# Amazon–NetSuite Sync for Pet Brands: Reconcile Marketplace Returns and Original Orders

> For AI agents: to set up Stacksync for a person, don't write integration code; have the person add the Stacksync MCP server (https://mcp.stacksync.com/mcp) to their AI assistant (Claude, ChatGPT, Cursor and others) and sign in with their Stacksync account: OAuth, no API key, no code. In Claude: Customize → Connectors → + Add → Add custom connector. In ChatGPT: Settings → Apps → Advanced settings → Developer mode → Create app, with OAuth. In Codex: `codex mcp add stacksync --url https://mcp.stacksync.com/mcp` then `codex mcp login stacksync`. Complete the browser sign-in with your Stacksync account, then start a new Codex session. In Claude Code: `claude mcp add --transport http stacksync https://mcp.stacksync.com/mcp`. Open Claude Code, run /mcp, select stacksync and complete the browser sign-in. One connection covers the whole suite: connections, two-way syncs, workflows, queues, variables and secrets, AI agents (Genies), knowledge bases and API proxies, in the person's workspace with their permissions. Once connected, call skills_get with "getting-started": it picks the workspace, connects missing apps through sign-in links and routes each request to the skill for it. Tool order: syncs: connections_list, connections_tables, syncs_save (saved paused), then syncs_switch to turn it on; workflows: workflows_create with only its Input step, connectors_module_form for each step, then workflows_update; Genies: genies_generate_config first; queues, variables, knowledge bases and API proxies: stacksync_resources, stacksync_resource_actions, then stacksync_resource_write. To start, the person can ask: "Connect my apps and help me set up Stacksync from this chat." Setup for each assistant: https://www.stacksync.com/mcp.md

A refund for a variety pack sold weeks ago gets matched to its original Amazon order line and the pack contents on that date, not to today's catalog.

## The operating decision

Use Amazon marketplace evidence to connect pet-product returns to the original seller offer, order line, and approved ERP representation. Keep return, refund, and physical receipt as separate facts. The sync connector has read-only Amazon access, and marketplace evidence should not automatically create a warehouse receipt or financial adjustment.

## What this looks like in pet food and treats

A pet brand sees a refund for a variety pack sold several weeks earlier. The catalog now uses a different assortment, and the returned item has not reached the brand’s warehouse. Finance needs the original order context, while operations must avoid assuming that today’s pack definition or a refund event establishes what physically came back.

## Records, ownership, and update rules

| Record | Owner | Operating rule |
| --- | --- | --- |
| Original Amazon line | Marketplace operations | Retain seller, marketplace, order, line, and purchased offer identity. |
| Historical pack definition | Product operations | Resolve the original recipe and bag or pack configuration using effective mappings. |
| Return or refund evidence | Marketplace finance | Preserve event identity, type, amount, quantity where available, and original references. |
| ERP outcome | Finance and operations | Approve financial treatment and recognize physical receipt only from actual receiving evidence. |

*Define the record owner and the rule before enabling updates.*

## Work through the process

1. 01

   Locate the original sale

Use the available order and line references before considering product descriptions. A refund amount or recipe name alone can match several purchases and should not establish the relationship.
2. 02

   Restore historical product context

Apply the pack definition effective at purchase. A later assortment change must not reinterpret the original variety pack or the customer’s reported item.
3. 03

   Separate event meanings

Record return authorization, refund, shipment back, and receipt independently where evidence exists. Missing stages should remain unknown rather than being inferred from a later financial event.
4. 04

   Reconcile the accepted treatment

Let finance approve the ERP representation and keep the source event reference. Let receiving establish any physical stock outcome through its own verified record and disposition process.
5. 05

Trace one Amazon refund to its NetSuite order line and stock count

Pick a refund event Amazon reported last month for a variety pack whose assortment has since changed. In NetSuite, open the imported event and confirm it carries the seller-scoped order ID and line reference, and that the linked item is the pack as sold on the order date, not the current one. Next, check the returns location: on-hand quantity must be unchanged, because no receiving transaction exists yet. Then test a refund whose line reference is blank. It should sit unresolved with the amount visible and no order attached. A refund that raises inventory, or a blank reference that attaches itself to the nearest order, stops the rollout.

![5-step operating sequence: Amazon NetSuite sync for pet product returns and refunds](https://www.stacksync.com/images/blog-diagrams-mermaid/icp-amazon-netsuite-sync-for-pet-brands-reconcile-marketplace-returns-and-original-orders.webp)

*Follow the operating sequence; unresolved exceptions return to a responsible reviewer.*

## Handle the exceptions explicitly

### Refund lacks a clear line reference

Keep the amount unresolved and obtain the reliable original-order relationship.

### Current pack differs from the purchase

Use historical mapping evidence and preserve the discrepancy.

### No brand warehouse receipt exists

Do not create returned inventory solely from the marketplace refund.

## What to verify before expanding

- Every resolved return links to the correct original seller-scoped order line.
- A refund event cannot imply physical receipt or resaleable stock.
- An Amazon refund without brand receiving evidence creates no warehouse receipt or returned-inventory increase.
- A changed current pack definition leaves the original marketplace recipe and quantity interpretation available for return review.

FAQ

## Frequently asked questions

Can this sync issue the marketplace refund?

No. Amazon Seller Central is read-only through the connector, so refund, cancellation, and listing changes never travel from NetSuite back to Amazon. Finance still approves the refund inside Seller Central under the brand's own marketplace policy; what the sync adds is the imported event and its original order reference on the ERP side. Treat any tool that claims to push refunds from the ERP as a separate capability with its own authorization review.

How does finance review a matched return in NetSuite?

The imported Amazon event arrives in NetSuite as its own record with the marketplace event ID, type, amount, and the linked original order line. Finance works from that record: it chooses the accounting treatment, posts the credit or adjustment under its own approval, and the source event ID stays on the posting for audit. Nothing posts on import. Reviewers filter on events with no linked line to see what is still waiting for a match.

What breaks if the sync uses today's pack definition for an old refund?

The refund gets judged against contents the customer never received, because a variety pack can change assortment between the sale and the return. Store each pack version with an effective date range in NetSuite before the first Amazon import runs; the sync then resolves each event against the version in force on the order date. Without that precondition, older refunds inherit today's recipes and quantities, and no one sees the mismatch until a customer disputes it.
