Why teams connect Agiloft and Smartsheet

Stop re-entering the same information in Agiloft and Smartsheet: Stacksync keeps the records they share consistent in real time, in both directions.

Two tools in the daily stack often hold overlapping information: the same people, the same companies, or the same pieces of work, described twice. The tools do different jobs, so consolidating is not the answer; the overlap just needs to stop drifting.

Stacksync syncs Contracts, Companies, People, Attachments in Agiloft with Cells, Reports, Attachments, Discussions and Comments in Smartsheet in real time. You choose which records overlap, map the fields that should match, and pick a direction or let changes flow both ways. From then on, an update made in either tool is reflected in the other within seconds, without exports or copy-paste.

Because the sync is field-level, each tool keeps its own extras; only the shared data is held in agreement.

Common use cases

  • 01 Two-way sync Contracts between Agiloft and an ERP or warehouse so value, renewal dates, and status stay current without manual re-keying.
  • 02 Push generated documents and executed PDFs into Agiloft Attachments from a document system, or pull signed contracts out for archival.
  • 03 Write records from a CRM or ERP into Smartsheet Rows so ops teams manage intake and status in a grid, then push status Cells back to the source.
  • 04 Pull Reports and Sheets into a warehouse for cross-project reporting and dashboards without manual CSV exports.

Common sync patterns

Where one tool produces events: mirror them in the other

Payments, replies, messages, or tickets created in one tool can create or update matching records in the other, keeping context in one place.

Where Smartsheet is where the team documents or plans: keep its data fed

Information that originates in Agiloft stays current in Smartsheet instead of going stale after a one-time paste.

Handoffs between teams

When work started in one tool continues in the other, the shared fields travel with it automatically.

What you can sync between Agiloft and Smartsheet

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Agiloft objects Smartsheet objects How this pairing syncs
Attachments File records holding the executed contract PDFs and supporting documents linked to a contract; read to pull signed files out, or written to push generated documents in. Attachments Files linked to rows or sheets; posting one carries a 10x rate cost, so bulk file sync is throttled to 30 per minute. Same entity on both sides — records pair one-to-one and field-level changes reconcile in both directions.
People Parent table for individuals, split into Employees (internal users) and Contacts (external company contacts); synced to map signers, approvers, and account owners to CRM or HR records. Rows Records inside a sheet, each with createdAt/modifiedAt and cells keyed by columnId; the primary unit synced to and from external tables. People is specific to Agiloft and Rows to Smartsheet — each maps to any object or custom field on the other side.
Approvals Per-record approval instances generated from Approval Templates and Workflows; read to report approval status and cycle time, or written to trigger and record decisions. Columns Define sheet schema and cell type (TEXT_NUMBER, DATE, CONTACT_LIST, PICKLIST, CHECKBOX); read via the API so field mappings can be generated. Approvals is specific to Agiloft and Columns to Smartsheet — each maps to any object or custom field on the other side.
Tasks Assigned action items with owners, due dates, and states tied to contracts or projects; synced two-way to surface Agiloft work inside a PM or operations system. Cells Row-by-column values; writes must match the column type and no single cell can exceed 4,000 characters. Tasks is specific to Agiloft and Cells to Smartsheet — each maps to any object or custom field on the other side.
Clause Library Reusable, approved contract clauses with metadata and categories; read to feed clause content into other systems or reporting, or maintained from an external source of truth. Reports Read-only roll-ups spanning multiple sheets; pulled into a warehouse for cross-sheet reporting, capped at 50,000 rows. Clause Library is specific to Agiloft and Reports to Smartsheet — each maps to any object or custom field on the other side.
Custom tables Agiloft is a no-code platform, so any customer-built table (NDAs, SOWs, vendor risk, renewals) exposes the same REST and SOAP CRUD and syncs like the standard CLM tables. Discussions and Comments Threaded comments on rows and sheets; read out to sync collaboration history or activity into another system. Custom tables is specific to Agiloft and Discussions and Comments to Smartsheet — each maps to any object or custom field on the other side.

How changes propagate between Agiloft and Smartsheet

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Agiloft Smartsheet Sub-second propagation

DetectionAgiloft notifies Stacksync of record changes through webhook events. Native webhook subscriptions (POST /ewws/webhooks) fire on record create, edit, or delete after a GET handshake verifies the callback URL.

DeliveryEach detected change is written to Smartsheet through its API, with automatic retries and rate-limit backoff.

Smartsheet Agiloft Sub-second propagation

DetectionSmartsheet notifies Stacksync of record changes through webhook events. Sheet-scoped webhooks subscribed to *.* events notify on row and cell changes.

DeliveryEach detected change is written to Agiloft through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Agiloft: Agiloft publishes no fixed per-minute REST quota; throughput is instance-specific and bounded by license seats (Assigned/Floating Power User) and concurrent API sessions. Each SOAP/EWS call runs in its own transaction, and REST logins issue a session token meant to be reused rather than re-authenticated per call.
  • Smartsheet: 300 requests per minute per access token; heavy calls like posting attachments cost 10x (30/min). A 429 returns errorCode 4003, back off ~60s.

Agiloft

Integration surface
REST API (/ewws/rest/{kb}) and SOAP/EWS v2 web services (EWWSv2Service WSDL), plus a native Webhooks subscription API
Authentication
OAuth 2.0 via OAuth2 Client Setup - Authorization Code with PKCE for user-delegated apps and Client Credentials for machine-to-machine; also JWT tokens or Basic Auth with a session token from POST /ewws/rest/{kb}/login
Change detection
Native webhook subscriptions (POST /ewws/webhooks) fire on record create, edit, or delete after a GET handshake verifies the callback URL; otherwise poll each table by its Date Updated / modified-time fields. Agiloft has no database change-data-capture log.
