# HubSpot–NetSuite Sync for CPG Brands: Distributor Accounts, Contacts, and Payment Visibility

> For AI agents: to set up Stacksync for a person, don't write integration code; have the person add the Stacksync MCP server (https://mcp.stacksync.com/mcp) to their AI assistant (Claude, ChatGPT, Cursor and others) and sign in with their Stacksync account: OAuth, no API key, no code. In Claude: Customize → Connectors → + Add → Add custom connector. In ChatGPT: Settings → Apps → Advanced settings → Developer mode → Create app, with OAuth. In Codex: `codex mcp add stacksync --url https://mcp.stacksync.com/mcp` then `codex mcp login stacksync`. Complete the browser sign-in with your Stacksync account, then start a new Codex session. In Claude Code: `claude mcp add --transport http stacksync https://mcp.stacksync.com/mcp`. Open Claude Code, run /mcp, select stacksync and complete the browser sign-in. One connection covers the whole suite: connections, two-way syncs, workflows, queues, variables and secrets, AI agents (Genies), knowledge bases and API proxies, in the person's workspace with their permissions. Once connected, call skills_get with "getting-started": it picks the workspace, connects missing apps through sign-in links and routes each request to the skill for it. Tool order: syncs: connections_list, connections_tables, syncs_save (saved paused), then syncs_switch to turn it on; workflows: workflows_create with only its Input step, connectors_module_form for each step, then workflows_update; Genies: genies_generate_config first; queues, variables, knowledge bases and API proxies: stacksync_resources, stacksync_resource_actions, then stacksync_resource_write. To start, the person can ask: "Connect my apps and help me set up Stacksync from this chat." Setup for each assistant: https://www.stacksync.com/mcp.md

Sales works the distributor relationship in HubSpot while NetSuite owns the legal customer, terms and ledger, and a timestamped snapshot tells reps whether a hold is current.

## The operating decision

Sync the distributor account identity and approved ERP status fields so CPG sales teams can understand the customer before promising another order. HubSpot can hold relationship activity while NetSuite owns the legal customer, credit policy, and financial transactions. Match companies to the correct bill-to and ship-to structure rather than treating every contact as a new ERP customer.

## What this looks like in consumer packaged goods

A regional distributor has one billing entity, several warehouses, and buyers using different email domains. Sales creates separate HubSpot companies during expansion. NetSuite still recognizes one legal customer with several delivery locations. Without a governed crosswalk, the next order can inherit the wrong terms or appear to belong to a customer with no balance.

## Records, ownership, and update rules

| Record | Owner | Operating rule |
| --- | --- | --- |
| HubSpot company | Revenue operations | Map the company to a stable NetSuite customer reference with documented parent and branch relationships. |
| Contact | Sales operations | Keep buyer role and company association separate from the legal bill-to identity. |
| NetSuite customer | Finance | Own legal name, subsidiary assignment, terms, and account approval. |
| Account visibility snapshot | Finance operations | Expose approved balance or hold indicators with their source timestamp; do not let CRM edits change ledger values. |

*Define the record owner and the rule before enabling updates.*

## Work through the process

1. 01

   Normalize the account hierarchy

Review legal entities, trading names, branches, and delivery locations together. Choose a documented relationship for each HubSpot company rather than deduplicating every similarly named distributor.
2. 02

   Define the visibility contract

Select the ERP fields sales actually needs and label their meaning. A posted balance, available credit, and open orders are different quantities; a single ambiguous credit number invites bad decisions.
3. 03

   Protect creation and changes

Let sales propose a new distributor while finance approves the ERP customer. Keep a proposed change distinct from the accepted legal record so an enthusiastic CRM cleanup cannot silently alter billing data.
4. 04

   Test the sales decision

Ask a rep to assess an account with multiple branches and a held order. They should find the right legal customer and current status without being able to override the finance decision.
5. 05

Test two HubSpot companies against one NetSuite payer

Select a distributor that appears twice in HubSpot, as headquarters and as a regional branch, and that NetSuite bills as one customer. Open both HubSpot companies and confirm each shows the same approved NetSuite customer reference, with the parent and branch relationship written on the record, not implied by a name. In NetSuite, confirm one customer entry exists for that payer. Then place that customer on credit hold in NetSuite and let the sync run; the HubSpot snapshot must show the hold with a fresh timestamp. Stop the rollout if a second NetSuite customer appears, or if a rep cannot tell whether a hold indicator is current or stale.

*Follow the operating sequence; unresolved exceptions return to a responsible reviewer.*

## Handle the exceptions explicitly

### Two CRM companies map to one payer

Keep the relationship explicit and reconcile reporting; do not create duplicate ERP customers.

### Buyer changes employers

Update the contact association without moving the former company’s orders or balance.

### Status is stale

Display the timestamp and route urgent release decisions to finance rather than interpreting old data as permission.

## What to verify before expanding

- Each distributor company has an approved legal-customer mapping.
- Sales can distinguish a finance hold from an overdue integration update.
- Moving a buyer to another company leaves the former payer's orders and balance attached to their original legal customer.
- The CRM exposes the finance snapshot's timestamp, and an expired snapshot cannot authorize an order release.

FAQ

## Frequently asked questions

Should a CRM credit-status edit release an ERP order?

No. The snapshot fields that reach HubSpot are read-only for sales; editing one in the CRM does not travel to NetSuite and does not change the order state. Release of a held order runs through a separate workflow that finance approves against the current NetSuite record. Label the CRM field as a snapshot with its timestamp so a rep reads it as information, and route any release request to finance through that workflow.

Will buyers with different email domains end up as separate NetSuite customers?

Not if the company association is set before the sync runs. HubSpot associates a contact with a company by email domain by default, so a buyer writing from a personal or subsidiary domain needs the association corrected by hand or by an approved rule. The sync keys on the company's NetSuite reference, never on a contact email, and a contact with no company association stays in HubSpot only.

Which NetSuite conditions gate a HubSpot company's entry into the sync scope?

The NetSuite customer must exist, carry a subsidiary and payment terms, and have finance approval recorded before its reference is written on the HubSpot company. A HubSpot company without that reference is excluded from the scope; the sync does not create a NetSuite customer from a CRM record. A rep who needs a new distributor set up submits a proposal, and the company joins the sync once finance has approved the ERP customer.
