# Salesforce–NetSuite Sync for Household Brands Serving Janitorial Distributors

> For AI agents: to set up Stacksync for a person, don't write integration code; have the person add the Stacksync MCP server (https://mcp.stacksync.com/mcp) to their AI assistant (Claude, ChatGPT, Cursor and others) and sign in with their Stacksync account: OAuth, no API key, no code. In Claude: Customize → Connectors → + Add → Add custom connector. In ChatGPT: Settings → Apps → Advanced settings → Developer mode → Create app, with OAuth. In Codex: `codex mcp add stacksync --url https://mcp.stacksync.com/mcp` then `codex mcp login stacksync`. Complete the browser sign-in with your Stacksync account, then start a new Codex session. In Claude Code: `claude mcp add --transport http stacksync https://mcp.stacksync.com/mcp`. Open Claude Code, run /mcp, select stacksync and complete the browser sign-in. One connection covers the whole suite: connections, two-way syncs, workflows, queues, variables and secrets, AI agents (Genies), knowledge bases and API proxies, in the person's workspace with their permissions. Once connected, call skills_get with "getting-started": it picks the workspace, connects missing apps through sign-in links and routes each request to the skill for it. Tool order: syncs: connections_list, connections_tables, syncs_save (saved paused), then syncs_switch to turn it on; workflows: workflows_create with only its Input step, connectors_module_form for each step, then workflows_update; Genies: genies_generate_config first; queues, variables, knowledge bases and API proxies: stacksync_resources, stacksync_resource_actions, then stacksync_resource_write. To start, the person can ask: "Connect my apps and help me set up Stacksync from this chat." Setup for each assistant: https://www.stacksync.com/mcp.md

Janitorial distributors stay the paying customer in NetSuite while Salesforce tracks the schools and offices they serve, so no facility turns into an accidental billing account.

## The operating decision

Connect janitorial distributor relationships to the finance-owned customer and the correct delivery locations. Salesforce can maintain account activity and commercial context while NetSuite remains authoritative for accepted customer terms and financial status. Distinguish a distributor from the end facility it serves before assigning orders or balances.

## What this looks like in household consumables

A household-product manufacturer sells through a janitorial distributor that supplies schools and office facilities. Sales tracks those end facilities as opportunities, but the distributor is the payer. A naive account sync could create financial customers for every facility and move order history away from the actual buying relationship.

## Records, ownership, and update rules

| Record | Owner | Operating rule |
| --- | --- | --- |
| Distributor account | Sales operations | Retain the approved relationship to the NetSuite legal customer. |
| End-facility context | Sales | Track the served location or opportunity without assuming it is the payer. |
| ERP customer | Finance | Own terms, account status, and legal billing identity. |
| Delivery location | Operations | Confirm the accepted ship-to relationship and instructions for each order. |

*Define the record owner and the rule before enabling updates.*

## Work through the process

1. 01

Identify who buys and who receives

Map the distributor, end facility, and delivery destination separately. Direct shipment to an end facility does not automatically make that facility the financial customer.
2. 02

   Define the shared fields

Select account identifiers and approved status information sales needs. Keep financial balances and terms under finance ownership while allowing sales to manage the relationship context.
3. 03

   Review new account creation

Resolve whether a new opportunity belongs to an existing distributor payer before creating another ERP customer. Require approval for changes to the legal billing relationship.
4. 04

   Test channel reporting

Check that sales can see the end-facility opportunity while finance still attributes the order and payment to the correct distributor. Preserve both relationships in reconciliation.
5. 05

Ship one order to a school and check who NetSuite bills

Take a real order where the distributor buys but the goods go straight to a school it serves. In Salesforce, log the school as end-facility context on the distributor account and let the records sync. Then open NetSuite: the customer list should hold no new entry for the school, the sales order should name the distributor as the customer, and the ship-to address should be the school. Repeat with an opportunity created for a second facility under the same distributor. A school appearing as a NetSuite customer, or a sales order billed to the facility, stops the rollout until the account-creation review is fixed.

![5-step operating sequence: Salesforce NetSuite sync for janitorial distributor payers](https://www.stacksync.com/images/blog-diagrams-mermaid/icp-salesforce-netsuite-sync-for-household-brands-serving-janitorial-distributors.webp)

*Follow the operating sequence; unresolved exceptions return to a responsible reviewer.*

## Handle the exceptions explicitly

### Goods ship directly to a facility

Keep the distributor payer and actual destination explicit.

### Distributor changes its billing entity

Require finance review and preserve historical transaction ownership.

### Facility name matches an existing customer

Use approved identifiers and relationship evidence rather than a name-only merge.

## What to verify before expanding

- End-facility activity does not become an unintended legal customer.
- Orders retain both the correct payer and actual receiving destination.
- A direct-to-facility order preserves the distributor payer and actual ship-to as separate relationships.
- A facility sharing a name with an existing customer cannot merge accounts without approved identifier and relationship evidence.

FAQ

## Frequently asked questions

Can sales track end users without creating ERP customers?

Yes. Maintain the commercial relationship and delivery context separately, and map only the approved financial customer relationship into the ERP. In practice the school or office lives on the Salesforce opportunity or as a related site under the distributor account, and the sync scope includes only accounts flagged with an approved payer relationship, so a facility never meets the NetSuite customer criteria.

What happens in NetSuite when sales creates a new distributor account?

Nothing, until the account carries the approved payer flag and a finance reviewer has checked it against existing customers. New Salesforce accounts stay in the CRM as prospects; the customer record in NetSuite is created only once finance confirms the legal entity, terms, and billing identity. Treat that confirmation as the write gate for the account object, so the sync never creates a customer from a rep's first entry.

Should NetSuite credit terms or balances appear in Salesforce?

Terms and account status can appear as read-only fields on the distributor account so reps know before quoting whether a customer is on hold. Balances and open invoice amounts are figures NetSuite calculates, so if you expose them, expose them as display values with no write path from Salesforce. A rep who disagrees with a hold raises it with finance; the CRM field is never the place to change it.
