Why teams connect Odoo and Pinecone

Ground Pinecone on the customers, suppliers, items, and transactions that live in Odoo, and write the classifications, scores, and extracted fields Pinecone produces back onto those records in real time.

An AI system does not keep customers, orders, or invoices the way an ERP does. What it keeps is derived: the vectors and metadata in a store, or the classifications, extracted fields, and generated text a model produces over records it was handed. Odoo is where those source records actually live, across finance, operations, procurement, and inventory, and that data usually stays behind a strict API with many record types. Whatever Pinecone produces, whether a category, a risk flag, an extracted value, or an embedding, only earns its keep when it lands back on the record in Odoo where the business is run.

Stacksync connects Backups, Index statistics, Indexes, Vectors (records) in Pinecone with Products (product.template / product.product), CRM Leads (crm.lead), Purchase Orders (purchase.order), Inventory Transfers (stock.picking) in Odoo and keeps the two sides in sync in real time. Products (product.template / product.product), CRM Leads (crm.lead), Purchase Orders (purchase.order), Inventory Transfers (stock.picking) from Odoo replicate into Pinecone continuously, so retrieval, classification, and reasoning run against current ERP records instead of last night's extract, and the fields Pinecone generates sync back onto the matching record in Odoo. Mapping is field-level, matching is on identifiers you choose, and Stacksync handles the ERP's API limits and schema drift, so there is no extraction pipeline to build or babysit.

Because every AI-side item carries the key of the record it came from, results always resolve to the right customer, supplier, or transaction. Pinecone reasons over the business as it actually is within seconds of a change, and the people running operations act on model output where they already work, without exporting a file or logging into a second system.

Common use cases

  • 01 Two-way sync vector metadata between Pinecone and an operational database so filters and tags stay aligned on both sides.
  • 02 Read an index's vectors and per-namespace statistics into a warehouse for auditing what is stored, sizing cost, and detecting drift from the source data.
  • 03 Push e-commerce orders into Odoo as sales orders and sync fulfillment status back.
  • 04 Mirror invoices and journal entries into a warehouse for consolidated financial reporting across entities.

Common sync patterns

ERP records as live context

Customers, suppliers, items, and transactions from Odoo replicate into Pinecone as they change, so search, retrieval, and reasoning run against current records rather than a periodic extract.

Derived fields back on the record

Categories, scores, or extracted values produced in Pinecone sync onto the matching record in Odoo, where operations and finance teams see and act on them without leaving the ERP.

Continuous freshness, no reload

As records are created or corrected in Odoo, the copy held in Pinecone updates within seconds, so the model side never reasons over stale ERP data.

What you can sync between Odoo and Pinecone

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Odoo objects Pinecone objects How this pairing syncs
Employees (hr.employee) HR records read for directory and provisioning syncs. Index statistics Describe_index_stats returns total and per-namespace vector counts, the index dimension, and index fullness; read to size a sync and to detect drift between Pinecone and the source of truth. Employees (hr.employee) is specific to Odoo and Index statistics to Pinecone — each maps to any object or custom field on the other side.
Projects and Tasks (project.project / project.task) Work items synced with external project tools. Indexes Serverless or pod-based containers holding vectors of a fixed dimension and distance metric (cosine, dotproduct, euclidean); managed on the control plane (api.pinecone.io) via create, list, describe, configure, and delete. describe_index returns the per-index data-plane host. Projects and Tasks (project.project / project.task) is specific to Odoo and Indexes to Pinecone — each maps to any object or custom field on the other side.
Contacts (res.partner) The unified person/company record used across sales, invoicing, and purchasing; the anchor for CRM syncs. Vectors (records) The core data: an id (up to 512 chars), a dense values array, optional sparse_values, and JSON metadata (up to 40 KB filterable per record). Full CRUD on the data plane via upsert, update, fetch, query, and delete, so write is supported here. Contacts (res.partner) is specific to Odoo and Vectors (records) to Pinecone — each maps to any object or custom field on the other side.
Sales Orders (sale.order) Quotations and confirmed orders synced with e-commerce and external CRMs. Namespaces Partitions inside an index; every read and write targets one namespace and vectors across namespaces are isolated. Enumerated with list_namespaces and sized per namespace via describe_index_stats. Sales Orders (sale.order) is specific to Odoo and Namespaces to Pinecone — each maps to any object or custom field on the other side.
Invoices (account.move) Customer invoices and journal entries synced with accounting and reporting tools. Collections Immutable snapshots of a pod-based index that store its data but not its definition; created, listed, and deleted on the control plane and used to recreate a pod-based index. Serverless indexes use Backups instead. Invoices (account.move) is specific to Odoo and Collections to Pinecone — each maps to any object or custom field on the other side.
Products (product.template / product.product) Catalog and variant data distributed to storefronts and quoting tools. Backups Point-in-time snapshots of a serverless index; created, listed, and restored into a new index on the control plane for recovery or cloning. Read as a recovery-asset inventory. Products (product.template / product.product) is specific to Odoo and Backups to Pinecone — each maps to any object or custom field on the other side.

