Why teams connect NetSuite and Pinecone

Ground Pinecone on the customers, suppliers, items, and transactions that live in NetSuite, and write the classifications, scores, and extracted fields Pinecone produces back onto those records in real time.

An AI system does not keep customers, orders, or invoices the way an ERP does. What it keeps is derived: the vectors and metadata in a store, or the classifications, extracted fields, and generated text a model produces over records it was handed. NetSuite is where those source records actually live, across finance, operations, procurement, and inventory, and that data usually stays behind a strict API with many record types. Whatever Pinecone produces, whether a category, a risk flag, an extracted value, or an embedding, only earns its keep when it lands back on the record in NetSuite where the business is run.

Stacksync connects Namespaces, Collections, Backups, Index statistics in Pinecone with Tax Type, Sales Tax Item, Billing Schedule Customer Subsidiary Relationship, Account in NetSuite and keeps the two sides in sync in real time. Tax Type, Sales Tax Item, Billing Schedule Customer Subsidiary Relationship, Account from NetSuite replicate into Pinecone continuously, so retrieval, classification, and reasoning run against current ERP records instead of last night's extract, and the fields Pinecone generates sync back onto the matching record in NetSuite. Mapping is field-level, matching is on identifiers you choose, and Stacksync handles the ERP's API limits and schema drift, so there is no extraction pipeline to build or babysit.

Because every AI-side item carries the key of the record it came from, results always resolve to the right customer, supplier, or transaction. Pinecone reasons over the business as it actually is within seconds of a change, and the people running operations act on model output where they already work, without exporting a file or logging into a second system.

Common use cases

  • 01 Migrate or clone vectors between Pinecone indexes, projects, or namespaces - or from another vector store into Pinecone - using batched upserts.
  • 02 Back up a namespace by exporting its vector ids, values, and metadata to object storage or a database on a schedule using the list and fetch operations.
  • 03 Mirror journal entries and transaction lines into a warehouse for financial reporting without CSV exports.
  • 04 Sync customers, sales orders, and invoices to an operational Postgres database so teams query ERP data without writing SuiteScript.

Common sync patterns

One consistent identity across both systems

A customer, supplier, item, or transaction in NetSuite maps to the corresponding entry in Pinecone, so every AI result attaches to the right entity on both sides.

Document extraction round-trip

Purchase orders, invoices, or other documents flow from NetSuite into Pinecone for parsing or classification, and the structured result returns to the record it came from.

ERP records as live context

Customers, suppliers, items, and transactions from NetSuite replicate into Pinecone as they change, so search, retrieval, and reasoning run against current records rather than a periodic extract.

What you can sync between NetSuite and Pinecone

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

NetSuite objects Pinecone objects How this pairing syncs
Price Level Synced with incremental and full sync per the Stacksync docs. Backups Point-in-time snapshots of a serverless index; created, listed, and restored into a new index on the control plane for recovery or cloning. Read as a recovery-asset inventory. Price Level is specific to NetSuite and Backups to Pinecone — each maps to any object or custom field on the other side.
Term Synced with incremental and full sync per the Stacksync docs. Index statistics Describe_index_stats returns total and per-namespace vector counts, the index dimension, and index fullness; read to size a sync and to detect drift between Pinecone and the source of truth. Term is specific to NetSuite and Index statistics to Pinecone — each maps to any object or custom field on the other side.
Subsidiary Synced with incremental and full sync per the Stacksync docs. Indexes Serverless or pod-based containers holding vectors of a fixed dimension and distance metric (cosine, dotproduct, euclidean); managed on the control plane (api.pinecone.io) via create, list, describe, configure, and delete. describe_index returns the per-index data-plane host. Subsidiary is specific to NetSuite and Indexes to Pinecone — each maps to any object or custom field on the other side.
All custom objects Synced with incremental and full sync per the Stacksync docs. Vectors (records) The core data: an id (up to 512 chars), a dense values array, optional sparse_values, and JSON metadata (up to 40 KB filterable per record). Full CRUD on the data plane via upsert, update, fetch, query, and delete, so write is supported here. All custom objects is specific to NetSuite and Vectors (records) to Pinecone — each maps to any object or custom field on the other side.
Nexus Synced with incremental and full sync per the Stacksync docs. Namespaces Partitions inside an index; every read and write targets one namespace and vectors across namespaces are isolated. Enumerated with list_namespaces and sized per namespace via describe_index_stats. Nexus is specific to NetSuite and Namespaces to Pinecone — each maps to any object or custom field on the other side.
Tax Type Synced with incremental and full sync per the Stacksync docs. Collections Immutable snapshots of a pod-based index that store its data but not its definition; created, listed, and deleted on the control plane and used to recreate a pod-based index. Serverless indexes use Backups instead. Tax Type is specific to NetSuite and Collections to Pinecone — each maps to any object or custom field on the other side.

How changes propagate between NetSuite and Pinecone

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

NetSuite Pinecone Interval-based propagation

DetectionStacksync polls NetSuite for changes on an incremental schedule, reading only records changed since the previous pass. Polling on lastModifiedDate via SuiteQL or saved searches.

DeliveryEach detected change is written to Pinecone through its API, with automatic retries and rate-limit backoff.

Pinecone NetSuite Interval-based propagation

DetectionStacksync polls Pinecone for changes on an incremental schedule, reading only records changed since the previous pass. No webhooks and no native change-data-capture feed.

DeliveryEach detected change is written to NetSuite through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • NetSuite: API concurrency is governed per account; sync tools queue and throttle requests.
  • Pinecone: Data-plane operations are capped per second: query, upsert, update, and delete at 100 req/s per namespace, fetch at 100 req/s per index, and list at 200 req/s per index; breaches return HTTP 429. Hard request limits also apply: an upsert is max 2 MB or 1000 records, metadata max 40 KB per record, and query top_k up to 10,000 with a 4 MB result cap.

Pinecone

Integration surface
Two HTTP APIs: a control plane at api.pinecone.io (manage indexes, collections, backups, and, via the Admin API, projects and API keys) and a per-index data plane at the host returned by describe_index (upsert, query, fetch, update, delete, list). A gRPC data-plane transport is available through the official SDKs.
Authentication
API key in the Api-Key request header, scoped to one project; every request also sends an X-Pinecone-Api-Version header (date-based, e.g. 2025-10). The organization Admin API instead uses OAuth2 client-credentials (service accounts) via login.pinecone.io/oauth/token, passing a Bearer token to api.pinecone.io/admin (Enterprise).
Change detection
No webhooks and no native change-data-capture feed. Vectors carry no server-side update timestamp, so Stacksync detects changes by re-reading - paginating vector ids with the list operation (serverless indexes) and fetching by id, or by re-upserting from the source of truth. describe_index_stats bounds a resync with per-namespace counts.
Capabilities
read · write
Rate limits
Data-plane operations are capped per second: query, upsert, update, and delete at 100 req/s per namespace, fetch at 100 req/s per index, and list at 200 req/s per index; breaches return HTTP 429. Hard request limits also apply: an upsert is max 2 MB or 1000 records, metadata max 40 KB per record, and query top_k up to 10,000 with a 4 MB result cap.
