Why teams connect Cvent and Zuora

Put revenue reality behind every campaign: Zuora and Cvent share the same customers, contacts, and billing status in real time, in both directions.

Zuora records the money — who pays, how much, and whether they are current; Cvent decides who hears from the business and what they hear. The two overlap wherever the same customers and contacts matter to both, and when that overlap is bridged by CSV exports or an overnight batch, campaigns target on stale billing data and finance works from lists marketing has already changed underneath it.

Stacksync syncs Product and Product Rate Plan (Product Catalog), Invoice, Payment, Usage in Zuora with Speakers, Exhibitors, Surveys, Budgets in Cvent field by field, in real time, and in both directions. You decide which system owns which fields — finance keeps the revenue and payment truth, marketing keeps consent and engagement — and Stacksync keeps every copy consistent and resolves conflicts by rules you set.

Common use cases

  • 01 Stream metered Usage records from a warehouse or metering pipeline into Zuora so consumption-based charges are rated on the correct Rate Plan.
  • 02 Two-way sync of Accounts and Subscriptions with an operational Postgres database so product and finance teams read billing state in SQL while changes flow back into Zuora.
  • 03 Read Budgets and event financials into an ERP or finance database to reconcile planned versus actual event spend.
  • 04 Write Attendees and Registrations into Cvent from external marketing signup flows, then read attendance status back into a warehouse.

Common sync patterns

Revenue and billing signals reach the audience

Plan tier, spend, or payment status from Zuora lands on the matching record in Cvent, so segments and targeting reflect who actually pays and how much.

One customer and contact list

Where both systems keep customer or contact records, an edit on either side propagates to the other, ending dual maintenance and the drift it creates.

Where Cvent captures new people: clean records flow to finance

Registrants, form fills, or leads created in Cvent create or update the matching customer or contact in Zuora, so billing and reporting start from accurate details without re-entry.

What you can sync between Cvent and Zuora

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Cvent objects Zuora objects How this pairing syncs
Budgets Event budget line items; read into a finance database or ERP to reconcile planned versus actual event spend. Product and Product Rate Plan (Product Catalog) The catalog of sellable products and their pricing; usually mastered elsewhere and written into Zuora, or read to map subscription charges. Budgets is specific to Cvent and Product and Product Rate Plan (Product Catalog) to Zuora — each maps to any object or custom field on the other side.
Events Top-level event containers created and updated through the Events endpoints; read out for reporting and written to provision events from an external system. Invoice Billing documents generated from rate plan charges and order line items; typically read out into an ERP or GL for revenue recognition and reconciliation. Events is specific to Cvent and Invoice to Zuora — each maps to any object or custom field on the other side.
Contacts Account-wide people database spanning every event; synced two-way with a CRM or warehouse as the shared audience source of truth via the Create Contacts endpoint. Payment Payment and refund transactions applied against invoices; read for cash application, dunning, and reconciliation reporting in the warehouse. Contacts is specific to Cvent and Payment to Zuora — each maps to any object or custom field on the other side.
Attendees and Registrations Per-event registrants; written in from CRM or marketing signup flows via POST /ea/attendees and read back out to a warehouse for attendance and registration-status reporting. Usage Metered consumption records; written into Zuora from a metering or warehouse pipeline so consumption-based charges are rated and invoiced. Attendees and Registrations is specific to Cvent and Usage to Zuora — each maps to any object or custom field on the other side.
Sessions Agenda items within an event; listed or created through the API and synced so session-level attendance feeds reporting tables. Order and Amendment Records of subscription create and change actions; written to Zuora to drive quote-to-cash and read for subscription change history. Sessions is specific to Cvent and Order and Amendment to Zuora — each maps to any object or custom field on the other side.
Speakers Speaker records tied to an event; synced two-way with a speaker database or CMS, with an updatedDate on each record for incremental pulls. Account (Billing Account) The customer billing entity holding contacts, payment methods, and billing settings; synced two-way as the parent record most other Zuora objects hang off. Speakers is specific to Cvent and Account (Billing Account) to Zuora — each maps to any object or custom field on the other side.

How changes propagate between Cvent and Zuora

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Cvent Zuora Sub-second propagation

DetectionCvent notifies Stacksync of record changes through webhook events. Per-event webhooks push attendee, registration, session, and speaker changes.

DeliveryEach detected change is written to Zuora through its API, with automatic retries and rate-limit backoff.

Zuora Cvent Sub-second propagation

DetectionZuora notifies Stacksync of record changes through webhook events. Incremental extraction on the indexed UpdatedDate column via ZOQL/AQuA stateful mode (high-water mark), plus Callout Notifications (webhooks) for.

DeliveryEach detected change is written to Cvent through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Cvent: Responses carry X-RateLimit-Limit/Remaining/Reset headers; a 429 signals either the per-second limit (retry with exponential backoff from ~2s) or the daily quota (up to 500,000 calls/day on the Premium tier, 1,000/day on Free) exhausted until midnight UTC.
  • Zuora: Concurrency limits: 40 concurrent requests by default, 80 for Object Queries, 200 for high-volume operations (doubled for Performance Booster); HTTP 429 on breach with exponential backoff; OAuth token endpoint is not bound by the limit.

Cvent

Integration surface
Cvent REST API (JSON over HTTPS at api-platform.cvent.com/ea, paginated list endpoints)
Authentication
OAuth 2.0 client-credentials flow: a client ID and secret are Basic-auth exchanged for a 60-minute bearer token at api-platform.cvent.com/ea/oauth2/token; legacy API-key and SOAP/CSN auth are deprecated
Change detection
Per-event webhooks push attendee, registration, session, and speaker changes; list endpoints also expose updatedDate for polling and support on-demand manual sync
Capabilities