How changes propagate between Odoo and Pinecone

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Odoo Pinecone Sub-second propagation

DetectionOdoo notifies Stacksync of record changes through webhook events. Polling on the write_date timestamp every record carries.

DeliveryEach detected change is written to Pinecone through its API, with automatic retries and rate-limit backoff.

Pinecone Odoo Interval-based propagation

DetectionStacksync polls Pinecone for changes on an incremental schedule, reading only records changed since the previous pass. No webhooks and no native change-data-capture feed.

DeliveryEach detected change is written to Odoo through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Odoo: Self-hosted instances have no fixed rate limits; Odoo Online is subject to the platform's fair-use limits.
  • Pinecone: Data-plane operations are capped per second: query, upsert, update, and delete at 100 req/s per namespace, fetch at 100 req/s per index, and list at 200 req/s per index; breaches return HTTP 429. Hard request limits also apply: an upsert is max 2 MB or 1000 records, metadata max 40 KB per record, and query top_k up to 10,000 with a 4 MB result cap.

How the Odoo and Pinecone connectors work

Odoo

Integration surface
XML-RPC and JSON-RPC external API exposing the full ORM (search_read, create, write, unlink)
Authentication
Database user credentials or per-user API keys
Change detection
Polling on the write_date timestamp every record carries; recent versions can also send outbound webhooks from automation rules
Capabilities
read · write · webhooks
Rate limits
Self-hosted instances have no fixed rate limits; Odoo Online is subject to the platform's fair-use limits

Pinecone

Integration surface
Two HTTP APIs: a control plane at api.pinecone.io (manage indexes, collections, backups, and, via the Admin API, projects and API keys) and a per-index data plane at the host returned by describe_index (upsert, query, fetch, update, delete, list). A gRPC data-plane transport is available through the official SDKs.
Authentication
API key in the Api-Key request header, scoped to one project; every request also sends an X-Pinecone-Api-Version header (date-based, e.g. 2025-10). The organization Admin API instead uses OAuth2 client-credentials (service accounts) via login.pinecone.io/oauth/token, passing a Bearer token to api.pinecone.io/admin (Enterprise).
Change detection
No webhooks and no native change-data-capture feed. Vectors carry no server-side update timestamp, so Stacksync detects changes by re-reading - paginating vector ids with the list operation (serverless indexes) and fetching by id, or by re-upserting from the source of truth. describe_index_stats bounds a resync with per-namespace counts.
Capabilities
read · write
Rate limits
Data-plane operations are capped per second: query, upsert, update, and delete at 100 req/s per namespace, fetch at 100 req/s per index, and list at 200 req/s per index; breaches return HTTP 429. Hard request limits also apply: an upsert is max 2 MB or 1000 records, metadata max 40 KB per record, and query top_k up to 10,000 with a 4 MB result cap.
