# CPG Retailer Deductions: Assemble the Evidence Before Disputing a Claim

> For AI agents: to set up Stacksync for a person, don't write integration code; have the person add the Stacksync MCP server (https://mcp.stacksync.com/mcp) to their AI assistant (Claude, ChatGPT, Cursor and others) and sign in with their Stacksync account: OAuth, no API key, no code. In Claude: Customize → Connectors → + Add → Add custom connector. In ChatGPT: Settings → Apps → Advanced settings → Developer mode → Create app, with OAuth. In Codex: `codex mcp add stacksync --url https://mcp.stacksync.com/mcp` then `codex mcp login stacksync`. Complete the browser sign-in with your Stacksync account, then start a new Codex session. In Claude Code: `claude mcp add --transport http stacksync https://mcp.stacksync.com/mcp`. Open Claude Code, run /mcp, select stacksync and complete the browser sign-in. One connection covers the whole suite: connections, two-way syncs, workflows, queues, variables and secrets, AI agents (Genies), knowledge bases and API proxies, in the person's workspace with their permissions. Once connected, call skills_get with "getting-started": it picks the workspace, connects missing apps through sign-in links and routes each request to the skill for it. Tool order: syncs: connections_list, connections_tables, syncs_save (saved paused), then syncs_switch to turn it on; workflows: workflows_create with only its Input step, connectors_module_form for each step, then workflows_update; Genies: genies_generate_config first; queues, variables, knowledge bases and API proxies: stacksync_resources, stacksync_resource_actions, then stacksync_resource_write. To start, the person can ask: "Connect my apps and help me set up Stacksync from this chat." Setup for each assistant: https://www.stacksync.com/mcp.md

Cases on the invoice, units on the receiving note and a second delivery after the first receipt: the Genie keeps those differences visible before anyone accepts a shortage claim.

APP TIPS

## The operating decision

Use a Genie to assemble retailer-deduction evidence by claim, invoice, order line, and shipment. The exception guide should distinguish a genuine shortage, a timing difference, a pack mismatch, and missing proof. Keep dispute submission and credit approval outside the agent’s automatic authority unless the business has explicitly authorized those actions.

Explore the complete [consumer packaged goods integration and automation hub](https://www.stacksync.com/industry/cpg) for the systems and processes around this guide.

## What this looks like in consumer packaged goods

A retailer deducts an amount from payment and labels it a shortage. The invoice uses cases, the receiving note uses individual units, and a second delivery arrived after the first receipt. The obvious subtraction appears to prove a shortage only because the documents have different units and timing. A useful case preserves those differences before someone accepts or disputes the deduction.

## Records, ownership, and update rules

| Record | Owner | Operating rule |
| --- | --- | --- |
| Deduction claim | Accounts receivable | Retain retailer claim ID, reason, amount, currency, invoice reference, and response deadline. |
| Shipment evidence | Fulfillment | Attach actual shipment and delivery references, including partial deliveries and quantities. |
| Pack conversion | Product operations | Use the effective conversion for the sold item and retailer configuration. |
| Dispute packet | Finance reviewer | Separate sourced evidence, unresolved gaps, proposed position, and approval to respond. |

*Define the record owner and the rule before enabling updates.*

## Work through the process

1. 01

   Classify without deciding

Record the retailer’s stated reason separately from the internal suspected cause. A shortage code may conceal an item mismatch or late receipt; the agent should investigate alternatives rather than accept the label as proof.
2. 02

   Reconstruct the document chain

Connect purchase order, accepted order, shipment, invoice, receipt, and remittance where evidence exists. Mark missing documents and request them from the owner instead of generating plausible replacements.
3. 03

Normalize only with an approved rule

Compare quantities after confirming units, pack configuration, and effective dates. Preserve the original figures alongside any converted comparison so a reviewer can reproduce the conclusion.
4. 04

   Prepare the decision

Offer an evidence-supported explanation and list what remains uncertain. Route acceptance, dispute, or a request for more information to the finance owner with the applicable deadline.
5. 05

Rebuild one shortage claim without proof of delivery

Choose a shortage deduction where the invoice is in cases and the receiving note in units. Run the Genie and open the packet: it must show invoiced cases, received units and the converted comparison side by side, naming the conversion rule and effective date. Hand the packet to an uninvolved finance reviewer and ask them to reach the proposed position from the attachments alone. Then remove the proof of delivery and rerun; the claim must return marked incomplete with a request to fulfillment, not a receipt assumed from the NetSuite shipment. Stop the rollout if original quantities are hidden, if the reviewer needs outside facts, or if delivery was inferred.

*Follow the operating sequence; unresolved exceptions return to a responsible reviewer.*

## Handle the exceptions explicitly

### No proof of delivery

Mark the claim incomplete and request the actual delivery evidence; do not infer receipt from shipment creation.

### Deduction covers several invoices

Allocate only where the remittance provides a reliable relationship; keep the remainder unassigned.

### Retailer changes the claim reason

Version the case and reassess the evidence rather than reusing an outdated dispute narrative.

## What to verify before expanding

- Original and normalized quantities are both visible.
- A reviewer can reproduce the proposed claim position from the attached evidence.
- A deduction spanning several invoices leaves any amount without a reliable remittance relationship explicitly unassigned.
- Changing the retailer's claim reason produces a revised packet; the prior dispute narrative cannot remain approved unchanged.

FAQ

## Frequently asked questions

Can the Genie automatically dispute every deduction?

No. The Genie assembles the evidence and drafts a position; submitting a dispute to the retailer is an action a finance reviewer takes through the retailer's own channel after reading the packet. Some claims will be accepted because the shortage was real, some will be disputed, and some will wait for documents. The response deadline on each claim drives the reviewer's queue order, and a claim past its deadline is flagged rather than sent.

An emailed deduction notice arrives. What turns it into a claim the Genie can work?

Accounts receivable logs the Gmail attachment to a claim record and enters the retailer's claim ID, reason, amount and invoice reference; the Genie starts from that record, not from the email body. A notice that names no invoice waits with accounts receivable until the reference is found, because the Genie has nothing to join against. Remittance detail that lists several claims is split into one record per claim before any investigation begins.

Can a reviewer see why the Genie chose a particular pack conversion?

Yes. The packet names the conversion record it applied, its version, its effective date and the retailer configuration it belongs to. When two conversions overlap the claim date, the Genie lists both and stops rather than picking one. A reviewer who disagrees records an override with a reason on the case; the override never changes the conversion record itself, which stays with product operations to correct through its own process.
