Why teams connect Gainsight and Zuora

Connect the financial records in Zuora with the work happening in Gainsight, so both stay current without exports or copy-paste.

Zuora holds the financial truth: who the customers are, what they were billed, what they paid. Gainsight is where part of the day-to-day work happens, and that work often involves the same customers and transactions. Without a live connection, the two drift apart, and people end up answering questions from stale copies.

Stacksync keeps Subscription, Rate Plan and Rate Plan Charge, Product and Product Rate Plan (Product Catalog), Invoice in Zuora and Company, Person (People), Relationship, CTA (Call to Action) in Gainsight in sync, bi-directionally and in real time. Whatever records Gainsight keeps and whatever events it produces, the overlap with Zuora is mapped field by field, and a change on either side shows up on the other within seconds.

There is no middleware to build, no API rate limits to babysit, and no nightly job that leaves the morning running on yesterday's data.

Common use cases

  • 01 Two-way sync of Accounts and Subscriptions with an operational Postgres database so product and finance teams read billing state in SQL while changes flow back into Zuora.
  • 02 Master the Product Catalog (Products and Product Rate Plans) in a database or PIM and write pricing changes into Zuora.
  • 03 Read Timeline Activities and Success Plan objectives into a reporting database for churn, QBR, and CSM-productivity dashboards.
  • 04 Keep Relationship records aligned with a billing system or ERP so multi-product customers map to the correct contracts and invoices.

Common sync patterns

Where Gainsight handles customer conversations: billing context in view

Front-line teams see invoice and payment status from Zuora next to the customer they are helping, without logging into the finance system.

Where Gainsight collects payments or triggers charges: events land in Zuora

Payment and charge activity flows into Zuora as it happens, so the books reflect reality without manual reconciliation.

Where Gainsight tracks people or companies: one identity

A customer's details updated in either system update the other, so finance and the rest of the business stop maintaining two versions of the same customer.

What you can sync between Gainsight and Zuora

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Gainsight objects Zuora objects How this pairing syncs
Company Customer/account master in Gainsight CS; two-way synced with CRM and warehouse customer tables to keep ARR, owner, and renewal fields aligned. Product and Product Rate Plan (Product Catalog) The catalog of sellable products and their pricing; usually mastered elsewhere and written into Zuora, or read to map subscription charges. Company is specific to Gainsight and Product and Product Rate Plan (Product Catalog) to Zuora — each maps to any object or custom field on the other side.
Person (People) Contacts associated to companies through the Company Person junction; synced two-way with CRM contacts and warehouse person records. Invoice Billing documents generated from rate plan charges and order line items; typically read out into an ERP or GL for revenue recognition and reconciliation. Person (People) is specific to Gainsight and Invoice to Zuora — each maps to any object or custom field on the other side.
Relationship Sub-units within a company for multi-product or multi-team accounts; synced so each maps to the right contract in billing or an ERP. Payment Payment and refund transactions applied against invoices; read for cash application, dunning, and reconciliation reporting in the warehouse. Relationship is specific to Gainsight and Payment to Zuora — each maps to any object or custom field on the other side.
CTA (Call to Action) Risk and expansion alerts that drive CSM plays; often synced to ticketing or project tools so follow-up work is tracked where teams operate. Usage Metered consumption records; written into Zuora from a metering or warehouse pipeline so consumption-based charges are rated and invoiced. CTA (Call to Action) is specific to Gainsight and Usage to Zuora — each maps to any object or custom field on the other side.
Scorecard Fact Health scores and measures per Company or Relationship; usage metrics from a warehouse are written in so scores reflect live telemetry. Order and Amendment Records of subscription create and change actions; written to Zuora to drive quote-to-cash and read for subscription change history. Scorecard Fact is specific to Gainsight and Order and Amendment to Zuora — each maps to any object or custom field on the other side.
Timeline Activity Logged calls, emails, and notes; usually read out into a reporting database for QBR and churn analysis. Account (Billing Account) The customer billing entity holding contacts, payment methods, and billing settings; synced two-way as the parent record most other Zuora objects hang off. Timeline Activity is specific to Gainsight and Account (Billing Account) to Zuora — each maps to any object or custom field on the other side.

How changes propagate between Gainsight and Zuora

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Gainsight Zuora Interval-based propagation

DetectionStacksync polls Gainsight for changes on an incremental schedule, reading only records changed since the previous pass. Polling on the ModifiedDate (GS Modified Date) system field, which is filterable and sortable on every object.

DeliveryEach detected change is written to Zuora through its API, with automatic retries and rate-limit backoff.

Zuora Gainsight Sub-second propagation

DetectionZuora notifies Stacksync of record changes through webhook events. Incremental extraction on the indexed UpdatedDate column via ZOQL/AQuA stateful mode (high-water mark), plus Callout Notifications (webhooks) for.

DeliveryEach detected change is written to Gainsight through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Gainsight: Synchronous APIs are capped near 100 calls/min and 50,000/day; the asynchronous Bulk API allows 10 calls/hour and 100/day. Both are fixed-window limits, and the applicable per-hour and per-day limits are returned in the x-ratelimit-limit response header.
  • Zuora: Concurrency limits: 40 concurrent requests by default, 80 for Object Queries, 200 for high-volume operations (doubled for Performance Booster); HTTP 429 on breach with exponential backoff; OAuth token endpoint is not bound by the limit.
