Each tool in Asana keeps its own list of who can use it: users, members, or agents, along with the team they sit on and whether they are still active. Paylocity is the authoritative record of the same people as employees, with their department, manager, and employment status. When those two are connected only by manual account admin or a periodic export, the work tools drift: new hires wait days for access, team and manager changes never catch up, and people who have left keep standing accounts.

A person added, moved, or offboarded in Paylocity creates or updates the matching user in Asana within seconds, with field-level mapping and conflict resolution in place of spreadsheets and one-off account changes. Where Asana captures details of its own, such as a corrected contact or a login identity, those can flow back to Paylocity in whichever direction you configure.

Because the sync is field-level, each system keeps its own extras; only the shared facts, who a person is, which team they belong to, and whether their access should be on, are held in agreement.

Onboarding: access ready on day one

A new hire recorded in Paylocity creates the matching user in Asana with the right team and manager already set, so people can start working without waiting on a provisioning ticket.

Offboarding: no standing access after a departure

When someone is marked as leaving in Paylocity, the matching account in Asana is deactivated or flagged, so departures do not leave open access behind.

One employee directory

A person's name, title, contact details, or status corrected in either system updates the other, so both sides stop maintaining separate copies of the same person.

Projects Collections of Tasks with a layout (list, board, timeline, calendar); each project maps to a synced table scope and its custom fields define the mapping. Direct Deposit Read-only: Get All Direct Deposit and Get Employee Bank Accounts return main and additional allocations. Bank details cannot be written through the API. Projects is specific to Asana and Direct Deposit to Paylocity — each maps to any object or custom field on the other side.
Sections Ordered groupings of Tasks within a project; synced as a grouping attribute or category field on the row. Pay Statements Read-only detailed payroll statement data — earnings, deductions, taxes, and direct deposit allocations by year, check date, or date range. Pulled for reporting, never written. Exceeding a limit returns HTTP 429 with a Retry-After header, and a separate cost-based limiter applies to complex graph traversals.
  • Paylocity: 25 requests per second (1,500 per minute); exceeding it returns HTTP 429. Every path is scoped to a Paylocity-assigned companyId (a company code, not a UUID).
