Why teams connect Logiwa WMS and Pinecone

Ground Pinecone on the customers, suppliers, items, and transactions that live in Logiwa WMS, and write the classifications, scores, and extracted fields Pinecone produces back onto those records in real time.

An AI system does not keep customers, orders, or invoices the way an ERP does. What it keeps is derived: the vectors and metadata in a store, or the classifications, extracted fields, and generated text a model produces over records it was handed. Logiwa WMS is where those source records actually live, across finance, operations, procurement, and inventory, and that data usually stays behind a strict API with many record types. Whatever Pinecone produces, whether a category, a risk flag, an extracted value, or an embedding, only earns its keep when it lands back on the record in Logiwa WMS where the business is run.

Stacksync connects Backups, Index statistics, Indexes, Vectors (records) in Pinecone with Warehouses & Locations, Clients, Returns, Shipment Orders in Logiwa WMS and keeps the two sides in sync in real time. Warehouses & Locations, Clients, Returns, Shipment Orders from Logiwa WMS replicate into Pinecone continuously, so retrieval, classification, and reasoning run against current ERP records instead of last night's extract, and the fields Pinecone generates sync back onto the matching record in Logiwa WMS. Mapping is field-level, matching is on identifiers you choose, and Stacksync handles the ERP's API limits and schema drift, so there is no extraction pipeline to build or babysit.

Because every AI-side item carries the key of the record it came from, results always resolve to the right customer, supplier, or transaction. Pinecone reasons over the business as it actually is within seconds of a change, and the people running operations act on model output where they already work, without exporting a file or logging into a second system.

Common use cases

  • 01 Back up a namespace by exporting its vector ids, values, and metadata to object storage or a database on a schedule using the list and fetch operations.
  • 02 Write embeddings and their metadata into a Pinecone index from a Postgres or warehouse table so a semantic-search or RAG feature always queries fresh vectors.
  • 03 Sync shipment confirmations and tracking numbers back to the CRM so support sees fulfillment status.
  • 04 Mirror on-hand inventory into a central database or storefront to prevent overselling.

Common sync patterns

Derived fields back on the record

Categories, scores, or extracted values produced in Pinecone sync onto the matching record in Logiwa WMS, where operations and finance teams see and act on them without leaving the ERP.

Continuous freshness, no reload

As records are created or corrected in Logiwa WMS, the copy held in Pinecone updates within seconds, so the model side never reasons over stale ERP data.

One consistent identity across both systems

A customer, supplier, item, or transaction in Logiwa WMS maps to the corresponding entry in Pinecone, so every AI result attaches to the right entity on both sides.

What you can sync between Logiwa WMS and Pinecone

Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.

Logiwa WMS objects Pinecone objects How this pairing syncs
Warehouses & Locations Facility and bin structure referenced when mapping multi-warehouse inventory. Backups Point-in-time snapshots of a serverless index; created, listed, and restored into a new index on the control plane for recovery or cloning. Read as a recovery-asset inventory. Warehouses & Locations is specific to Logiwa WMS and Backups to Pinecone — each maps to any object or custom field on the other side.
Clients 3PL client accounts used to scope orders and inventory in multi-client deployments. Index statistics Describe_index_stats returns total and per-namespace vector counts, the index dimension, and index fullness; read to size a sync and to detect drift between Pinecone and the source of truth. Clients is specific to Logiwa WMS and Index statistics to Pinecone — each maps to any object or custom field on the other side.
Returns Return receipts synced so ERPs and support tools reflect restocked inventory. Indexes Serverless or pod-based containers holding vectors of a fixed dimension and distance metric (cosine, dotproduct, euclidean); managed on the control plane (api.pinecone.io) via create, list, describe, configure, and delete. describe_index returns the per-index data-plane host. Returns is specific to Logiwa WMS and Indexes to Pinecone — each maps to any object or custom field on the other side.
Shipment Orders Outbound fulfillment orders created from connected storefronts or an OMS and updated as they move through picking and packing. Vectors (records) The core data: an id (up to 512 chars), a dense values array, optional sparse_values, and JSON metadata (up to 40 KB filterable per record). Full CRUD on the data plane via upsert, update, fetch, query, and delete, so write is supported here. Shipment Orders is specific to Logiwa WMS and Vectors (records) to Pinecone — each maps to any object or custom field on the other side.
Purchase Orders Inbound receipt expectations synced from the ERP or procurement system to drive receiving. Namespaces Partitions inside an index; every read and write targets one namespace and vectors across namespaces are isolated. Enumerated with list_namespaces and sized per namespace via describe_index_stats. Purchase Orders is specific to Logiwa WMS and Namespaces to Pinecone — each maps to any object or custom field on the other side.
Inventory On-hand and available stock levels read out to keep storefronts, ERPs, and analytics stores current. Collections Immutable snapshots of a pod-based index that store its data but not its definition; created, listed, and deleted on the control plane and used to recreate a pod-based index. Serverless indexes use Backups instead. Inventory is specific to Logiwa WMS and Collections to Pinecone — each maps to any object or custom field on the other side.

How changes propagate between Logiwa WMS and Pinecone

Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.

Logiwa WMS Pinecone Interval-based propagation

DetectionStacksync polls Logiwa WMS for changes on an incremental schedule, reading only records changed since the previous pass. Polling on order and inventory endpoints using modified timestamps, subject to the platform's API rate limits.

DeliveryEach detected change is written to Pinecone through its API, with automatic retries and rate-limit backoff.

Rate-limit considerations

  • Logiwa WMS: Subject to the platform's published API rate limits.
  • Pinecone: Data-plane operations are capped per second: query, upsert, update, and delete at 100 req/s per namespace, fetch at 100 req/s per index, and list at 200 req/s per index; breaches return HTTP 429. Hard request limits also apply: an upsert is max 2 MB or 1000 records, metadata max 40 KB per record, and query top_k up to 10,000 with a 4 MB result cap.

Pinecone

Integration surface
Two HTTP APIs: a control plane at api.pinecone.io (manage indexes, collections, backups, and, via the Admin API, projects and API keys) and a per-index data plane at the host returned by describe_index (upsert, query, fetch, update, delete, list). A gRPC data-plane transport is available through the official SDKs.
Authentication
API key in the Api-Key request header, scoped to one project; every request also sends an X-Pinecone-Api-Version header (date-based, e.g. 2025-10). The organization Admin API instead uses OAuth2 client-credentials (service accounts) via login.pinecone.io/oauth/token, passing a Bearer token to api.pinecone.io/admin (Enterprise).
Change detection
No webhooks and no native change-data-capture feed. Vectors carry no server-side update timestamp, so Stacksync detects changes by re-reading - paginating vector ids with the list operation (serverless indexes) and fetching by id, or by re-upserting from the source of truth. describe_index_stats bounds a resync with per-namespace counts.
