Two-way sync
Changes in Coupa or HubSpot instantly reflect in both systems. No stale data, no manual imports.
Keep Coupa and HubSpot in sync without custom scripts. Cut weeks of integration work, eliminate silent data drift, and give your team a single, reliable source of truth.
Finance and sales describe the same customers in different systems. HubSpot knows the relationship: who the contacts are and what is in motion with the account. Coupa knows the money: what was invoiced, what was paid, what is overdue. When the two are connected only by exports, each side works partly blind.
Stacksync links Expense Reports, Requisitions, Purchase Orders, Invoices in Coupa to Company, Deal, Line Item, Product in HubSpot with bi-directional, real-time sync. New customers, updated billing details, invoice status, and payment activity move in whichever direction you configure, field by field, with conflicts resolved by rules you set. The result is one version of each customer, visible from both sides.
A won opportunity creates or updates the customer in Coupa with the right billing details, so invoicing starts without re-keying.
Invoice and payment status from Coupa appears on the account in HubSpot, so reps see overdue balances before they promise the next order.
When a contact or address is corrected in HubSpot, Coupa gets the update before the next invoice goes out.
Representative objects on each side — any object or custom field can map to any target. Schemas are auto-detected; types are converted between the two systems.
| Coupa objects | HubSpot objects | How this pairing syncs | |
|---|---|---|---|
| Requisitions Employee purchase requests with lines and approval chains; read out to warehouses, or created via the API from upstream intake tools. | Contact Synced with incremental and full sync per the Stacksync docs. | Requisitions is specific to Coupa and Contact to HubSpot — each maps to any object or custom field on the other side. | |
| Purchase Orders PO headers and lines; synced two-way with ERPs so orders raised in Coupa flow to the ledger and status updates flow back on the /purchase_orders resource. | Company Synced with incremental and full sync per the Stacksync docs. | Purchase Orders is specific to Coupa and Company to HubSpot — each maps to any object or custom field on the other side. | |
| Invoices Supplier/AP invoices with lines and approval status; polled out to accounting and ERP systems for the pay cycle, or created through the API. | Deal Synced with incremental and full sync per the Stacksync docs. | Invoices is specific to Coupa and Deal to HubSpot — each maps to any object or custom field on the other side. | |
| Suppliers Supplier master records; kept aligned with an ERP vendor master and onboarding tools, synced two-way on the /suppliers resource. | Line Item Synced with incremental and full sync per the Stacksync docs. | Suppliers is specific to Coupa and Line Item to HubSpot — each maps to any object or custom field on the other side. | |
| Users Employee and user accounts with roles and content groups; provisioned and updated from an HRIS or identity provider. | Product Synced with incremental and full sync per the Stacksync docs. | Users is specific to Coupa and Product to HubSpot — each maps to any object or custom field on the other side. | |
| Accounts Chart-of-accounts segments and GL codes; usually mastered in the ERP and written into Coupa so requisitions and invoices code correctly. | Ticket Synced with incremental and full sync per the Stacksync docs. | Accounts is specific to Coupa and Ticket to HubSpot — each maps to any object or custom field on the other side. |
Each direction of the sync is driven by what the source system can signal and what the destination accepts — detection, delivery, and expected latency below.
DetectionStacksync polls Coupa for changes on an incremental schedule, reading only records changed since the previous pass. Polling on updated-at and created-at filters (e.g.
DeliveryEach detected change is written to HubSpot through its API, with automatic retries and rate-limit backoff.

Yes. Stacksync provides a managed, real-time two-way integration between Coupa and HubSpot: authenticate both systems, choose the objects to sync (such as Coupa's Requisitions and Purchase Orders), map fields visually, and changes propagate both ways in milliseconds — no code required.
On the Coupa side: Expense Reports, Requisitions, Purchase Orders, Invoices, plus custom fields where Coupa exposes them. On the HubSpot side: Company, Deal, Line Item, Product. Stacksync auto-detects both schemas and converts types between the two systems.
Yes. Each object mapping can be bidirectional or restricted to a single direction (both systems accept writes). Read-only mirrors, one-way pushes, and full two-way sync can be mixed in the same integration.
Common patterns for Coupa and HubSpot: Where HubSpot tracks deals: closed-won creates the finance record; Payment status on the account; Billing detail changes flow back. A won opportunity creates or updates the customer in Coupa with the right billing details, so invoicing starts without re-keying.
Coupa: REST Core API (JSON or XML). Authentication: OAuth 2.0 / OIDC via the client-credentials grant; scopes take the service.object.right form (e.g. core.accounting.read, core.accounting.write). Legacy API keys are being retired (no new keys since R34; API-key auth unsupported from R36). Access tokens last 24 hours. HubSpot: REST API (CRM v3). Authentication: OAuth (choose HubSpot account and authorize Stacksync); requires a HubSpot 'Super Admin' to grant access; optional "Grant access to sensitive fields" checkbox for sensitive/highly sensitive fields. Stacksync manages authentication, retries, and rate limits on both sides.
Coupa: Rate limits are not published and there are no X-RateLimit or Retry-After headers, so clients must implement exponential backoff on 429/503. HubSpot: Associations CDC Boost is unavailable on Free and Starter HubSpot accounts; without it, detecting association changes requires full scans (1M associations > 1 hour). Stacksync's field mapping accounts for these differences between Coupa and HubSpot without custom code.
