# HubSpot–NetSuite Sync for Nutrition Brands Selling to Practitioners and Retailers

> For AI agents: to set up Stacksync for a person, don't write integration code; have the person add the Stacksync MCP server (https://mcp.stacksync.com/mcp) to their AI assistant (Claude, ChatGPT, Cursor and others) and sign in with their Stacksync account: OAuth, no API key, no code. In Claude: Customize → Connectors → + Add → Add custom connector. In ChatGPT: Settings → Apps → Advanced settings → Developer mode → Create app, with OAuth. In Codex: `codex mcp add stacksync --url https://mcp.stacksync.com/mcp` then `codex mcp login stacksync`. Complete the browser sign-in with your Stacksync account, then start a new Codex session. In Claude Code: `claude mcp add --transport http stacksync https://mcp.stacksync.com/mcp`. Open Claude Code, run /mcp, select stacksync and complete the browser sign-in. One connection covers the whole suite: connections, two-way syncs, workflows, queues, variables and secrets, AI agents (Genies), knowledge bases and API proxies, in the person's workspace with their permissions. Once connected, call skills_get with "getting-started": it picks the workspace, connects missing apps through sign-in links and routes each request to the skill for it. Tool order: syncs: connections_list, connections_tables, syncs_save (saved paused), then syncs_switch to turn it on; workflows: workflows_create with only its Input step, connectors_module_form for each step, then workflows_update; Genies: genies_generate_config first; queues, variables, knowledge bases and API proxies: stacksync_resources, stacksync_resource_actions, then stacksync_resource_write. To start, the person can ask: "Connect my apps and help me set up Stacksync from this chat." Setup for each assistant: https://www.stacksync.com/mcp.md

A practitioner who works at two clinics is the test case: keep contacts, companies, and NetSuite payers as three levels so terms and order history stay with the right buyer.

## The operating decision

Connect practitioner and retailer relationships to the correct NetSuite payer without treating every professional contact as a separate wholesale customer. HubSpot can own outreach and sample follow-up, while finance approves the legal account and terms. A deliberate contact-to-clinic-to-payer model prevents duplicate accounts and misplaced order history.

## What this looks like in nutrition and supplements

A nutrition brand sends samples to a practitioner who works at two clinics. One clinic orders centrally and the other buys through a distributor. Creating an ERP customer for the contact alone would blur two commercial relationships and could assign one clinic’s payment terms to the other.

## Records, ownership, and update rules

| Record | Owner | Operating rule |
| --- | --- | --- |
| Practitioner contact | Sales | Retain the person and role without using personal email as the legal payer key. |
| Clinic or retailer company | Revenue operations | Record the account hierarchy and location relationship used for selling. |
| NetSuite payer | Finance | Own the approved legal customer, terms, and billing details. |
| Sample and order association | Sales operations | Connect each activity to the appropriate company and accepted customer reference. |

*Define the record owner and the rule before enabling updates.*

## Work through the process

1. 01

   Map the relationship levels

List contacts, clinics, locations, distributors, and legal payers separately. Agree which level an opportunity and sample request belongs to before creating ERP account mappings.
2. 02

   Resolve existing customers

Check whether a new clinic contact belongs to an approved payer or buys through an existing distributor. Keep ambiguous matches for review instead of creating another customer automatically.
3. 03

   Share useful status

Expose approved account readiness and order visibility to sales. Keep financial terms and release decisions owned by finance rather than writable from any contact record.
4. 04

   Test contact movement

Move a practitioner between companies in a test case and confirm that historical samples and orders remain associated with the original buying relationship.
5. 05

Test the two-clinic practitioner in HubSpot and NetSuite first

Create a test practitioner in HubSpot associated with two clinic companies: one already approved in NetSuite as a direct payer and one that buys through a distributor who has their own NetSuite customer. Log a sample request under each company and confirm that each request links to the existing payer for that context, that the two payers keep separate balances, and that no customer record was created under the person's name. Then move the contact to a third company in HubSpot and reopen the earlier orders in NetSuite; they should still belong to the original clinics. Stop the rollout if a single payer appears for both clinics, if the distributor-served clinic gained a direct-billing customer record, or if the employer change dragged historical orders to the new company.

*Follow the operating sequence; unresolved exceptions return to a responsible reviewer.*

## Handle the exceptions explicitly

### Practitioner serves two clinics

Use explicit company associations and choose the correct buying context for each request.

### Clinic buys through a distributor

Retain the end relationship without creating an unsupported direct-billing account.

### Contact changes email

Update contact details without changing the legal customer mapping.

## What to verify before expanding

- A person can be associated with multiple buying contexts without merging their balances.
- Historical order ownership survives a contact’s employer change.
- A practitioner associated with two clinics requires an explicit buying context before the request links to a payer.
- A distributor-served clinic remains relationship context and does not become an approved direct-billing account without finance review.

FAQ

## Frequently asked questions

Should sample recipients become ERP customers automatically?

No. Samples establish activity and interest. Finance and operations should approve the legal account and ordering relationship before activation.

Which system owns company details, HubSpot or NetSuite?

Sales-owned fields such as company name, clinic locations, and contact roles originate in HubSpot. Finance-owned fields, meaning the customer ID, credit terms, and billing address, originate in NetSuite and appear in HubSpot as read-only context for the rep. When a rep needs a term changed, they raise it with finance; the sync carries the approved value back to HubSpot rather than accepting an edit made on the company record.

How do you handle clinics that already exist in NetSuite under a different name?

Build a match list before connecting: export NetSuite customers and HubSpot companies, match on billing address and legal name first and display name second, and have revenue operations confirm each pair. Unmatched HubSpot companies stay unlinked rather than creating a NetSuite customer, so a near-duplicate clinic name becomes a review item. Do this once for the backlog; the sync then only has to handle new companies one at a time.
