Why teams connect Asana and Bill

Connect the financial records in Bill with the work happening in Asana, so both stay current without exports or copy-paste.

Bill holds the financial truth: who the customers are, what they were billed, what they paid. Asana is where part of the day-to-day work happens, and that work often involves the same customers and transactions. Without a live connection, the two drift apart, and people end up answering questions from stale copies.

Stacksync keeps Vendors, Invoices, Customers, Payments in Bill and Custom fields, Stories, Users, Portfolios in Asana in sync, bi-directionally and in real time. Whatever records Asana keeps and whatever events it produces, the overlap with Bill is mapped field by field, and a change on either side shows up on the other within seconds.

There is no middleware to build, no API rate limits to babysit, and no nightly job that leaves the morning running on yesterday's data.

Common use cases

  • 01 Read approved Bills and their line items into a Postgres warehouse for spend, accrual, and cash-flow reporting without CSV exports.
  • 02 Sync Customers and Invoices from BILL AR into a CRM or ERP so sales and finance see billing and payment status on the account.
  • 03 Sync Stories and completion changes from Asana into a database so downstream dashboards and tools react to project progress in near real time.
  • 04 Two-way sync of Tasks and their Custom fields between an Asana project and Postgres so ops teams work in SQL while project owners stay in Asana.

Common sync patterns

Where Asana collects payments or triggers charges: events land in Bill

Payment and charge activity flows into Bill as it happens, so the books reflect reality without manual reconciliation.

Where Asana tracks people or companies: one identity

A customer's details updated in either system update the other, so finance and the rest of the business stop maintaining two versions of the same customer.

Where Asana handles customer conversations: billing context in view

Front-line teams see invoice and payment status from Bill next to the customer they are helping, without logging into the finance system.

What you can sync between Asana and Bill

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Asana objects Bill objects How this pairing syncs
Tasks The primary unit of work and main record; created, updated, completed, and deleted via REST and synced two-way. Subtasks are Tasks with a parent reference. Customers AR customer master records; mapped to customer/account records in a CRM or ERP so finance and sales share one view. Tasks is specific to Asana and Customers to Bill — each maps to any object or custom field on the other side.
Projects Collections of Tasks with a layout (list, board, timeline, calendar); each project maps to a synced table scope and its custom fields define the mapping. Payments Outgoing vendor payments and received customer payments; read for reconciliation and created to schedule bill pay. Projects is specific to Asana and Payments to Bill — each maps to any object or custom field on the other side.
Sections Ordered groupings of Tasks within a project; synced as a grouping attribute or category field on the row. Chart of Accounts GL accounts used to code bills and invoices; typically mastered in the accounting system and written into BILL for consistent coding. Sections is specific to Asana and Chart of Accounts to Bill — each maps to any object or custom field on the other side.
Custom fields Typed fields (text, number, enum, multi-enum, date, people) defined at project or workspace level; mapped to database columns, with enum values written by option GID. Bank Accounts Funding and deposit accounts; read to reconcile payments and posted transactions against the ledger. Custom fields is specific to Asana and Bank Accounts to Bill — each maps to any object or custom field on the other side.
Stories Comments and activity entries on a Task; read out for history and reporting or written back as comments. Vendor Credits and Credit Memos AP and AR adjustments applied against bills and invoices; synced so balances stay accurate on both sides. Stories is specific to Asana and Vendor Credits and Credit Memos to Bill — each maps to any object or custom field on the other side.
Users Members of a workspace or organization referenced by assignee and follower fields; read to resolve GIDs to names and emails. Bills Accounts-payable amounts owed to vendors, with bill line items; read and created via /v3/bills and pulled incrementally by filtering on createdTime/updatedTime. Users is specific to Asana and Bills to Bill — each maps to any object or custom field on the other side.

How changes propagate between Asana and Bill

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Asana Bill Sub-second propagation

DetectionAsana notifies Stacksync of record changes through webhook events. Resource-scoped webhooks (established with an X-Hook-Secret handshake) POST events on create, change, and delete.

DeliveryEach detected change is written to Bill through its API, with automatic retries and rate-limit backoff.

Bill Asana Sub-second propagation

DetectionBill notifies Stacksync of record changes through webhook events. Webhook event subscriptions (POST /v3/subscriptions) for bills, vendors, payments, invoices, and bank accounts, with polling on.

DeliveryEach detected change is written to Asana through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Asana: Per token: 1,500 requests/minute on paid plans, 150/minute on free; the Search API is capped at 60/minute; concurrency caps at 50 GET and 15 write requests. Exceeding a limit returns HTTP 429 with a Retry-After header, and a separate cost-based limiter applies to complex graph traversals.
  • Bill: 20,000 requests per developer key per hour; login (POST /v3/login) capped at 200/hour; maximum 3 concurrent requests per developer key per organization. Spend & Expense API is a separate token at 60 calls/token/minute.
