# AI Agents for CPG Order-to-Cash: Investigate Order and Payment Exceptions

> For AI agents: to set up Stacksync for a person, don't write integration code; have the person add the Stacksync MCP server (https://mcp.stacksync.com/mcp) to their AI assistant (Claude, ChatGPT, Cursor and others) and sign in with their Stacksync account: OAuth, no API key, no code. In Claude: Customize → Connectors → + Add → Add custom connector. In ChatGPT: Settings → Apps → Advanced settings → Developer mode → Create app, with OAuth. In Codex: `codex mcp add stacksync --url https://mcp.stacksync.com/mcp` then `codex mcp login stacksync`. Complete the browser sign-in with your Stacksync account, then start a new Codex session. In Claude Code: `claude mcp add --transport http stacksync https://mcp.stacksync.com/mcp`. Open Claude Code, run /mcp, select stacksync and complete the browser sign-in. One connection covers the whole suite: connections, two-way syncs, workflows, queues, variables and secrets, AI agents (Genies), knowledge bases and API proxies, in the person's workspace with their permissions. Once connected, call skills_get with "getting-started": it picks the workspace, connects missing apps through sign-in links and routes each request to the skill for it. Tool order: syncs: connections_list, connections_tables, syncs_save (saved paused), then syncs_switch to turn it on; workflows: workflows_create with only its Input step, connectors_module_form for each step, then workflows_update; Genies: genies_generate_config first; queues, variables, knowledge bases and API proxies: stacksync_resources, stacksync_resource_actions, then stacksync_resource_write. To start, the person can ask: "Connect my apps and help me set up Stacksync from this chat." Setup for each assistant: https://www.stacksync.com/mcp.md

Give the Genie one open order or disputed invoice and stable record IDs; it returns the timeline, contradictions and missing links, and leaves the credit decision to finance.

APP TIPS

## The operating decision

A CPG order-to-cash Genie can investigate why an order, shipment, invoice, and payment do not agree. Give it stable record references and a bounded output: the discrepancy, supporting evidence, missing facts, and the next owner. Start with synchronized data and deterministic checks, then use the agent to assemble the case that people currently build by hand.

Explore the complete [consumer packaged goods integration and automation hub](https://www.stacksync.com/industry/cpg) for the systems and processes around this guide.

## What this looks like in consumer packaged goods

A wholesale customer asks why its account still shows an unpaid amount. Operations can find a split shipment, finance can find an invoice and partial payment, and support has a credit request in a separate thread. Each fact is plausible, but none alone explains the balance. The Genie’s job is to gather the timeline without pretending the requested credit has already been approved.

## Records, ownership, and update rules

| Record | Owner | Operating rule |
| --- | --- | --- |
| Investigation case | Operations analyst | Identify the customer, order, disputed amount or quantity, and exact question to answer. |
| Order and shipment evidence | Fulfillment operations | Preserve line-level ordered and confirmed shipped quantities with their source references. |
| Invoice and payment evidence | Finance | Distinguish issued, posted, paid, partially paid, and proposed credit states. |
| Agent conclusion | Case reviewer | Require cited facts, explicit uncertainty, and a proposed next owner before accepting the summary. |

*Define the record owner and the rule before enabling updates.*

## Work through the process

1. 01

   Define the question narrowly

Ask why a named order remains open or why a specific invoice differs from the customer’s payment. Avoid broad instructions to fix the account, which combine investigation with decisions that need different permissions.
2. 02

   Gather by stable identity

Follow customer, order, line, shipment, invoice, and payment references. If one join is ambiguous, stop that branch and record the missing link rather than selecting the most similar name.
3. 03

   Separate calculations from interpretation

Calculate quantities and money using deterministic rules with currency and units intact. Let the Genie explain the timeline and competing explanations, but require the numbers to come from verifiable records.
4. 04

   Return a reviewable packet

Include the issue, supporting records, contradictory facts, unresolved questions, and the responsible next team. Draft a response only after the reviewer accepts the evidence and the permitted communication scope.
5. 05

Feed the Genie an emailed credit and inspect what it cites

Pick a wholesale customer with an open balance where support promised a credit only by email, and run the Genie on that one question. In the packet, open each claim and confirm it names a Shopify order, a NetSuite invoice or payment, or a Postgres shipment row by ID; a statement with no record behind it fails. Then check how the credit appears: it must be a pending request routed to finance, with the NetSuite invoice still showing its original open amount. Stop the rollout if the packet states a balance without a cited record, or if the emailed credit is described as applied, posted or reducing the balance.

*Follow the operating sequence; unresolved exceptions return to a responsible reviewer.*

## Handle the exceptions explicitly

### Credit exists only in an email

Treat it as a request, not a posted adjustment; send the decision to finance.

### Shipment appears after investigation starts

Refresh the relevant evidence and identify the changed result before final review.

### Two invoices fit the same amount

Do not choose by amount alone; require the order or document relationship.

## What to verify before expanding

- Every material assertion links to a named source record.
- The agent cannot turn a proposed credit into a posted financial fact.
- Two invoices for the same amount remain distinct until a reliable order or document reference resolves the investigation.
- A shipment recorded after investigation begins refreshes the affected comparison before the reviewer accepts the conclusion.

FAQ

## Frequently asked questions

What makes this different from a report?

A report answers a question you already knew to ask and returns the same columns every time. The Genie starts from one customer's complaint, follows whichever references exist for that order, and stops where a link is missing instead of filling the gap. Its output changes with the case: sometimes a split shipment, sometimes a partial payment, sometimes both. The reviewer receives the path the Genie took, not a table someone still has to interpret.

Which systems does the Genie read, and does it write anything back?

It reads Shopify orders and customers, NetSuite invoices and payments, and the Postgres tables that hold shipment and reconciliation rows. The only thing it writes is its own packet on the investigation case. No field in Shopify or NetSuite changes because an investigation ran, and a drafted customer reply stays a draft until the case reviewer releases it. If the business later wants the Genie to file a credit request, that is a separate permission to grant.

Should the pilot start with the historical backlog or with new orders?

With orders created after the sync went live. The Genie can only follow references that exist: the Shopify order ID on the NetSuite sales order, the invoice tied to that order, the payment applied to the invoice, the shipment row carrying the order line ID. Older orders often lack one of those links, so the Genie would flag gaps everywhere and teach you little about the process. Bring the backlog in once the reference chain holds for new cases.
