Why teams connect Bill and Recurly

Keep the customer, invoice, and payment records that Bill and Recurly share consistent in real time, whether the two systems split your finance stack or one is replacing the other.

Two finance systems in one company usually means one of two setups. Either the systems divide the work, with one issuing invoices or serving a business unit while the other holds the books, or one is on its way out and both must stay accurate during the transition. In both cases, the customer, invoice, and payment records the two systems share start to drift the moment updates are keyed twice or moved by hand.

Stacksync syncs Customers, Payments, Chart of Accounts, Bank Accounts in Bill with Transactions, Line Items, Coupons and Redemptions, Billing Info in Recurly bi-directionally and in real time. A record created or corrected in either system appears in the other within seconds, with field-level mapping and conflict resolution in place of CSV exports and nightly batch jobs.

That matters most at close. When both systems agree on who was billed, what was paid, and what is outstanding, reconciliation stops being a hunt for which copy of the truth is current.

Common use cases

  • 01 Sync Customers and Invoices from BILL AR into a CRM or ERP so sales and finance see billing and payment status on the account.
  • 02 Write Vendors created during ERP onboarding into BILL so new payees are ready to pay without manual re-entry.
  • 03 Post usage records to Measured Units on metered Subscriptions from a metering database before each bill run.
  • 04 Sync Accounts and Subscriptions bi-directionally with Postgres so product and provisioning systems read live entitlement state and write plan or seat changes back to Recurly.

Common sync patterns

Where Bill issues invoices and Recurly holds the books

Invoices and payments recorded on the billing side land in the system of record automatically, so revenue is captured once and correctly.

Parallel run during a migration

When one system is replacing the other, keep both live and matching through the cutover, so no transaction falls between the last export and go-live.

One customer master

A customer's name, billing details, or payment terms corrected in either system update the other immediately, so the next invoice always uses current information.

What you can sync between Bill and Recurly

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Bill objects Recurly objects How this pairing syncs
Invoices Accounts-receivable invoices sent to customers; created and read via /v3/invoices to keep billing status aligned with the ERP or CRM. Invoices Charge and credit billing documents; read-heavy for revenue reporting, and creatable through Purchases for one-off charges. Same entity on both sides — records pair one-to-one and field-level changes reconcile in both directions. Custom fields on either side are included in the mapping.
Customers AR customer master records; mapped to customer/account records in a CRM or ERP so finance and sales share one view. Subscriptions Recurring subscription records tied to an Account and a Plan, with state, term, and next-bill date. Core object, synced two-way to drive provisioning and reporting. Customers is specific to Bill and Subscriptions to Recurly — each maps to any object or custom field on the other side.
Payments Outgoing vendor payments and received customer payments; read for reconciliation and created to schedule bill pay. Plans The product and pricing catalog (plan codes, intervals, add-ons); usually mastered in Recurly and read out, or mirrored from a product database. Payments is specific to Bill and Plans to Recurly — each maps to any object or custom field on the other side.
Chart of Accounts GL accounts used to code bills and invoices; typically mastered in the accounting system and written into BILL for consistent coding. Transactions Individual payment attempts — captures, refunds, and voids; typically read into a warehouse for reconciliation and dunning analysis. Chart of Accounts is specific to Bill and Transactions to Recurly — each maps to any object or custom field on the other side.
Bank Accounts Funding and deposit accounts; read to reconcile payments and posted transactions against the ledger. Line Items One-time charges and credits on an account outside a subscription; synced for accurate revenue and adjustment reporting. Bank Accounts is specific to Bill and Line Items to Recurly — each maps to any object or custom field on the other side.
Vendor Credits and Credit Memos AP and AR adjustments applied against bills and invoices; synced so balances stay accurate on both sides. Coupons and Redemptions Discount definitions and their application to accounts and subscriptions; read for discount and promotion analysis. Vendor Credits and Credit Memos is specific to Bill and Coupons and Redemptions to Recurly — each maps to any object or custom field on the other side.

How changes propagate between Bill and Recurly

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Bill Recurly Sub-second propagation

DetectionBill notifies Stacksync of record changes through webhook events. Webhook event subscriptions (POST /v3/subscriptions) for bills, vendors, payments, invoices, and bank accounts, with polling on.

DeliveryEach detected change is written to Recurly through its API, with automatic retries and rate-limit backoff.

Recurly Bill Sub-second propagation

DetectionRecurly notifies Stacksync of record changes through webhook events. Webhooks (JSON or XML, one format per endpoint) for account, subscription, payment, and invoice events, plus incremental polling of list endpoints.

DeliveryEach detected change is written to Bill through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Bill: 20,000 requests per developer key per hour; login (POST /v3/login) capped at 200/hour; maximum 3 concurrent requests per developer key per organization. Spend & Expense API is a separate token at 60 calls/token/minute.
  • Recurly: Production sites default to 1,000 requests/min with only GET requests counting toward the limit; sandbox sites 400/min with all requests counting; the limit is a sliding 5-minute window, X-RateLimit headers report the quota, and breaches return HTTP 429.
