Why teams connect Dynamics 365 Business Central and Pinecone

Ground Pinecone on the customers, suppliers, items, and transactions that live in Dynamics 365 Business Central, and write the classifications, scores, and extracted fields Pinecone produces back onto those records in real time.

An AI system does not keep customers, orders, or invoices the way an ERP does. What it keeps is derived: the vectors and metadata in a store, or the classifications, extracted fields, and generated text a model produces over records it was handed. Dynamics 365 Business Central is where those source records actually live, across finance, operations, procurement, and inventory, and that data usually stays behind a strict API with many record types. Whatever Pinecone produces, whether a category, a risk flag, an extracted value, or an embedding, only earns its keep when it lands back on the record in Dynamics 365 Business Central where the business is run.

Stacksync connects Backups, Index statistics, Indexes, Vectors (records) in Pinecone with Vendors, Items, Sales Orders, Sales Invoices in Dynamics 365 Business Central and keeps the two sides in sync in real time. Vendors, Items, Sales Orders, Sales Invoices from Dynamics 365 Business Central replicate into Pinecone continuously, so retrieval, classification, and reasoning run against current ERP records instead of last night's extract, and the fields Pinecone generates sync back onto the matching record in Dynamics 365 Business Central. Mapping is field-level, matching is on identifiers you choose, and Stacksync handles the ERP's API limits and schema drift, so there is no extraction pipeline to build or babysit.

Because every AI-side item carries the key of the record it came from, results always resolve to the right customer, supplier, or transaction. Pinecone reasons over the business as it actually is within seconds of a change, and the people running operations act on model output where they already work, without exporting a file or logging into a second system.

Common use cases

  • 01 Two-way sync vector metadata between Pinecone and an operational database so filters and tags stay aligned on both sides.
  • 02 Read an index's vectors and per-namespace statistics into a warehouse for auditing what is stored, sizing cost, and detecting drift from the source data.
  • 03 Replicate GL entries and dimensions into a SQL database for financial reporting without giving analysts ERP logins.
  • 04 Sync vendor and purchase order data with procurement or AP automation tools.

Common sync patterns

ERP records as live context

Customers, suppliers, items, and transactions from Dynamics 365 Business Central replicate into Pinecone as they change, so search, retrieval, and reasoning run against current records rather than a periodic extract.

Derived fields back on the record

Categories, scores, or extracted values produced in Pinecone sync onto the matching record in Dynamics 365 Business Central, where operations and finance teams see and act on them without leaving the ERP.

Continuous freshness, no reload

As records are created or corrected in Dynamics 365 Business Central, the copy held in Pinecone updates within seconds, so the model side never reasons over stale ERP data.

What you can sync between Dynamics 365 Business Central and Pinecone

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Dynamics 365 Business Central objects Pinecone objects How this pairing syncs
Items Product and inventory records aligned with e-commerce and warehouse systems. Vectors (records) The core data: an id (up to 512 chars), a dense values array, optional sparse_values, and JSON metadata (up to 40 KB filterable per record). Full CRUD on the data plane via upsert, update, fetch, query, and delete, so write is supported here. Items is specific to Dynamics 365 Business Central and Vectors (records) to Pinecone — each maps to any object or custom field on the other side.
Sales Orders Order headers and lines created from external channels and read back for fulfillment status. Namespaces Partitions inside an index; every read and write targets one namespace and vectors across namespaces are isolated. Enumerated with list_namespaces and sized per namespace via describe_index_stats. Sales Orders is specific to Dynamics 365 Business Central and Namespaces to Pinecone — each maps to any object or custom field on the other side.
Sales Invoices Billing documents synced to CRMs and payment platforms. Collections Immutable snapshots of a pod-based index that store its data but not its definition; created, listed, and deleted on the control plane and used to recreate a pod-based index. Serverless indexes use Backups instead. Sales Invoices is specific to Dynamics 365 Business Central and Collections to Pinecone — each maps to any object or custom field on the other side.
Purchase Orders Procurement documents exchanged with supplier-facing systems. Backups Point-in-time snapshots of a serverless index; created, listed, and restored into a new index on the control plane for recovery or cloning. Read as a recovery-asset inventory. Purchase Orders is specific to Dynamics 365 Business Central and Backups to Pinecone — each maps to any object or custom field on the other side.
General Ledger Entries Posted financial transactions read for reporting; posted entries are immutable. Index statistics Describe_index_stats returns total and per-namespace vector counts, the index dimension, and index fullness; read to size a sync and to detect drift between Pinecone and the source of truth. General Ledger Entries is specific to Dynamics 365 Business Central and Index statistics to Pinecone — each maps to any object or custom field on the other side.
Journals Staging records for financial postings created by integrations before posting. Indexes Serverless or pod-based containers holding vectors of a fixed dimension and distance metric (cosine, dotproduct, euclidean); managed on the control plane (api.pinecone.io) via create, list, describe, configure, and delete. describe_index returns the per-index data-plane host. Journals is specific to Dynamics 365 Business Central and Indexes to Pinecone — each maps to any object or custom field on the other side.

How changes propagate between Dynamics 365 Business Central and Pinecone

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Dynamics 365 Business Central Pinecone Sub-second propagation

DetectionDynamics 365 Business Central notifies Stacksync of record changes through webhook events. API webhooks (change notifications on subscribed entities) plus polling on lastModifiedDateTime.

DeliveryEach detected change is written to Pinecone through its API, with automatic retries and rate-limit backoff.

Pinecone Dynamics 365 Business Central Interval-based propagation

DetectionStacksync polls Pinecone for changes on an incremental schedule, reading only records changed since the previous pass. No webhooks and no native change-data-capture feed.

DeliveryEach detected change is written to Dynamics 365 Business Central through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Pinecone: Data-plane operations are capped per second: query, upsert, update, and delete at 100 req/s per namespace, fetch at 100 req/s per index, and list at 200 req/s per index; breaches return HTTP 429. Hard request limits also apply: an upsert is max 2 MB or 1000 records, metadata max 40 KB per record, and query top_k up to 10,000 with a 4 MB result cap.

Pinecone

Integration surface
Two HTTP APIs: a control plane at api.pinecone.io (manage indexes, collections, backups, and, via the Admin API, projects and API keys) and a per-index data plane at the host returned by describe_index (upsert, query, fetch, update, delete, list). A gRPC data-plane transport is available through the official SDKs.
Authentication
API key in the Api-Key request header, scoped to one project; every request also sends an X-Pinecone-Api-Version header (date-based, e.g. 2025-10). The organization Admin API instead uses OAuth2 client-credentials (service accounts) via login.pinecone.io/oauth/token, passing a Bearer token to api.pinecone.io/admin (Enterprise).
Change detection
No webhooks and no native change-data-capture feed. Vectors carry no server-side update timestamp, so Stacksync detects changes by re-reading - paginating vector ids with the list operation (serverless indexes) and fetching by id, or by re-upserting from the source of truth. describe_index_stats bounds a resync with per-namespace counts.
Capabilities

Rate limits
