Why teams connect BigQuery and Paylocity

Land the people and organization records from Paylocity in BigQuery as live tables for workforce reporting, without extract jobs, and write computed results back where Paylocity can use them.

Workforce data is some of the most requested data in the warehouse and some of the most awkward to move: the record types are many, the fields carry sensitive personal information, the APIs are strict, and hand-built extract jobs go stale or break quietly. Whether Paylocity is the system of record for employees and payroll, for candidates and applications, or for learners and course completions, the reporting belongs in BigQuery next to everything else the company measures.

Stacksync syncs Direct Deposit, Pay Statements, Company Codes, Custom Fields from Paylocity into tables in BigQuery continuously, handling API limits and schema drift as they come. The connection is bi-directional, so values computed in BigQuery, such as headcount rollups, cost allocations, or attrition risk flags, can be written back to fields in Paylocity where the HR team acts on them. You configure which records and fields cross over, and in which direction, instead of maintaining pipeline code.

Common use cases

  • 01 Land CRM and ERP records in BigQuery continuously so dashboards reflect business systems without nightly batch jobs
  • 02 Activate modeled BigQuery tables by syncing computed attributes back into sales and marketing tools
  • 03 Upsert recurring Deductions and Earnings on employee records when benefits or 401(k) elections change in a benefits admin system, without re-keying payroll setup.
  • 04 Read Pay Statements and Direct Deposit allocations into a Postgres or warehouse database for labor-cost, GL, and headcount reporting in SQL.

Common sync patterns

HR data in the warehouse, minus the pipeline

People and organization records from Paylocity arrive in BigQuery as queryable tables, current within seconds instead of a day behind, replacing hand-built extract jobs.

Headcount and cost joined with everything else

Analysts combine Paylocity's workforce records with finance, product, or operational data already in BigQuery for reporting the HR system cannot produce on its own.

Fresh data instead of last night's load

Because changes stream continuously, reports query current workforce data rather than waiting for an overnight load window to finish.

What you can sync between BigQuery and Paylocity

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

BigQuery objects Paylocity objects How this pairing syncs
Clustered tables Supported; clustering is transparent to the sync. Company Codes Read-only reference codes and descriptions (cost centers, departments, positions) used to validate field mappings on employee writes. Clustered tables is specific to BigQuery and Company Codes to Paylocity — each maps to any object or custom field on the other side.
Datasets Organizational container — you pick which dataset’s tables to sync. Custom Fields Read-only company-specific custom fields returned by category, used to enrich the employee record downstream. Datasets is specific to BigQuery and Custom Fields to Paylocity — each maps to any object or custom field on the other side.
Projects Connection scope: the service account grants access per project. Employees Core HR record keyed by companyId + employeeId; two-way via Create New Employee (POST) and Update Employee (PATCH), plus Get Employee / Get All Employees for reads. Projects is specific to BigQuery and Employees to Paylocity — each maps to any object or custom field on the other side.
Tables The syncable unit: only tables can be synced per the Stacksync docs. Onboarding Create Employee Onboarding pushes new-hire data into Paylocity's onboarding workflow; Get Onboarding Status reads back partner onboarding progress. Write-in for hires from an ATS. Tables is specific to BigQuery and Onboarding to Paylocity — each maps to any object or custom field on the other side.
Partitioned tables Synced like regular tables; partition columns map to target fields. Deductions (Pay Setup) Recurring deduction codes at the employee level; two-way via Upsert Deduction and Delete, with Get Deduction / Get All Deductions for reads. Partitioned tables is specific to BigQuery and Deductions (Pay Setup) to Paylocity — each maps to any object or custom field on the other side.

How changes propagate between BigQuery and Paylocity

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

BigQuery Paylocity Sub-second propagation

DetectionChanges in BigQuery are captured at the source via change data capture — no polling loop against its API. Real-time notification service deployed into your Google Cloud project: Eventarc ("a notification service that enables real-time updates to happen").

DeliveryEach detected change is written to Paylocity through its API, with automatic retries and rate-limit backoff.

Paylocity BigQuery Sub-second propagation

DetectionPaylocity notifies Stacksync of record changes through webhook events. Webhooks — Paylocity POSTs Employee New Hire, Employee Change, Termination, Payroll Processed, and Time Off Approval events to a callback URL.

DeliveryEach detected change is applied to BigQuery as a row-level write, with types converted between the two schemas.

Rate-limit considerations

  • BigQuery: Subject to Google Cloud quotas on queries, DML, and streaming; DML is supported but the platform favors append-heavy batch and streaming loads over row-at-a-time writes.
  • Paylocity: 25 requests per second (1,500 per minute); exceeding it returns HTTP 429. Every path is scoped to a Paylocity-assigned companyId (a company code, not a UUID).

Authentication
OAuth 2.0 client credentials via the Paylocity Identity Provider (/IdentityServer/connect/token) with the WebLinkAPI scope; access tokens expire after one hour and API access must be enabled by Paylocity for the company
Change detection
Webhooks — Paylocity POSTs Employee New Hire, Employee Change, Termination, Payroll Processed, and Time Off Approval events to a callback URL; payloads carry only companyId and employeeId, so the receiver calls the relevant API to fetch changed values. Scheduled polling is used for objects without webhooks.
