Java, Python, and PHP; a Sandbox environment mirrors production.
Authentication
OAuth 2.0 (Microsoft identity platform / Azure AD) access tokens passed in the SOAP AuthenticationToken header, plus a Microsoft Advertising Developer Token that authorizes API access; calls are scoped by CustomerId and account (CustomerAccountId).
Change detection
No webhooks or change-data-capture. Reporting is asynchronous - submit a report request, poll until it completes, then download the file. Current campaign state is refreshed via scheduled Bulk downloads (full or by last-sync date) or entity list calls.

Rate limits
Service-specific throttling rather than one global limit.

Navan

Integration surface
REST (Expense API and Booking API)
Authentication
OAuth 2.0 client-credentials flow; an admin creates a client_id and client_secret under Settings > Integrations and exchanges them at Navan's OAuth token endpoint for a short-lived bearer token that is refreshed on expiry (separate US and EU regional hosts)
Change detection
Navan's Expense API supports webhooks for transaction and expense events; sync engines also poll GET endpoints with date-range and updatedAt filters (createdFrom/createdTo for bookings) to backfill history and reconcile. There is no database-level CDC.
Capabilities
read · write · webhooks
Rate limits
Requests are throttled with HTTP 429 and Navan recommends retrying with exponential backoff; the Expense/Public API must first be enabled per account by Navan.
